AMA EAST RIZAL CHORALE CONSTITUTION

PREAMBLE
We, the students of AMA East Rizal Computer College, Imploring the aid of Almighty God in order
to establish an organization, with the aim of promoting nationalism, patriotism, sportsmanship and
social justice, promoting the students rights welfare and development, promoting desirable
values, leadership and service supporting a quality education, do hereby promulgate and adopt
this constitution and by-laws.

ARTICLE I - NAME
This organization shall be known as the AMA East Rizal Chorale, also designated as AERC, a
non-profit organization incorporated in the State of Connecticut.

ARTICLE II - PURPOSE AND OBJECTIVES


SECTION 1
The purpose for which AERC is organized and operated is exclusively literary and educational
which our aim is to promote our passion is singing, particular in choral music.
SECTION 2
The objectives of the AERC shall be to promote the performance of quality choral music, on a
non-profit basis, (1) to enhance the enjoyment and enrichment of its members, (2) to contribute to
the furtherance of the performing arts in the community, and (3) to serve as an educational force,
especially for young singers.
SECTION 3
In furtherance thereof, AERC will prepare rehearsals, vocal tutorials and special events, provide
educational opportunities, seek and accept funding, enter into contracts, and conduct any and all
activities in which a non-profit, non-stock corporation may legally engage in the state of
Connecticut in accordance with these bylaws.

ARTICLE III - DESCRIPTION AND DUTIES OF THE ORGANIZATION


SECTION 1
1.1 There shall be an organization composes of officers with a President, Vice-President,
Secretary, Treasurer, Auditor, and Public Relations Officer.
1.2 These officers shall be referred to as AMA East Rizal Chorale Officers.

1.3 The officers must have the following qualifications:


1.3.1 He/she must be a bona fide student of AMA Computer College East Rizal Campus.
1.3.2 He/she must be a valid member of the organization.
1.3.3 He/she must have a good moral character.
1.3.4 Members of the organization shall be open to all bona fide student of AMA Computer
College- East Rizal Campus.
1.3.5 He/she must be willing to learn and to have an interest with art of singing.
SECTION 2
2.1 Its members will elect the AERC Board of Officers with the consent from the subsequent
Board of Officers and Adviser/s for a team of three (3) consecutive trimesters or equivalent of (1)
year. If the subsequent Board of officers is not in quorum they shall appoint an ad hoc committee
to preside the election, again with consent of the Adviser/s. in case of vacancy in the position,
there shall be an election by the interim officers of the organization with the knowledge of the
Adviser.
2.2 The officers are required to run only twice for the same position. No officers should extend his
or her term in the position unless elected again by the members. The officers of the organization
with the knowledge of the Adviser/s shall penalize such extension.
2.3 in the election proceeding of the board of officers in organization, no persons shall be
nominated during his or her absence.
SECTION 3
3.1 The organization shall exercise the following responsibilities and functions:
3.1.1 The organization will show transparency on every decision and activity it participates.
3.1.2 The organization will comply with the schools policy written on the students handbook
3.1.3 The organization will protect all the members as long as they on the side of righteousness.
3.1.4 The organization will participate in all activities and projects of the school as long as it gives
benefits not only for the students but also on school itself.

ARTICLE IV - MEMBERSHIP
SECTION 1
The organization shall be composed of members from AMA Computer College- East Rizal
Campus.
SECTION 2
Just in case there will be members from AMA Medicine/Aviation - East Rizal Campus, it must
require to have a letter of consent to its dean before joining the org.

