1 INTRODUCTION
1.1 Overview
This document is a training guide for the Acquisitions module and the specific ESS Process. It is designed to take you through the main workflow processes of the Acquisitions Department within ESS. In ESS, the Acquisitions Department controls the Programme inventory, negotiating and purchasing most of the output of the companys Channels. In IBMSCONTENT, Programme information entered into Acquisitions is common to all areas of the system and is used by modules such as Planning (to schedule a Programme) and Promotions (to promote the scheduled Programme). The information must therefore be accurate and complete.

2 ACQUISITIONS TERMS
The Acquisitions module is structured in a hierarchy of Master Deals, Deals, and Programmes. A Programme is composed of a Purchase and a Title. This hierarchy is strictly applied. A Deal cannot exist without a Master Deal, nor can a Programme exist without a Deal. A Purchase cannot exist independently of a Title (although Titles may be entered before they are purchased).

Master Deal

A Deal or group of Deals made with a particular Distributor. Different Master Deals may exist for the same Distributor, but one Master Deal may not apply to more than one Distributor.

Deal

A specific contract between the Broadcaster and a single Distributor. Details the Broadcasters obligations to the Distributor for a Purchase or group of Purchases. Includes negotiated Rights. Typically, it is for either a collection of Movies or a Series of Episodes (but not both, as a Deal can only be of type Movie, Event or Series).

Purchase

A buy of a Title. Contains dynamic information such as Availability Period, Play Rights and Costs.

Title

An IBMSCONTENT entity that contains static elements (Programme Name, Cast list, Country of Origin, EPG details, etc.), i.e. elements that remain unchanged as long as the Title exists in the system.

Programme

An IBMSCONTENT concept linking Purchase and Title information. A Programme exists in IBMSCONTENT once a Title has been purchased and a Licence Period has been set up for the Purchase. In IBMSCONTENT, a Programme may only be of Type: Movie, Episode or Event. Both static and dynamic information on any Programme are accessed via [Programme Summary] on various screens.

4 CREATE COMPANIES
4.1 Create a Company/Distributor
A Distributor is a Company from which ESS purchases the Rights to broadcast a Programme. Path: Acquisitions > Query Companies > Query Companies > (search) > Display Companies > [Create] > Create Company

Enter a Company Name. Select a Country Select the Company Type Distributor. Select the Station Press [OK] to create the Company and move to the Modify Company screen

4.1.1 Modify Company


Path: Acquisitions > Query Companies > Query Companies > (search) > Display Companies > (select company) > [Modify] > Modify Company

Press [Create] to enter address details or [OK] to save details. Please note that there must be a primary address. Click once on Telephone Number field and press [F5], Zoom or double-click in the required field to enter details. Repeat Step 2 in order to enter remaining details, if required. Press [OK] once all required details have been entered.

4.2 Create Contacts


Path: Acquisitions > Query Companies > Query Companies > (search) > Display Companies 1. Select the Distributor you have just created and click [Contacts].

As no Contacts exist, the Create Contact screen will automatically be displayed.

Enter a first and last name, then click [OK] Select [Modify] to update contact numbers and e-mail address. If required, press [Create] to input address details, otherwise press [OK] to save record After clicking [OK], assign duties to the Contact on Maintain Contacts. Select role(s) for the contact which may result in the said contact being recognised as primary.

4.3 Create Other Companies


Companies other than Distributors can be entered in IBMSCONTENT. A Company is any firm with which the Broadcaster does business. These can be Agencies, Clients, Facility Houses, Schedule Providers, etc. Path: Acquisitions > Query Companies > Query Companies > (search) > Maintain Company > [Create] > Create Company

Enter a Company Name. Select a Country. Select the Company Type, e.g. Agency, Facilities House, etc.

5 MASTER DEALS
A Master Deal is a group of Deals made with a particular Distributor. Different Master Deals may exist for the same Distributor, but one Master Deal may not apply to more than one Distributor. Note: The Master Deal does not always reflect an actual overall contract. It may sometimes be used internally as a convenient way of grouping Deals with a single Distributor.

