3. CONCLUSION

1.1

INTRODUCTION

The main aim of UNIRAZAKs Bachelor of Business Administration is to develop potential business leaders and managers for the 21st Century who will rise in their careers in a competitive and changing global economy. In this century, the business environment is becoming more dynamic as compared to the past. Not only that the economy is facing with the challenges of globalization and liberalization, but also the business operation is becoming more sophisticated with the advent of information and communication technology. Employers expect fresh graduates to be able to assimilate into the working environment and able to perform upon the inception of their employment. Hence, the business internship or practical training program will provide students with work-related experience and at the same time give them an edge over other job applicants when it comes to job opportunities. 1.2 THE OBJECTIVES OF THE PRACTICAL TRAINING

The objectives of the practical training are as follows: 1.2.1 1.2.2 1.2.3 1.2.4 1.2.5 Prepare students physically, mentally and emotionally for the rigours of work as executives in real organizations upon graduation. Develop students individual maturity, self-awareness, and confidence. Familiarize students with some structured practical experience of the organization, its operations, its customers, and its staff. Enable students to exercise and acquire effective interpersonal and communication skills in organizations. Enable students to put into practice their academic knowledge and skills acquired at UNIRAZAK to benefit the organizations. REGISTRATION

Before a student is allowed to go for practical training or internship, academically he/she must be in good standing (i.e. has obtained a CGPA of at least 2.00), and have completed the prerequisite courses according to the program of study (as available on the registration forms posted in the FBA website). Once eligible, students need to follow the proper procedures for the practical training. Planning has to start at least in the semester prior to the one in which the practical training will take place. For example, if students wish to undergo the internship in January 2007semester, then planning must start sometime in August 2006 semester. The procedures are highlighted in Appendix L. The registration form must be submitted prior to beginning of the practical training.

1.4 ATTACHMENT ARRANGEMENT In order to fulfill this practical training program requirement, students must spend at least twelve (12) weeks working in a position, either compensated or not, with an organization approved by the Faculty from the start of an academic semester. With assistance of the Faculty, students shall identify suitable organizations to undergo their practical training. Suitability depends on several criteria: a) Duties / Tasks allocated: Any student would benefit if the training involves his / her area of specialization. For instance, an accounting major should apply for placement in such specific area. Bear in mind that an internship at a reputable organization with the necessary niche in the industry will be an invaluable addition in the students resume. However, in many cases of which students were not given placement in the intended area, the Faculty still approves and students have always completed the training as required. b) Location: The location of the organization is important to students, especially those who depend on public transportation. Safety and security are other issues related to location. c) Allowance: While some companies stipulate the payment or non-payment of allowances to their practical trainees in the offer letter, some tend to be more reserved on the matter. In order to clarify doubts, students should ask about it when applying especially when it is obvious that they will incur expenses (transportation, meals, etc.) during the 3 months duration. The Faculty, however, has no policy regarding this; hence companies have total freedom to pay or not to pay any allowance to the trainees. Students should weigh these criteria carefully. Whenever possible, the Faculty shall assist the students in securing placement in relevant organizations. 1.5 ATTACHMENT CONFIRMATION Students need to confirm the place of their practical training not less than a month before the training begins. The confirmation of the practical training attachment is done once the student submits the registration form, enclosed with the offer letter from the relevant organization, to the Faculty. Every practical training student will be assigned an academic supervisor at the faculty or regional center. The student supervisor list will be published in VOISS Announcement. 1.6 REPORT DUTY AT THE TRAINING CENTER Students are required to report at the training center as directed in the attachment letters. Usually the training starts in the first week of a new semester.