SECTION 3
3.1 All those who are willing to join the organization must satisfy all the qualifications and
requirements below:
3.1.1 An AERC member must have the following qualifications: must be enrolled in AMA
Computer College- East Rizal Campus and must have good moral character. Qualifications are
given to members because the next board of officers to be elected shall be taken from its
members.
3.1.2 An AERC member should comply with the following requirements:
3.1.2.1 Filled- up application form.
SECTION 4
4.1 Members should have rights and duties I the organization.
4.1.1 All members shall have equal opportunity and rights within the organization except for
special occasions such as the confidential issues involving the board of officers and adviser/s
only.
4.1.2 All members have the right to vote on the election of officers.
4.1.3 Members have the right to participate their ideas on any subject matter.
4.1.4 A member has the right to participate in all the activities and projects of the organization.
4.1.5 A member has the right to attend all regular meeting of the organization.
4.1.6 A member should respect the right of everyone.
SECTION 5
Admission of new members must be during the recruitment period only.

ARTICLE V - BOARD OF OFFICERS


SECTION 1
The governing body of the organization shall be called Board of Officers and shall be composed
of President, Vice President, Secretary, Treasurer, Auditor and Public Relation Officer.
SECTION 2
All officers shall be assigned on the administration and a management of the organization it
includes all the execution and control of all the regulation and operation of the organization.
SECTION 3

The board of officers must initiate all transaction and legal proceeding of the organization.
SECTION 4
The board of officers shall create committee for the proper preparation and upholding the
organization.
SECTION 5
Every officer is required to propose at least one activity every fiscal year.
SECTION 6
The board of officers shall manifest the decision- making. They will cast votes, starting from the
Vice-presidents down to the Public Relations Officer. If the votes are even, then the President
shall intervene and vote. The presidents vote shall be final and executor.

ARTICLE VIII OPERATIONS


SECTION 1 Rehearsal Hours
The AMA East Rizal Chorale shall have a minimum of 3 hours of rehearsals per week.
SECTION 2 Attendance
The AMA East Rizal Chorale are to be present at every general rehearsal and are required to sign
the attendance monitoring.
SECTION 3 Special Rehearsals
Special rehearsals may be called with the proper permission of the president/choir director.
SECTION 4 Distinction of performances and rehearsals
Performances and/or services (e.g. on-call performances, mass sponsorships, concerts, etc.) are
distinct from rehearsals.
SECTION 5 Members Selection
Every performances should require selection of members that will perform, depending on their
performance and attendance.
SECTION 6 Evaluation
Members shall submit themselves to an evaluation process per trimester.

ARTICLE VII AMENDMENTS


SECTION 1 Amendments proposal

1.1 Proponents shall be any of the active members of the AMA East Rizal Chorale
1.2 Proponents may submit their propositions to amend this constitution in writing at any meeting
at which 75% of the active members are present.

SECTION 2 Ratification of amendments


The Choir Director, together with the President, Vice-President Internal, and Vice-President
External, shall have the final decision for any amendment of this constitution.
SECTION 3 Effective period
Any amendment of this constitution shall be effective the following year.

ARTICLE I POWER, DUTY AND RESPONSIBILITYOF THE BOARD OF OFFICERS


SECTION 1
The decision- making body of the organization shall be vested on the board of officers.
SECTION 2 President
2.1 Power, duties and responsibilities of the President
2.1.1 The president shall be the Chief Executive Officer and the Choir Director of the
organization.
He/she shall conduct and supervise all rehearsals/meetings as he or she deems necessary.
He/she assigned on the overall administration and management of the organization. Moreover, he
or she shall have the power to supervise and control all the regulation and operation of the
organization.
2.1.2 He or she must have the knowledge and approval of all the transaction made in the
organization.
2.1.3 He or she is responsible for the supervision of activities held by the organization.
2.1.4 He or she must ascertain that all transaction, activities and proceedings are properly
documented in the right procedure.
2.1.5 All decision must have his or her knowledge and final approval.
2.1.6 All of his or her financial statement or report must be fully audited.
2.1.7 He or she is responsible in checking the financial breakdown done duly signed by the
treasurer and auditor.
2.1.8 He or she must observe the organizations constitution.
2.1.9 He or she ensures the propagation and development of the organization. He or she must
ascertain that it is in the proper direction and order.
SECTION 3 Vice President
3.1 Power, duties and responsibilities of the Vice-President.
3.1.1 These are the duties and responsibilities of the Vice-President:

