Event Proposal: Roundtable Coffee Conversation with Experts

Event Overview
Roundtable Coffee Conversation with Experts for agenda setting for an eventual
workshop on Philippines: Engaging China program of APPFI.

The program will then invite experts to write a short piece (1000 words) which can
provide the structure of continuing discussions and programs.

During this event, experts will be able to brainstorm positive ideas in an informal conversation-
setting on how Philippines can and should engage China.

The key outputs of the Roundtable and succeeding workshops will be compiled and
published in an online China Program Bulletin aka Bulletin. The bulletin, modeled after
the McKinsey quarterly, aims to be one of the signature offerings of APPFI.

A concept paper for the Bulletin will be forthcoming.

Materials from this roundtable may also be used as content for the website and future
workshops.

Goals & Objectives of Event
Goal #1: To increase dialogue among relevant experts and stakeholders in the field of
Philippines-China (P-C).
Objective 1.1: To provide a platform for relevant members to discuss, share ideas, and
knowledge about P-C.
Objective 1.2: To request for short publishable engagement proposals for participants and
publish key outputs of dialogue in an Online Bulletin.

Goal #2: Initial steps to develop roadmaps in P more positive engagement with C.
Objective 2.1: 1.) To take stock of where we are in P-C relations; 2) where we want to be 3)
what needs to be done to bring relations closer to where we want it; 4) how best to go
about it.
Objective 2.2: To develop topics that may be incorporated into a workshop program.

Goal #3: To introduce APPFI and China Program to key persons.
Objective 3.1: To establish partnerships/collaboration with individuals and organizations that
represents/serves relevant groups in the community.
Objective 3.2: To establish the image of APPFI as a dialogue-partner, and a center of experts.
Objective 3.3: To utilize the Bulletin as a marketing tool to generate funds for future programs.

*I feel we need someone in the business and tourism sectors specifically trade and
someone from Boracay, which has seen a dramatic spike in Chinese tourists.

Method of Achieving Goals and Objectives
The method for achieving Goals and Objectives will be:
Survey current experts added value for the roundtable. Perhaps ask them directly
how they think they can add value or which specialization theyd like to contribute??
Recruit relevant experts as contributors to group think.
Call and send an invitation letter with details of what they can expect.
Host the Roundtable Coffee Forum with a setting that is conducive to positive
thinking and sharing.
Survey participants ways for feedback.
Staff needed to assist at event
o Moderator: President
o Program manager: oversee smooth flow in preparation (invitation,
reservation) and execution (head volunteers, registration, payment of tab,
etc.)
o Program assistant (volunteer or paid with honorarium): One or two people
who assist PM to make sure details are perfected including registration,
seating, transcribing, and other duties that may come up at the day of event.
Security should also be considered though it is unlikely they would be needed.

Needed Resources

Facilities
The location must provide a positive and conducive environment for free flow of
discussion. It will be around Cubao or Ortigas. Coffee and healthy foods shall be served.
Equipment/Supplies
Relevant marketing materials of APPFI should be given to the experts including:
Objectives of Program and Agenda/Schedule clearly visible to help everyone stay focus.
Projector equipment??
Do we give allocated speaking time to each expert?
Do we reimburse transit costs of experts/volunteers?
Do we have tokens of appreciation?

Budget
P800 per head, including lunch and coffee.

Evaluation of Finished Event
Transcribed materials (transcriber or video??) would be collected for review and inclusion
in the Bulletin. Experts consulted could be surveyed or followed up via telephone, email,
or meeting following the event. Internal evaluation may also be made.
