Habits of Conduct

Preamble
All members of Team Microsec- Officers, Business
Partners and Associates share responsibility for the
welfare of the Organization. That obligation extends not
just to the individuals, but to all other parts of the
Organization. Unique in the Corporate Sector, Team
Microsec depends in significant measure upon the
integrity, honesty and professional conduct of their
members.
With the commitment to put Microsec into the practice of
Total Quality Management in all spheres of individual and
organizational work areas, The Team Microsec and its
members will strive to ensure that all activity conducted
by, at, or on behalf of the organization is in full
compliance with the Microsec Habit of Conduct- The
Spirit of Microsec.
For any query or clarification, all the members of Team
Microsec are requested to feel free to communicate at

Basic Values & Ethics


Always wish your colleagues on the first meeting.

Always receive calls by wishing the caller first followed by


Companys name.
Use formal style of addressing your colleagues and clients.
Maintain healthy relationship with your seniors.
Dont do wobbly talk.
Always inform your respective seniors before leaving office for any
official/personal work during office hours.
Dual employment of any team member of Microsec is strictly
against the habits of conduct and policy of Microsec.
Personal Profit or personal goals of team members should be in
synchronization with the objectives and core values of Microsec.
This will create a win-win situation for both i.e. employees and
Microsec.

Discipline

Habit of being late for office work is not appreciated at Microsec .


Late coming and late going both the habits are equally predicament
and not matching with the habits of conduct of Microsec.
Priority Mismatch of team member may lead towards conflict with
the priorities of Microsec. This situation will create hindrances in
achievement of common objective of the Microsec.
Professional Honesty: Should not pursue any activity, business or
any other occupation outside employment with the company (even
in the name of relative , family members, friends etc. ) which takes
up any part of office time or which is in direct or indirect conflict
with business interests of the company.

Always have a positive attitude towards work and life.


Dont be a problem Creator but try and be a solution Provider
Always encourage good activities around workplace, do not
accept and digest wrong things but should brought in notice of
concerned stake holder for immediate rectification .
Take ownership towards your area of work.
Bring creativity in professional and social life to optimize your
role into the organization and society.

Attendance Policy
As a dynamic and growth oriented organization,
Microsec doesnt appreciate late coming.
To maintain the work life balance Microsec does not
appreciate Late hour working until and unless it is an
absolute necessary.
Please ensure that attendance should be marked
within defined time by HR department through
biometric system installed at office premises.
In and out both the attendance are equally mandatory,
incase of any deviation for official purpose employee is
supposed to communicate through email to HOD with
mark a copy to HR well in advance. Email id for the
same is hrd@microsec.in.
3 late in a month 1 leave will be deducted accordingly
from the leave balance. If all leave exhausted then it
will be treated leave without pay.
No deviation from above guidelines will be accepted at
any circumstances.

Handling Clients
Maintain Punctuality for all meetings with the clients.
Always offer business card first and conduct in a polite and professional manner.
Avoid loose talk, be calm and control emotions while interacting with client.

Carry all the required documents/articles required for the meeting.


Please inform the client well in advance in case there is any change in
appointment schedule.

Take notes to avoid any misunderstanding.


Remain calm in a conflict situation.
Offer your hand for handshake but if the offer not taken do not press the point.

Handling Visitors

Ensure adherence to timelines when meeting visitors who have


sought prior appointments.
For those who have come in with no appointment, try to meet
at the earliest. In case you have a busy schedule, please inform
the visitor about the same and request them to come later.
Please inform the client well in advance in case there is any
change in appointment schedule.

Use of common space


Please check the availability of training/conference or boardroom
before fix up any event or meeting.
Without prior booking of common space, problems may arise in
execution of meeting or event.
To book the common space administration support team can be
approached who can tell the status of availability of the resources
on desired date and time.
Ensure the cleanliness of the common space after meeting or any
other event.
Please use of resources such as LCD projector, LED screen in
efficient manner. After meeting/event do not forget to switch off
the lights and other electronic gadget.

Dress Code
Be formally dressed on all days (except Saturdays)
Plain/check/striped full shirts with formal trouser and formal
well polished shoes for men and Sarees, Salwar Suit or Western
formals for Women.
Shoes should be formal and well polished. It can be either black
or brown.
Casuals may be worn on Saturdays provided there is no official
meeting with clients.
Round neck T shirts and bright colored/printed clothes are to be
avoided. Slippers and bright socks are not acceptable.
Shave regularly.

Internet Policy
Use internet only on need basis.
Download/transmit content from internet sites, only if it is work
related.
Please do not download software from internet and install it
without prior permission from the administrator.
In case of unusual occurrences, please inform the administrator
immediately.
Do not interfere with others computers or network users.
Do not use internet access to transmit confidential, political,
obscene, threatening or harassing materials.
Uses of social networking sites are strictly prohibited.

Laptops/Desktops
Employees who have official laptops should ensure safety and
good condition of the laptop.
Lost and damaged laptops will be accounted on the employees
salary as per the current Market price.
No games, MP3, Chat software etc should be loaded on to the
hard disk of the Laptop.
Employees should take back up for all relevant data.
Please do not put any wallpaper except Microsecs wallpaper set
by IT administrator.
Please ensure that before leaving laptops and desktops must be
switch off .

Laptops/Desktops should be kept in energy saving mode, when


not in use.

Email
Check email regularly, delete messages that are not required .
Check the address line and include a relevant subject to the
message being sent.
Put the address of the recipient only after completing the mail,
to avoid sending incomplete emails.
Every mail should have the companys disclaimer clause in terms
of privacy and secrecy.
Please do not print email messages unless absolutely necessary.
Please respond to sender of email with expected response
within 24 hrs of receipt of email.
The e-mail should be personally addressed
Please do not use capital letters while drafting emails. USING
CAPITALS LETTERS MEANS THAT SENDER OF THE MAIL IS
SHOUTING.
Dont forward chain mails within your office network, these
chain mails may contain viruses and harm the internal network
of the organization.

Telephone
Minimize personal talk.
Prepare own self before dialing.
Greet first on making & receiving the calls.
Talk to the point and note important information.

Incase of receipt of any telephone call related with


other department please mind to transfer that call or
take a note and give the feedback to the concerned
department. This reflects our team spirit.
Do not keep lines busy unnecessarily.
Use telephone by yourself. Do not depend upon
receptionist except for STD calls.

Use technology for maximization of efficiency.


Keep the ring tone on minimum level or vibrating
mode.

Basic Telephone Etiquette

Adopt proper etiquette and mannerisms based on gender, region,


time and objective of call. Good morning/ evening/
Never have food or tea while talking over the phone it makes a very
lousy sound at the other end
Wait for the caller to hang the receiver first
Try not to keep the caller waiting or on hold for longer duration.
In case of longer hold periods inform the customer on the time that
will be taken
Concentrate on the phone calls do not do too many things at the
same time

House keeping
It is the responsibility of each and every employee to keep their area of
work, computer and accessories in clean and tidy manner.

No papers, files, documents, pencils, pens, erasers, etc. should be kept


lying on the table when leaving office.
It is the paramount responsibility of the employee concerned to keep their
table clean of any unnecessary papers.
No files or other documents should be kept open while leaving their table
even for a temporary purpose. All computers, if not used, should be kept
in shut down manner to avoid unnecessary abuse of electricity and also to
keep the information assets in safe and secure conditions.
It is the responsibility of the employee concerned to keep their table/desk
clean after having lunch.
The tea/coffee vending machine is installed for self service. Do not depend
on the office boy for serving the tea/coffee.