3.1.1.1 He or she shall be responsible on the internal and external affairs of the organization.
3.1.1.2 He or she shall see to it that the organization is on the right path and proper order.
3.1.1.3 He or she shall support the President, in every decision or ideas that is presented. He or
she can also decline but only during cast votes in decision-making.
3.1.1.4 He or she must inform the President if there are problems. In thee absence of the
President, he or she shall take over and have complete authority on the organization.
3.1.1.5 He or she will hold and back-up the President in the supervision and management of the
organization.
3.1.1.6 He or she shall see to it that the organization is in good relation with other AMA Computer
College-East Rizal Campus organizations.
3.1.1.7 He or she is responsible on the seminars and conventions held outside the organization
and school. He/she must see to it that the organization may be able to register.
3.1.1.8 He or she is responsible in dealing and conversing with the other organization.
3.1.1.9 He or she must respect the authority of the President.
SECTION 4 Secretary
4.1 Power, duties and responsibilities of the Secretary.
4.1.1 The Secretary shall be assigned on the preparation and sake keeping of all documents and
report of the organization.
4.1.2 He or she shall receive and keep all the important papers and documents.
4.1.3 He or she must take down all the important details and topics or make minutes of the
meeting and assemblies. She/he shall remind the President about important details and events
that shall occur during his or her term.
4.1.4 The secretary must document properly the transactions made on the organization.
4.1.5 He or she must receive all documents and forward it to the president for checking.
4.1.6 He or she is responsible for securing all the letters and documents to be signed.
4.1.7 He or she must observe the organizations constitution.
SECTION 5 Treasurer
5.1 Power, duties and responsibilities of the Treasurer.
5.1.1 The Treasurer shall have the right to collect penalties, hold fees and funds of the
organization.
5.1.2 She/he shall be the legal co-signer and co-depositor together with the President regarding
the financial and business transaction of the organization.

5.1.3 The Treasurer shall be authorized to execute transactions provided that she/he has
obtained the approval and consent of the President.
5.1.4 She/he must ensure that all the funds off the organization are documented properly and
audited by the Author.
5.1.5 She/he must submit financial reports to the board of officer. He/she is accountable if there
are a loss I the funds of the organization.
5.1.6 She/he must always consult the Board of Officers on any financial transaction made.
5.1.7 She/he must observe the organizations constitution.
SECTION 6 Auditor
6.1 Power, duties and responsibilities of the Auditor.
6.1.1 The Auditor monitors and assesses the financial transactions made by the treasurer.
6.1.2 She/he ensures the proper safekeeping of the properties owned by the organization.
6.1.3 She/he is responsible for the proper documentation of the financial statement forwarded by
the Treasurer.
6.1.4 She/he is responsible for the proper documentation of the financial statement matters on
the official Auditors logbook.
6.1.5 She/he must gather all financial transactions and other important financial matters on the
official reports on the organization.
6.1.6 She/he must observe the organizations constitution.
SECTION 7 Public Relations Officer (PRO)
7.1 Power, duties and responsibilities of A Public Relation Officer.
7.1.1 The Public Relation Officer or so-called P.R.O shall represent the Organization on any
affairs of the school. He or shall should coordinate with the Vice-President regarding events and
activities participated with.
7.1.2 He or she will be the one to post and announce every activity done by the organization.
7.1.3 He or she should ensure that the organization is at ease with the school body.
7.1.4 He or she must monitor the organizations bulletin board.
7.1.5 He or she must proofread all announcements and notices posted.
7.1.6 He or she must observe the organizations constitution.
ARTICLE II MEETINGS
SECTION 1 - Annual Meetings

1.1 Annual Meeting shall be held each year on the Monday immediately following the final
scheduled subscription concert of the season to hear reports of the Operating Officers and
various committees and to act upon any general business, including elections, of the AERC.
1.2 The Annual Meeting shall be chaired by the President or duly appointed designee, and shall
proceed by Robert's Rules of Order. A quorum for the annual meeting shall consist of fifty percent
of the Members.

