DataCar B.I combines data exploration,performance management and decision-making applications. DataCar B.I is a solution designed to be ON TOP of your reporting solutions as opposed to your reporting systems which work on raw data (meaning that you can access the details of your data, such as invoices, etc!). DataCar B.I processes aggregated data only. It uses powerful patent pending algorithms, analyzes your data and finds correlations and influences between your metrics. After this process is over, DataCar B.I classifies your KPIs and gives you access to powerful actionable insights enabling you to make the correct decisions. It is impossible for a human eye to process on the fly the same quantity of information as it is produced. 2. INTRODUCTION TO PERFORMANCE MANAGEMENT


A companys performance is measured according to the targets set by Management. Performance will be positive if it reaches or exceeds the targets. It is negative if it is inferior to the targets. The gap between the targets and the performance is the result of a voluntary (decision) or involutary (external event) change. To evaluate the changes and performance of a company, performance indicators are used.

2.1.

Targets of performance management

Ensure the companys optimal, balanced and durable performance. Develop a global, systematic, integrated and flexible method of identification, evaluation, analysis and management. Develop better performance management practices. Make informed decisions. Better manage change.

2.2.

Conditions for good performance management

Performance indicators must correspond to the company strategy. Performance indicators must support performance management. Performance indicators must concern management activities, performance tools and conditions, management capabilities and the satisfaction of all parties. The performance management system must concentrate on the most important indicators. The performance management process must be simple, and remain simple and flexible.

2.3.

Performance indicators (KPIs)

Performance indicators, more commonly called KPI (Key Performance Indicators), are decision-making indicators that can be measured. An indicator is an evaluation tool that helps the decision-making process (piloting, adjustment and retrocorrection). It is used to measure a situation or a trend in a relatively objective manner, at a given moment in time or space. An indicator can be considered a summary of complex information which enables various actors (scientists, managers, etc.) to discuss together. An indicator (whether qualitative or quantitative) generally describes a state and/or supplies an answer which cannot be directly perceived. This is called a metric in the performance jargon. An indicator may include other indicators. This is called a performance indicator. For example, an indicator called Average number of vehicles sold by the distributor is a metric. Taken alone, it cannot show if the result is good or bad, it is merely a figure. Another indicator called Progression of NC sales compared to the previous year is a performance indicator. The result shows if the company has improved or not.

There must exist a causal relationship between the fact that is measured (shown) and the indicator. The usefulness of an indicator depends mainly on its capacity to reflect reality and to be simple to acquire and to understand. Performance indicators are used in the presentation of management dashboards and must be updated regularly. Key performance indicators are also used in strategic dashboards as they generally evaluate whether a strategic target or a contributing element has been reached. DATAFIRST has selected a list of 97 metrics and performance indicators which are automatically uploaded from your DMS. The measures we have selected cover all sectors of activity of a distributorship: Workshop Shop New car sale Used car sales Marketing activities (CRM)

When selecting the indicators, we have given priority to ensuring the indicators remain coherent and pertinent for all customers.

2.4.

Characteristics of the performance indicator

To be pertinent, a performance indicator must include the following characteristics: 1. Name: Usual identification of the indicator; 2. Measurement unit: Number, currency, percentage, etc. 3. Measurement frequency: Daily, weekly, monthly, etc... 4. Direction: There can be none; the indicator must rise to show improvement, drop to show a decline, be set between two limits, in a range, etc... 5. Target: The objective that must be reached. 6. Key indicator: Is the indicator critical for the follow-up of activities which REQUIRE a follow-up to improve their performance? 7. Strategy: The need the indicator measures (financial, operational, product differentiation, etc.).

2.4.1. Various groups of indicators


Performance indicators are split in two groups: external indicators (from outside the company) and internal indicators (from inside the company). 1. External indicators External indicators concern changes in the companys environment (economic, technological, sociological, marketplace, customers, competitors, products, suppliers) that can positively (opportunities) or negatively (risks) influence the companys targets and strategies. 2. Internal indicators Internal indicators apply to changes and management activities of the company strategy, processes, resources, performance factors.

2.4.2. Types of indicators


There are three types of indicators. Controlling and understanding this classification helps predict the future of a company. 1. Leading KPI This type of indicator rises or drops before the others so it can, once it has been identified, predict the future of a company. Example 1: The Number of Workshop Product hours indicator will generally precede the Workshop turnover indicator. If my mechanics are ill or on vacation, my production capacity is reduced with a corresponding effect on my turnover. Example 2: Trafic lights The amber trafic light predicts that the red light will turn on so the amber light is a leader for the red light. 2. Lagging KPI This type of indicator confirms the rise or drop shown by the leading KPI and is the indicator companies follow the most. It generally indicates the current state of an element. Example 1: The indicator Evolution of the Workshop turnover will generally follow the increase of workshop productivity and mechanics efficiency. Example 2: Trafic lights The red trafic light confirms the prediction of the amber light. We can conclude that the red light is influenced (lags) by the amber light. 3. Coincident Indicators This type of indicator changes along with other indicators change. They have a direct cause and effect relationship. Example 1: The indicator Rotation of Parts stock will coincide with the Parts turnover indicator. Example 2: Trafit lights The red light appears at the same time the green Walk light appears for the pedestrians so we conclude that the red light is coincident with the green pedestrian light.