When reporting, students are required to bring along the following: a. Attachment letter from UNIRAZAK to undergo training (to be given to the employer at the training center) b. UNIRAZAK Students ID Card c. Log Book Students are compelled to: a. Settle all payments with respect to their studies. b. Immediately inform UNIRAZAK changes in the training center address (as directed by the department/ company) and / or changes in the home address or contact information. 1.7 CHANGE OF TRAINING CENTER Students are NOT ALLOWED to change their training center once confirmation has been made with the Faculty. To ensure problems are solved amiably, students should discuss any arising matters with regards to their attachment with the department or organization they are attached to. Any students found to have changed their training centers without proper written authorization from Faculty will be considered as disobeying the regulation/ practical training ethics and will be barred from undergoing the training and consequently be ordered to repeat the practical training in the following semester. Faculty will only consider a change to the training center with the presence of a medical certificate for medical reasons. 1.8 ETHICAL CONDUCT DURING TRAINING Students must adhere to the following rules and regulation during training: 1.8.1 Discipline and Regulations

It is the duty of the student to show constant high self-discipline and conduct that truly represents the disposition of a UNIRAZAK student while undergoing training or when he/she is outside the training center. Every student must perform his/her training with full dedication and concentration. Every student must obey and respect his/her practical training supervisor throughout the programme. He/she must also abide by the rules and regulations of the organization that provides the training. Every student must avoid causing damage or misappropriate any property belonging to the agency/company concerned.

Every student must behave and wear proper attire during the practical training period, in line with the requirement of the rules and regulations of the organization the students is attached to. UNIRAZAK regulations are enforced upon students throughout the duration of the training. Students are also subjected to all the rules and laws of the department/ company where the training is conducted. 1.8.2 Attendance/ Absence

Every student must make himself/herself available throughout the working hours as specified by the organization concerned. If the student fails to make himself/herself available he/she has to inform both, the company supervisor and the Deputy Dean (Student Affairs) Office at the Faculty of Business Administration accordingly. Any request for leaves must be made directly to the employer by filling in the leave form. Copy of the approved leave form must be sent immediately to the supervisor in charge at UNIRAZAK. UNIRAZAK only accepts medical certificates from a Government Hospital or UNIRAZAKs approved list of clinics. The amount of leave allowed during the period of training is seven (7) days, not including public holidays. In the past, students have applied for excuse for a few hours / half-day in order to attend classes or sit for exams at UNIRAZAK, something that companies do not really appreciate as they expect you to dedicate your time completing your given tasks and duties. In consequence to this, the Faculty will not allow students to register for weekday classes (other than section 1). The Faculty, in addition, encourages students to be proactive in volunteering for additional days to cover the leaves taken during the 3 months period pending the approval of their company supervisor. 1.8.3 Log Book

Students have to fill in their logbook daily to prove their work/ activities that have been completed for the day. Writing must be in English and neat and legible. This logbook is useful as a guide to write the practical training report. Students must also bring along the logbook to training everyday and obtain weekly employer/ instructor signature. 1.8.4 Confidentiality of Department/ Companys Information

Every student is prohibited from revealing any classified information pertaining to the organization that he/she is attached to. Students are also prohibited from copying, printing or taking pictures of any document or equipment deemed secret by the organization. UNIRAZAK will presume that students who disclose secrets of the organization as disobeying the ethical conduct/ rules of the practical training.

1.9 LETTER TO VERIFY THE COMPLETION OF TRAINING Every student has to obtain the letter of completion from the firm when he/she has completed the practical training. Refer to APPENDIX A. 1.10 INSURANCE

During the practical training students will be covered by insurance on the arrangement of UNIRAZAK. Should there occur any incidences resulting in a permanent handicap, students should: 1. Lodge a police report within 24 hours period. 2. Request a written report from the department/ company. 3. Inform and send all related documents to UNIRAZAK for further actions for insurance claims. 1.11 ASSESSMENT whether the student passes or fails the Practical Training, the following will be Feedback from the organization/company Feedback from the lecturer supervising the student Written report Total (100 marks) (25 marks) (75 marks) 200 marks

To determine assessed: a. b. c.

The organization/company should give a feedback by using Form FM-FBA-09 (from the FBA website). As for the feedback from the lecturer supervising the student, the feedback would be given using FM-FBA-10 (also available on the FBA website). Every student must submit his/her practical training report to the lecturer supervising his training at the end of Week 12 of the semester. This report is considered a final draft until the quality of the content is approved by the academic supervisor at the faculty. In order to pass his/her practical training, a student has to obtain at least 40% of the total marks. A student who fails the practical training programme will be required to repeat it at another date. Failure to submit the deliverables (report, log book and assessment forms) within the semester registered will result in many complications to the student. As of August 2005, students are allowed to apply for extension (pending the approval of the Faculty) with accompanying fee for the consecutive semester with the intention to complete by the end of that semester. Failure to complete in this consecutive semester will result in an F grade and the student will have to repeat the Practical Training by re-registering.