SECTION 2 - Rehearsals
2.1 Rehearsals must be held once a week or up to thrice a week, depending on how it is needed,
especially when having major activities and competitions.
2.2 Every Rehearsals must conduct penalties for those who were absent or late.
SECTION 3 - Emergency Meetings
3.1 The President or duly appointed designee may call and chair an emergency meeting of the
AERC. Actions of an Emergency Meeting shall be subject to approval at the following Annual
Meeting upon challenge by any member. Actions specifically disallowed at emergency meetings
are: (1) dismissal of any member or Officer, (2) revision of Bylaws, (3) authorization for
expenditure of more than $500, and (4) vote on any major change(s) which could jeopardize the
continued existence of the AERC. The quorum for emergency meetings shall equal that of Annual
Meetings.

ARTICLE III AUDITION PROCESS


SECTION 1
Aspirants shall apply for membership followed by the standard audition process.
SECTION 2
Applicants shall prepare 1 English contest piece and 1 Filipino contest piece.
SECTION 3
There will be three (3) judges, namely the President/Choir Director, Adviser and a faculty member
of AMA East Rizal Campus.
SECTION 4
After careful deliberation with the Choir Director, callbacks will be announced.
SECTION 5
Applicants shall pair up and sing a duet before the organizational body present.
SECTION 6

A final listing will be announced, henceforth, probationary membership or trainee status will be
given to successful applicants.

ARTICLE IV STANDING COMMITTEES


SECTION 1
The President may establish standing committees and appoint committee chairpersons for the
betterment of the organization.
SECTION 2
Committees shall constitute technical works, physical arrangements, socio-cultural, cosmetics,
aesthetics, liturgy and worship, and documentations.
SECTION 3
The following functions of the committees:

Technical works responsible for the technicalities during rehearsals and performances.
He/she prepares and sets up the technical facilities and is also responsible of the dismantling and
returning of the facilities after rehearsals and/or performances.

Arrangements - Responsible of the physical arrangement of the choir members during


rehearsals. He/she sees to it that members are seated at their assigned seats during rehearsals.
He/she is also responsible of the physical arrangements of the guests during performances and
other choir functions. He/she is also in charge of the maintenance and cleanliness of the choir
room.

Socio-cultural - responsible of the artistic direction and choreography during major and
minor performances.

Cosmetics responsible for the cosmetics to be used solely for performances. He/she
keeps, provides, and applies the cosmetics during the performances. He/she is in-charge of the
uniformity of cosmetic application.

Aesthetics responsible for the beautification of the choir members during performances,
aesthetics of the choir room, maintenance of the bulletin board, stage decoration during
performances and other aspects of aesthetics.

Liturgy and worship responsible for the liturgy and spirituality of the organization.
He/she takes charge of the prayer leaders during rehearsals and performances. He/she
inculcates spirituality among the choir members. He/she is responsible and is very essential in
the decision making in the choices of liturgical songs to be sung during the Holy Masses where
the choir is invited and/or is required to sing in. He/she also organizes spiritual affairs for the
organization.

Documentation documents all the activities and functions of the organization.

SECTION 4

The standing committees shall be under the control of the Executive Committee.
SECTION 5
Power to remove standing committee chairpersons and standing committees shall be with the
president.

SECTION 6
Committee chairpersons shall be privileged as honorary officers.
SECTION 7
Term of office for all honorary officers shall be one academic year.
ARTICLE V ADVISERS

SECTION 1
The organization should at least have one (1) Adviser.
SECTION 2
The adviser should be a faculty member at AMA Computer College-East Rizal Campus.
Regarding the Alumni Founder and Member,
SECTION 3
They should always be knowledge and open to speak up to the organization for suggestion or
advice.
SECTION 4
The power and duties of the adviser are limited only to consultation, advise, support, participation
and recommendation regarding activities and projects of the organization.
SECTION 5
The advisers are not allowed to handle any financial matter of the organization.