Evaluate the performance according to its importance and the probability of a positive or negative effect. Evaluate the performance of management activities, of performance tools and conditions, of necessary expertise, of the satisfaction of all parties. Evaluate the performance indicators.

Where does the performance of the company come from? What are the causes and the consequences of the performances? What is the acceptable performance level? Are the performance indicators adequate? Can the follow-up of certain performances be abandoned?

Possible actions: Identify the performances whose importance and consequence probability is high. Identify management activities that require performance indicators. Identify management activities that require actions. Develop action plans.

3. DATACAR B.I APPLICATION


3.1. Main screen

The application display is made up of several areas. It adapts to whatever device you use (mobile phone, tablet, laptop, etc!). It is connected to your DMS and CRM data so each time you access the application, a request is submitted to the central system at DATAFIRST, and your key performance indicators are sent to DataCar B.I which analyzes and displays your results (the information coming from your DMS is uploaded every night). Depending on the extent of your rights, you will see a detailed analysis of the companies, sites and domains under your responsibility. Following is a description of the elements which constitute the Main screen.

3.3.

Control center

The Control center is accessible by clicking the word Dimension in the menu barre at the top of the Main screen. It enables you to limit the display of results to a selection of companies and/or sites.

Should you have access to multiple companies or sites, you can specify the ones you would like to analyze using the Control center. Aggregates corresponding to your selection are automatically calculated and ONLY the results concerning that selection are displayed. For example, if you have the access rights to see 2 companies and 7 sites, simply select the company you want to access to limit the results to those of the chosen company. You immediately see all results concerning that company, including results for the sites and domains related to it. Also, if you have chosen one or more sites, you will see the results for the specified sites and all domains linked to the sites, etc...

This is used to update your personal data or, provided you have the access rights, reaching information relating to your company.

The dashboard

The Dashboard is your entrance to the application. It is entirely dynamic and lets you organize the various components as you wish. Reorganize - Simply click on the component title and slide it where you want it. The other components of your dashboard re-arrange themselves automatically. Additional components You can add components to your dashboard by clicking the + button at top right of the screen shown above. A menu is displayed where you define the properties of the component you have selected and want to add to the dashboard.

EyeGlance Identify your results

This module enables you to analyze your results from various points of view and identify the origin of your performance problems.

This module enables you to analyze your results from various points of view and identify the origin of your performance problems. Let us say as an example, that in the circular component above, you see a drop in your turnover. By clicking the name of the Turnover indicator, you access, on the right side of the screen, the details of the elements constituting the Turnover indicator (turnover by company, by site, by domain (department), etc!). The color of the cards on the right indicates the performance status of each element constituting the indicator.

3.5.1. Points of view


Vous can analyze your results as a whole from 3 different points of view, according to your management targets: 1. By score 2. By target 3. By trend

1. The analysis by score classifies your indicators into 6 families (excellent, very good, good, normal, bad, very bad). This type of analysis is based on a calculation which combines the indicators present result compared to past performances (minimum, maximum) as well as the achievement of targets. It is the best selection criterion for the identification of an indicators global evolution over time.

2. The analysis by target helps you analyze the level of achievement of your targets, the latter being automatically calculated or established by yourself in the system (see Reporting module section). This mode of analysis is particularly appropriate for the follow-up of teams and company targets. 3. The analysis by trend classifies your indicators in terms of improvement or decline as compared to the period selected in your Control center (see Main screen section).

3.5.2. Focus
With the Focus option, you can filter the display of results down to one or more of the following families: Display limited to the key indicators defined in the system by Datafirst. Display limited to indicators that you have marked as favorites. Display limited to indicators marked as leading indicators.

3.5.3. Filter by sector of activity (Domain)


You can filter the display by selecting one or more sector of activity, listed under the Domain button. When a selection is done, the icon appears in color. Remember to reset your selection when your analysis is finished.

3.5.4. Reset
Use the Reset button to erase all your selections at once, whether in Focus or in Domains.

3.5.5. Breakdown and Sort by color


In the detail card of an indicator, you can use the Breakdown menu to display the available famillies that make up the indicator you have selected. You may go from one display to another by selecting the type of breakdown you want. In our example at right, the NC turnover (CA VN) indicator is available by company, by site, by brand (Marque) or by vehicle model (Modle). The order of display influences the sorting and the color of the scorecards, from dark green for positive results to dark red for negative results. You can choose a display by score, target or indicator trend. You can also click the arrow-shaped icon to sort the scorecards in ascending or descending order.