5.1 Create Master Deals


Path: Acquisitions > Create a Master Deal > Create Master Deal

Enter a NameM for the Master Deal. (The Official Event Title or Official Name of Supplier) Enter the Approval StatusM (Approved) Select an Agreement TypeM e.g., Commissioned, In House, Rights Acquisition, Hours (Deal Type). Enter the Master Deal PeriodM. The period entered should span the Licence Periods of all Deals to be assigned to this Master Deal. Select a NegotiatorM. (Programming Contact) The Negotiator is the person who negotiated the Master Deal on behalf of the Broadcaster. Select a Master Deal TypeM, (Not yet defined by ESS). Select a DistributorM. Select a ContactM. This is the name of the Distributors representative for this Master Deal. (if a Primary Contact has not been set-up) Select a Master Deal CurrencyM. (please note only 1 currency can be selected per Master Deal)

5.2 Modify Master Deal


Path: Acquisitions > Query Master Deals > (select) > Query Master Deals This allows you to modify the attributes on a Master Deal that has already been created

5.2.1 Assign Broadcast Rights


Path: Acquisitions > Query Master Deals > (select) > Query Master Deals > [BR Rights] Broadcast Rights are assigned to each Master Deal. These detail the Regions, Countries, Platform Rights and Language Rights that are authorised for the Master Deal. Note - The values that are set here will also be automatically assigned to every Deal that is created under the Master Deal.

Press [Add] against Region Right and select the appropriate Regions rights: (South East Asia / South Asia / North Asia; press [OK]. Repeat this step for Country Rights, Platform Rights and Language Rights. Once complete, press [Exit] to go back to the Modify Master Deal screen, then press [OK] to exit the Master Deal screen.

5.3 Create a Deal (from Display Master Deals screen)


From the Display Master Deal screen, below, you can create a Deal without going back to the Main Menu press [Create Deal] if you want to create a Deal now or press [Exit] to leave the screen.

6 CREATE A SERIES DEAL (FROM MAIN MENU)


Path: Acquisitions > Create a Deal > Create Deal

1. Select a Master Deal M. 2. Select the Deal Type M Series. (will be used if more than 1 event) 3. Enter the Series Name and Year. 4. Enter the number of Allowed Episodes M. i.e 320 games for 1 EPL Season 5. Select Licence Start Type. (Default to Fixed Start Date) 6. Confirm the Licence Period Dates Status M. 7. Select the Approval Status M. (This should be approved for now) 8. Select a Genre M, 9. Enter the Estimated Duration M of your Series (estimated duration for the programmes) 10. Enter the Premiere Channel or Channels 11. [OK] Deal will be assigned a short code

6.1 Default Programme Costs


Default Programme Costs can be entered for programmes. This value is held in the Contractual Cost field on the Finance tab.

6.2 Assign Play Rights

1. Select the Play Rights Tab 2. Press [Create]

3. Double Click in right Type field 4. Select Play Rights to be applied (In this case it will be relevant ESS Channels, as defined on Acquisitions report) 5. Enter number of runs allowed against each rights type.

6.3 Apply Materials Type


6.3.1 Physical Tab

1. Select the Materials TAB and hit [Create] under Physical 2. Select Live [select] if Programme is to be initially aired as LIVE, else select alternate Material Format

Enter Feed date as start of Deal License [OK] (note: This date will feed down to the titles, this will need to be adjusted per title to the specific feed date) 5. Press [OK] again to confirm the details of the deal

7 CREATE PROGRAMMES/EPISODES
7.1 Create Multiple Episodes

Tick Create Multiple? Enter the No. of Programmes M you wish to create

3. Enter the Numbered From M field. This will number the episodes sequentially starting from this number and is used to determine a difference in the titles 4. Select the relevant Sub-genre 5. Select the relevant Version Profile 6. Press the [OK] button.