ARTICLE VI CODE OF CONDUCT


SECTION 1

Each and every member should respect the authority and power of every officer of the
organization. At the same time, Officers should respect the rights of their members.
SECTION 2
Every member and officer should recognize the well-being and interests each other.
SECTION 3
Every member and officer should prevent unlawful acts and always be just and fair in every
decision made.
SECTION 4
Every Officer should extend assistance, guidance and training to all its subordinates.
SECTION 5
Every Officer and member shall offer his skills, ability and expertise to the services of the
Organization.
SECTION 6
Every Officers as members shall not accept allowances directly or indirectly from any other officer
or member that can be considered as bribery.
SECTION 7
No person shall assume represent himself/herself as a AMA East Rizal Chorale Officer or
member unless he/she is recognized. She/he shall be answerable to the officer and Adviser/s of
the Organization.
SECTION 8
No person shall represent himself/herself as an AMA East Rizal Chorale member or Officer
regarding activities held unless he is recognized and approved by the organization body.
SECTION 9
No Officer or member shall represent himself/herself to any activity not unless he/she is
recommended by the organization body and Adviser/s.
SECTION 10
No Officer or member shall involve himself to any activity without passing the proper quorum and
method.
ARTICLE VII FINANCES

SECTION 1
The finances of the organization shall be the sole responsibility of the treasurer.

SECTION 2
Cash Receipts and Disbursements must be in an official cash flow record supported by source
documents.

SECTION 3
The treasurer shall prepare a cash flow statement per semester for transparency and
accountability.

ARTICLE VIII PENALTIES


SECTION 1
Power to reprimand and castigate shall be with the respective department by which the nature of
the offense falls.

SECTION 2 Attendance
2.1 Tardiness will not be tolerated. Fines will be collected for unexcused tardiness. Measure of
fine payments shall be at the discretion of the Executive Committee.
2.2 Two (2) unexcused tardiness will tantamount to 1 absence.
2.3 Unexcused absences shall be fined. Measure of fine payments shall be at the discretion of
the Executive Committee.
SECTION 3 Costumes and accessories
3.1 Unreturned costumes and accessories at the specified due date shall be fined. Measure of
fine payments shall be at the discretion of the Chief Custodians.
3.2 Damaged costumes and accessories must be replaced.
SECTION 4 Musical Pieces
4.1 Unreturned Musical Pieces must at the specified due date shall be fined. Measure of fine
payments shall be at the discretion of the Chief Librarians.
4.2 Damaged Musical Pieces must be replaced.
SECTION 5
Minor offenses shall be allowed only three (3) warnings. Minor Offenses constitute:
1.

Unnecessary talking during rehearsals and performances.

2.

Tardiness

3.

Unreturned choir property on due dates

4.

Eating, playing, or any unnecessary actions during rehearsals and performances.

5.

Other offenses deemed minor

SECTION 6
Major offenses shall be allowed only one (1) warning and the offender must submit himself/herself
to a fair trial and questioning. Major offenses includes
1.

Theft

2.

Four (4) unexplained absences.

3.
Grave misconduct (e.g. disrespect to the choir director and/or any of the officers and
the organizational body, dishonesty, etc.)
4.

Minor offenses given three warnings

5.

Other offenses deemed major

SECTION 7
Major offenses, after given one warning, tantamount to Expulsion from the AMA East Rizal
Chorale relieving him/her of the rights and privileges given to bona fide AMA East Rizal Chorale
Active and Probationary Members.
SECTION 8
Expulsion is irrevocable.
SECTION 9
An expelled member shall not be accepted again as he/she will apply again as a member.