2.0 REPORT WRITING GUIDELINES 2.1 PURPOSE 2.1.1 2.1.2 2.1.3 The guidelines serve as giving the basic for writing neat and good reports. The entire guidelines aim to guide the students in preparing a more distinctive report to achieve one of the objectives of the training. The guidelines are divided into two areas: 2.2 General This section explains about report writing techniques 2.3 Overall Content This section explains about the format and terminology, which is used in preparing the reports. 2.2 GENERAL The report should be written using white paper size A4 (210 mm x 297) weighing 70gms or more. Report should be written on only one side of the paper. No colored papers are allowed in the report. 2.2.1 Typing

Margin is a space around the written or printed matter on a page. The required margin should be 40mm on the left side and 25 mm on the right, top, and bottom of a page. 2.2.2 Page Numbering System

Number the pages starting from Declaration Page to List of Appendices by using roman numbering (i, ii, iii, ..). Number the chapters starting from the Introduction till the End of the Report using number (1,2,3, ) 2.2.3 Typing

Typing should be double-spaced. The entire text of the project paper, headings and page numbers, must be typed using the same font. Use either Times New Roman or Arial with font size of at least 11 for the main text. After the end of each sentence, the new sentence should begin 2 (space bar) away from the previous sentence. Chapter numbering and chapter title should be bold when it is needed. Sub-chapter should not be in a new page. Chapter Number, Chapter Title and Sub-chapter must be spelled. The illustration of introduction of a chapter is shown in APPENDIX K. The illustration of a Sub-chapter is shown in APPENDIX L.

2.2.4

Ink

In any circumstances, only black ink is allowed. 2.2.5 Maximum Length of the Report

There is no specific limit to how long the report should be written, however, the ideal length is 30 - 40 pages. The limitation is strictly for text only (introduction till references) and not inclusive of appendices and all introductory pages. Students are known to have included all sorts of information / forms that were used during the practical training as appendices, which is not necessary. 2.3 OVERALL CONTENT The report should have three different areas: Introductory Sources, Body of the Report and End of the Report. All of the above contains standard procedures that need to be followed by student. The paper must be almost entirely free from grammatical errors or misspellings. In general, the overall content is shown as follows: Cover Page Declaration Page Abstract Page Dedication Page Introductory Sources Acknowledgement Page Table of Content List of Tables List of Figures List of Appendices Introduction Background of A Firm Training Experience Assessment and Recommendations Conclusion References Appendices Dedication and acknowledgement page is not required but other pages are compulsory. The report should include all the necessary items and must be arranged sequentially without any exclusion.

Body of the Report (Refer to Appendix M for further details)

End of the Report

2.3.1

Cover Page

Refer to the illustration of the cover page in APPENDIX B. This format should not be changed or amended at all. The size of the cover page is A4. Any other size is not accepted. While in the past students were required to hard-bind the report for submission, as of August 2005 onwards they are only required to ring-bind or comb-bind the report (inclusive with the Log Book and Company Supervisor Assessment Form). A standard white paper cover is recommended. 2.3.2 Declaration Page

This page contains the declaration of the student on the originality of his/her work. This page must be endorsed and signed by the student. Refer to the illustration of declaration page in APPENDIX C. 2.3.3 Abstract Page

This page contains the objectives of the report. Refer to the illustration of abstract page in APPENDIX D. 2.3.4 Dedication Page

This page can be excluded if it is not necessary. It should not exceed five lines and should not contain figures, tables, pictures and etc. Refer to the illustration of dedication page in APPENDIX E. 2.3.5 Acknowledgement Page

This page is also not compulsory and should not exceed one page. Refer to the illustration of acknowledgment page in APPENDIX F. 2.3.6 Table of Content

