TYPING 1 HANDOUTS ON PROFESSIONAL

DOCUMENTS CREATION:

BUSINESS

I. BUSINESS LETTER is a formal written communication made by


one party called the addressor (sender) and addressed to
another party called the addressee (receiver)
A complete business letter should at least contain the
following:
A. ESSENTIAL PARTS:
1. Letterhead (Heading) contains the name of company and
address. It may also include its telephone number, fax
number, and/or mailing address. The letterhead is the official
return address of the letter sender.
2. Date For legal reasons or otherwise, the date to be used is
always the current date.
3. Inside address refers to the address of the addressee
(receiver). It contains the name of person, his title/position,
and/or the name of company, and address.
4. Salutation a greeting, an expression of courtesy to the party
addressed by the addressor.
5. Body contains the message. The body of the letter must be
concise but complete, and properly structured.
6. Complimentary Close the part that conventionally comes
before the signature and expresses the senders final regard
to the receiver.
7. Signature consist of printed name of the addressor and the
affixed handwriting to signify validity of the letter.
8. Designation title or position of the addressor.
9. Initials identifying first letters taken from the full name of
the addressor and the secretary or typist. The signatory
initials are first typed all in capital letters followed by the
typist initials but separated with a bar.

B. PUNCTUATION FORMS IN BUSINESS LETTERS:


1. Mixed or Standard uses colon after the salutation and comma
at the end of complimentary close.
2. Open no punctuation mark at the end of inside address,
salutation and complimentary close.
3. Close comma is placed at the end of each line and period at
the last line of inside address, colon after salutation, comma
after complimentary close and signature, and period after the
addressor designation.
C. LETTER STYLE VS LETTER PLACEMENT
Letter Styles prescribes the horizontal placement of parts of
the letter and the punctuation forms used thereat.
Whereas,
Letter Placements prescribes the vertical placement of parts of
the letter respective to the letter placement type.

D. DIFFERENT LETTER STYLES


1. Full-blocked- each part of the letter is started at the left
margin except the letterhead that is placed at the center
regardless of letter style. This style observes the open
punctuation form.

started at left margin while the second to last lines, if any,
are indented 5 to 10 spaces from left margin.
3. Blocked all lines of each paragraph are started at left
margin.

E. TYPES OF LETTER PLACEMENT


1. Conventional Letter Placement prescribed vertical placement
of parts of the letter respective to its length.
2. Simplified Letter Placement prescribes permanent vertical
placement of parts of the letter regardless of its length:
a. Letterhead 7 line spaces from top edge of typing paper
b. Date 15 line spaces from the top edge of typing paper
c. Inside address 5 line spaces below dateline
d. Salutation 2 line spaces below salutation
e. Body 2 line spaces below salutation
f. Complimentary Close 2 line spaces below last line of the
body
g. Typed Signature 4 lines below complimentary close.
h. Designation 1 line space below typed signature

It is important to note that it has been a common


practice that if attention line is employed in the letter, name

of person or department stated on said line has also been


indicated on the mailing envelope usually at the bottom left.
2. Letter with Subject Line the subject line is placed 2 line
spaces below salutation. The line may either begin with the
word RE or the word SUBJECT and immediately followed
by colon (:). The subject line is presented similar to
attention line. Consistency wise, if the letter has both
attention line and subject line, the two should be printed in
the same style.
3. Letter with Body Enumeration/Quotation the body
enumeration comes right after the word entry of a paragraph
that implies the start of enumeration/quotation, which is
ended with colon.

G. CONVENTIONAL LETTER PLACEMENT


Unlike in simplified letter Placement where the Horizontal
Placement of parts of the letter has been fixed on specific printing
line, the Conventional Letter Placement is designed to present
the business letter with balance top and bottom, and left and right

TO THE STOCKHOLDERS
The favorable operating conditions that your management looked forward to did
not materialize during the year under review and as such, your company had to contend
more heavily with the burdensome effects of inflation and high costs.
Milling results using gravity concentration and amalgamation yielded 7,259.87
grams gold and 180 tons of complex concentrates containing 25 grams gold, 28 grams
silver, 185% copper, 98% zinc. All this represents 194 milling days with a total of 2,716
metric tons or ore delivered. Low recovery can be attributed to low grade ore, the long
hauling distance and highly inclement weather prevailing at the time. It must be
remembered that our operations since inception has been on gravity concentration and
amalgamation banking heavily on free gold. Since the occurrence of free gold is not
regular and dependable, production becomes difficult to project. Mine development
during the year continued at a slow pace in our quest for improved grades and quantity of
ore reserves.
Our previous report mentioned work being started on a new haulage level due to
the long hauling distance involved from the previous source. This new haulage level is
still in process and is expected to be completed in the last quarter of 200_..
Conduct of business as mentioned above continued under very stringent financial
conditions and our primary concern is how to keep the operations open in spite of
inflation and accelerating production costs which has badly affected many of the
established mines.
We are continuously introducing more improved techniques and additional
equipment in the circuit. Work on these has slowed down considerably during the year
due to our very poor cash flow. It is hopefully expected that shareholders will remit
substantially their subscription dues on the exercise of their pre-emptive rights of
September, 200_. Subscription receivables still amounted to about 90% of the total
amount due. Remittance of this is imperative if we are going to continue implementing
our primary objectives.

This mill was shut down during the last quarter of the year for adjustments and
repairs. In the interim, we are still conducting pilot tests on floatation and cyanidation as
well as study other methods with which to improve production.

Your company applied for inclusion in the 200_-200_ program of the National
Power Corporation of 69 KV line are currently about 35 kms. from our mill site.
Relations with labor remain cordial with no difficulties foreseen. The outlook for
the coming year will be very difficult to predict. Most gold producer suffered losses due
to low gold prices and high production costs in past couple of years. To date, gold has not
quite responded to inflationary influences as expected although a strong possibility exists
there. IFM sales have been very well absorbed with a very significant improvement in
industrial demand. This is expected to increase as world economic conditions improve.
In closing, we would like to acknowledge the efforts of our very young field staff
who are slowly gaining the much needed experience and expertise and hopefully be able
to deliver on time a viable mining operation. Shareholders patience and support is highly
appreciated.

The meeting was called to the order by the President who
appraised
the Board of the recent increase in oil price and its consequent effect
on business operations.
The Controller presented the financial statements for the First
Quarter when oil prices had not yet been increase. He informed the
Board that this oil situation would affect the profitability of the
Company.
The Board has in mind the welfare of its employees to enable
them to cushion the impact of the rising prices of commodities. It
plans to give monthly-paid employees.
Across-the-board increase of 15% and daily rated employees
10% retroactive in April 1. To finalize this plan, the Board agreed to
adjust selling price of products in order to maintain a 5% profit
margin more than the First Quarters.
The Sales Manager would study the pricing structure of the
company products; the Production Manager, to study the possibility of
reducing the production costs; and the Controller, to do the costing
and to prepare the proforma financial statements.
The President requested the three board members to come out
with the results of their studies to be discussed during the special
meeting on April 20.
The meeting was adjourned at 5:30 p.m.