3.5.6. Search
In this textual search field, you can search for an indicator by its name. You can input part of the name and the system will automatically identify the indicators which contain the characters you have typed.

3.6.

Reporting module

The Reporting module enables you to explore your data. It is the central point of the application.

3.6.1. Target management !


This module is where you modify and input the targets predefined in the system. Targets are set by default according to the moving average of your results during the last 6 months. They are dynamic and change each time a new result is added to your workspace. To manually modify the value of a target, simply double-click on the value displayed in the Target column. Once a target has been modified, it will not be changed by the system. Caution If you have modified your target, the system will use your value as default value. INPUT OF TARGETS ! YOU MUST BE AT THE PREVIOUS MONTH (1M) LEVEL OF ANALYSIS AXIS TO INPUT TARGETS. ONLY THE USER NAMED AS SYSTEM ADMINISTRATOR CAN MODIFY TARGETS. Reaching targets is based by default on your results compared to those of the period selected in the Analysis axis of the Control Center. If you encounter any problem with your data, please contact the DATAFIRST support team to verify the origin of the problem. State the name of the indicator and the selected aggregate. The Reporting module is the heart of your application and provides a host of options.

3.6.2. The action bar


All actions available in this module are accessible through context menus located at the top of the Reporting module view.

3.6.3. The Actions button


The Action button enables you to: Mark an indicator as favorite; Delete an indicator from your favorites; Hide a system indicator; Re-display a hidden indicator.

The column selector lets you display or hide columns and facilitate your management requirements. Available columns are: Indicator selector Favorites column Name of indicator Icon access to the indicator breakdown Value of the indicator Sparkline Change: Variation in indicator compared to the previous period. Score: Based on a calculation combining the present indicator result compared with past performances (minimum, maximum) with the targets reached. Direction the indicator must take to be considered positive. Trend: Icon corresponding to the indicators trend. Target: Automatically set by the system or overwritten by the user. Columns which have an arrow in the heading can be sorted in ascending or descending order with a simple click. When sorted, the icon is displayed in color.

3.6.5. Focus
The Focus option is the nervous system of the reporting module. It lets you filter the display on a multitude of interrelated selections. You can concentrate on analyzing the targets and/or trends and/or alerts and/or datamining analysis results. Through the Misc (Miscellaneous) section, you can limit display to key indicators, favorites or re-display hidden indicators (simply tick the indicators, then click the Re-display hidden indicators option in the Action menu). For each selection, counters show if there is a link with other subjects. The display of the list is dynamic and limited to your selection.

3.6.6. Filter by sector of activity


You can filter the display by selecting one or more sectors of activity. Once an activity has been selected, the icon is shown in color. Remember to reset your selection once the analysis is completed.

Use this button to reset all your selections (focus or domains).

3.6.8. Search
In this textual search field, you can search for an indicator by its name. You can input part of the name and the system will automatically identify the indicators which contain the characters you have typed. Remember to reset your search when you are finished otherwise your list will be limited to the letters input in the Search field.

3.6.9. Export and printing


The three icons at the right of the search field enable you to export your data. The first one lets you export all your data, the second one exports the contents of a table shown on screen and the third printer icon launches a direct printout on the Firefox browser.

Click the name of an indicator to access the details window and analyze the indicators results. In the Detail view screen, you can access all the details linked to an indicator, calculated from the results for the period specified in the Control center.

The Detail view is made up of the following parts: This section includes a hint containing the description of the indicator. Its domain and other information relating to the indicator are shown undere the title. A Close button brings you back to the list.

Value of the selected aggregation period.

The variation as compared to the previous period.

The target is shown as a line with the figure below and the target achievement level appears in large format. The target achievement level for the previous period is displayed in grey compared to the present level in black.

Shows as a figure the prediction for the following period and enables you to make a predictive analysis of the indicator over the next 3 periods based on the historical results of the indicator. Click Show to view the 3-month prediction on the graph.

The score classifies your indicators into 6 families (excellent, very good, good, normal, bad, very bad). The score analysis is based on a calculation which combines the indicators present result compared to past performances (minimum, maximum) as well as the achievement of your targets. It is the best selection criterion for the identification of an indicators global evolution over time. The graphs and analyses results depend on the selection executed at the Control center level. You can extend or reduce the analysis by selecting another company / site or by modifying the Analysis axis period.

Access to the various modules depends on the results of the analyses run by the system. By default, the system displays the KPI Graph tabsheet. You can export the graph in various formats by clicking on the Export button or change the graphs format by clicking the Line or Column buttons. The Axis button is useful, when comparing multiple indicators, to delete the systems automatic standardization function. You can zoom in the graph by selecting part of the graph or a given period in the Zoom bar with the mouse pointer.