8 DERIVE FUNCTIONALITY
8.1 Derive Various Data/Attributes
Path: Acquisitions > Query Deals > (select) > [Episodes] > [Derive] The Derive function is a simple way to update multiple attributes against selected/all programmes within a Deal. The functionality also allows you the option to update the Deal at the same time, if required.

For each attribute that needs to be updated, check the box and enter/select the new value. Press the [select] button to chose the specific episodes to be updated, else ALL episodes will be updated Chose whether you want to update Programmes Only or Deal and Programmes Press [OK]

5. Confirm the updates (if you are sure) by pressing [Yes] 6. Programmes/Episodes are now updated.

9 MATCH-UP DATA ENTRY


Path: Acquisitions > Query Master Deal > [Select] > View Deal > Query Title Held at the Title level the match-up data (sports Tab) will hold all of the round data e.g. a specific round of a competition, the competitors, venue, etc.

The Listings Text enables the user to hold alternate and numerous text information for the Title. Path: Acquisitions > Query Title > (search) > List of Matching Titles > [Modify] > Modify Title > [Listings Text] > Listing Text Details

11 ACQUISITIONS REPORTS
REPORTS TO THIRD PARTIES
Confirmation of Telecast Foreign Quota Displays the confirmed transmission date and the time of individual Plays, for a Programme within the report selection criteria. This report can be printed on A4 or letter size paper. Displays the number of Programmes produced in a selected Country, for a given range for transmission dates and Channel selection. Includes total minutage. See IBMSCONTENT Functional Specification Volume 12 Reports for more information. Displays specific Title information for Programmes scheduled within the selection criteria.

This report can be printed on A4 or letter size paper. Prints a list of Deals that have or do not have the selected Rights. Typical examples of Rights are Digital Satellite, Cable, and Terrestrial. Information on Programmes with Hiatus for specified periods and Programmes with an indicated Hiatus Period. Prints a list of available Movies (for a selected date range) by Genre. Prints by Deal, Programmes that do not have any Cast information set up. Show available Programmes by EPG Genre and Sub-Genre, thereby giving an indication of the inventory available for each category. Show all material costs relating to all the Deals within the Master Deal. This report can be printed on A4 or letter size paper. For a selection of Deals, one or several types of Comments can be printed. This report can be printed on A4 or letter size paper. Titles To Be Confirmed, i.e. planned for purchase not yet confirmed. Shows Deals that have clauses against them. Prints a list of Material expected from selected Distributors in a given period. Prints a list of Material to be returned to selected Distributors in a given period. This report displays a list of Programmes with Licence Periods that span the period entered. This report displays a list of Programmes that are scheduled for the first time on the selected Channel or Channels

EXTRACT REPORTS
Extract reports can be created in CSV (Comma Separated Variables) file format, for import into spreadsheet programs. Regions Produces Region data. These reports are used mainly by Marketing Departments to support the launch of Channels in new Regions. When running these reports the User can specify Reporting Channel (all reports are specific to the Reporting Channel), Deal Number/s (if the field is left blank it will return records for all Deals), Region/s (if the field is left blank it will return records for all Regions), and Availability Period. This facility produces a report that shows details about the contracts of the selected Deals. This report displays, by Distributor (Licensor), the number of available hours of Programmes for the selected months. This facility produces Programme Duration Per Financial Period data. The report details for a Channel all the Deals and the hourly total amount of programming available for a month. The most important part of the document is the Total column at the right-hand side of the document. This shows the total number of hours purchased for a Channel for any monthly period. The Channel Manager and Acquisitions Department can see at a glance where they may be short on material for any given period. This facility produces planning data. The first report for all Channels details at a high level the number of hours purchased per Distributor per Reporting Channel per Year. The second report for all Channels details at a high level the total number of hours purchased per Reporting Channel for a Year. This facility produces Programme Run Information. If the Output Details button is ticked, the report lists all Schedule Date, Time and Channel Information. This facility reports regional Licence information for the programmes in selected Deals. This facility enables users to export publicity details for selected Programmes.
