I.

a. Background

Situated at 12km Southwest of Palawig San Andres Virac, Catanduanes, the Amenia Beach
Resort is located in a calm and serene zero polluted area. Completely away from the hustle and with an
easy access from the town. It has a reasonable price accommodation that makes the area more appealing
on the people, not to mentions its pristine waters and creamy combed sand and of course the perfect view
of the Mount Mayon.
With well decorated cottages, the place provides all amenities and facilities, from function halls,
good for small meetings or birthday parties, a huge pool are where children and adults enjoy and a garden
with outdoor games suited for kids.
At present, about 11 employees only are working hand in hand attached to several functions and
divisions of the resort. Both local and foreign guests reserve rooms, conduct meetings, celebrate cocktail
parties, birthdays and many more other functions at the area. Employees are the key role of the resort.
They are assigned to keep room record, reservation details, control the inventory of resort and many more
other responsibilities.
Amenia Beach Resort is currently using a manual system to handle every single processes of the
business. Whenever a guest arrived on the premises and make a reservation they are required to fill up a
logbook, on the entrance area, with their personal details, which is a little bit of a problem for the
management because it was just stored in a cabinet along with the other important informations of the
business transactions being done manually as well.
Even the records regarding the payment for the entrance fees, the pool, cottages rentals, and the
function halls are separate also, as well as the bills and the issuance of the receipt, all are being
maintained on papers. Now, we can't avoid the fact that day by day, number of guests are increasing and it
is inevitable these days that maintaining all the records of the business transactions of the resort would be
very difficult to handle. As the system is a filed based one, management have to put much effort on
securing every files because when a problem occurs, it is very hard to restore the information of every
guests.
Sometimes when a particular guest wants to make a change on the reservation, performing this
kind of search is difficult in a manual system. Also, the management is planning to expand more of the
business like a restaurant is being built so this might add to a lot of work about the billing and issuance of
receipt if done manually. This process would be tough and will take a lot of time for the management to
search all the records in a file.

As we mentioned previously, the processes at Amenia Beach Resort are handled and being
recorded manually and stored on logbooks. The responsibility about handling the above processes are on
the employees and the business management.
By means of this manual method, it is very hard to look for the specific record - like about the
reservation details, guest details, room services, billing and payment details even though it is being
arranged.
It is also very time consuming because when a guest makes a reservation, the staff needs to keep
files in two separate places. This kind of process causes the increasing of files which leads to wanting of
physical space. Whenever a top level person of the management ask for the number of visitors who came
last year, the staff would be in great problem, since they are still going to look for it through all the files
and gathering the exact required details may take hours.
Regarding the billing issues, the management would encounter problem like when a guest ask for the
accuracy of the calculations, when it is being computed manually, of course it will take a lot of time to
come up with the correct calculations of bill which will just disappoint a guest.