3.7.1. Comparison of indicator


From the indicator graph, you have the possibility to select indicators for comparison purposes. This feature lets you compare up to 5 indicators having different scales. When clicking the Compare icon, the system displays the list of all indicators from which you can select five indicators. Should you select more, you will receive an error message from the system stating that the display is limited to 5 indicators.

3.7.3. Identification of Root-Cause relationships


The system is equipped with powerful datamining algorithms which enable us to identify the indicators which influence, or are influenced by, other indicators over periods of time. When the algorithm finds an influence link on the selected indicator, it displays the Root-Cause tabsheet in the Details window. As shown below, the selected indicator appears in the center of the tabsheet, below the indicators which influence it and above the indicators which are influenced by the selected one. The system also provides a prediction of the influence on the results estimated over the following month. You can compare each indicator (leading and lagging) to display them in the comparison window.

Our algorithms classify your data by searching for groups of indicators having strong interactions so as to constitute a group (cluster) of leading indicators. The system analyzes all your indicators, throughout all sites, activities and domains to identify similarities over a period of time. Related indicators are gathered in groups (clusters) and the system goes on to identify the leading indicators, enabling you to maintain an overall picture of your performances. To see all the correlations identified by the system, click the Correlations tabsheet. You can display them in table or in graph format representing the distance of each indicator belonging to a given group. This method presents is of significant interest as it allows a global approach and picture (inter-domain) of the results. Traditional business intelligence methods emprison you in a sector of activity and prevent the identification of root-causes throughout the balance of your results.

Scoreboard

The Scoreboard module provides an instant view of your results giving you, as a business manager, a global view of your achievements. Browsing in this view is user-friendly. Simply click the scorecard (square) for which you want details. Colour codes: As you can see in the screenshot above, scorecards are identified by a colour. By default, sorting is based on the name of the indicators but this calculation can be modified by selecting a different sorting criterion. Click the Order by (Sort) button in the context menu. This mode of analysis is particularly appropriate for the follow-up of teams and company targets. The analysis by trend classifies your indicators in terms of improvement or decline as compared to the period selected in your Control center (see Main screen section).

Correlation Matrix (Data Mining)

This module displays, in a single view, all your indicators in an adjacency matrix where each cell represents the link between two indicators. Our algorithms show all correlations even when they intervene after time has passed. However, the effectiveness of the matrix is highly dependent on the display order of the lines and columns. If correlated indicators are placed side-by-side, it is easier to identify leading clusters (influencing groups). You can sort this view according to the criteria set out in the Sorting drop-down menu. In addition to by Name, there is: by Frequency - Shows indicators that are relatively little correlated with the rest of the indicators (in grey). This analysis highlights outlier indicators (abnormal observations), coloured in dark grey, that have little relation to the rest of your indicators. by Clusters - Organizes the indicators by groups of leading data and show the links between correlated indicators. In this case, the cell colour depends on the clusters identified by our algorithms. The darker the colour, the stronger the correlation.

This module is also very effective in comparing two selected indicators. The depth of the colour in the cells indicates the degree of correlation and spurs you to compare indicators which seem strongly correlated.

Word Definition

This type of indicator changes when other indicators changes. They have a direct cause and effect relationship.
Coincident indicators

Example: The indicator Rotation of Parts stock will coincide with the Parts turnover indicator.
KPI Key Performance Indicator

This type of indicator confirms the rise or drop shown by the leading KPI and is the indicator companies follow the most. It generally indicates the current state of an element.
Lagging KPI

Example 1: The indicator Evolution of the Workshop turnover will generally follow the increase of workshop productivity and mechanics efficiency. Example 2: Traffic lights The red traffic light confirms the prediction of the amber light. We can conclude that the red light is influenced (lags) by the amber light. This type of indicator rises or drops before the others so it can, once it has been identified, predict the future. Example 1: The Number of Workshop Product hours indicator will generally precede the Workshop turnover indicator. If my mechanics are ill or on vacation, my production capacity is reduced with a corresponding effect on my turnover. Example 2: Traffic lights The amber traffic light predicts that the red light will turn on so the amber light is a leader for the red light. An indicator (whether qualitative or of quantitative) generally describes a state and/or supplies an answer which cannot be directly perceived. This is called a metric in the performance jargon. Month to date Performance indicators, more commonly called KPI (Key Performance Indicators), are decision-making indicators that can be measured. An indicator is a tool for evaluation that helps the decision-making process (piloting, adjustment and retrocorrection). It is used to measure a situation or a trend in a relatively objective manner, at a given moment in time or space. An indicator can be considered a summary of complex information which enables various actors (scientists, managers, etc.) to discuss together. An indicator may include other indicators. This is called a performande indicator.