This page lists all content of the report that consists of the Introductory Sources, Body of the Report, and End of the Report in a systematic order. The purpose is to assist readers in finding any part of the report easily. The pages must tally with the respective titles in the report. Refer to the illustration of table of page content in APPENDICES I and J. 2.3.7 List of Tables

All tables must be listed sequentially. The list should contain page number, and title of the tables. Refer to the illustration of list of table in APPENDIX G. 2.3.8 List of Figures

Figures should be listed chronologically. Figures number, figures title and page number should be included. Refer to APPENDIX H. 2.3.9 List of Appendices

The list of the appendices should include the alphabet of each appendix, the title of the appendix, and the page number. 2.3.10 Text This section contains the information on the practical training. Students need to explain in detail to what they want to present. The section below describes the suggested format that can be used by the students. Students need to follow the format closely as marks are given for following the format. Refer to Appendix K for further detail on 2.3.11 to 2.3.13 2.3.11 Introduction It is recommended that the INTRODUCTION presents a brief overview of the training date, company, supervisors, tasks done, lessons learned, and arrangement of report. It should also cover the objective of practical training. In brief, the INTRODUCTION is to assist reader to get an overall view of the students training experience. 2.3.12 Background of the Company In this chapter, a student may include the background on the department/companys set up, ownership, shareholders, administration system, organization chart, customers, main competitors, products and other matters that are related to the organization. Students are advised to discuss with the respective officer/supervisor to ensure that the information presented is not confidential. 2.3.13 Training Experience Here, students need to describe the training tasks or assignments given by the company. Do not repeat what you have written in the log book (while the log book requires you to list detailed description of everyday duties, the report must be presented in a general manner as to the skills and knowledge acquired during the training). Students also need to describe how they achieve the assigned tasks or assignments i.e. methodology and tools used. A student must describe any problems encountered when completing tasks or assignments and ways to overcome the problems. If there are ways to improve tasks, it should be added at this part of report. Lastly, students need to describe the skills developed and knowledge gained from the training. 2.3.13 Training Assessment and Recommendations

In this section, the student needs to assess whether the experience gained has fulfilled the objectives set for the training. If not, recommend how those objectives could have been achieved. A student needs to comment on the suitability of the organization and/or tasks given to their academic knowledge and/or personality. Students may also comment on weaknesses related to the overall conduct of the training and make any recommendations. 2.3.14 Conclusion Students briefly state the experience gained during the training and improvements to be made to prepare the students for actual work environment. 2.3.15 References List of references or books must be attached at the back of the report, after the section of suggestions and recommendations. The name of author, title, publisher, place of publication and year of publication should be included. References should be placed in alphabetical order (according to the name of author). Format: Name of author, Title of the article, Title of the books/magazine, Place of publication, Publisher, and Years of Book/Magazine Published. Example: REFERENCE 1. 2. David Krech, Richard S. Students need to ensure that the books and articles cited in References actually appear in the text. The references that are not cited should not be included. 2.3.16 Appendices The purpose of the Appendices is to provide additional information that is related to the report. However, each appendix has to be referred to in the Body of the Report. Appendix that is not referred in the text should not be included. Academic Supervisor visits and evaluates students (Form FMFBA-10) at placement organization and collect the evaluation form from supervising officer in Week 11

Students complete training report and log book and to submit them to Academic Supervisor by end of Week 12

Academic Supervisor computes the total marks for the practical training and recommends to the Faculty whether the student pass or fail the training by beginning of Week 14. Coordinators send both evaluation forms, and final draft report of each student to Faculty Executive by end of Week 14.

CONCLUSION Through the Practical Training, students will not only gain the exposure and the experience from the industry, but will also able to prepare high quality report. The Faculty of Business Administration, UNIRAZAK believed that the students would be able to prepare for a good Practical Training and a good report by referring to this manual. Therefore, the Faculty will not only produce skillful students, but also students who are capable of all aspects of management, similar with UNIRAZAK mission which is to produce ethical business leaders who are imbued with high integrity, moral values and professionalism.
