Downloading the Template


You can download the new template directly from
my.oracle.com/site/mktg/creative/Templates/PowerPoint/index.html

Saving the Template as Your Default


Please perform the following steps in the order specified for
best results. Note: PowerPoint 2013 users, theres an extra step
required (see next page).
1. Open a copy of the new template.
2. From the File tab, choose Save As.
3. At the bottom of the Save As dialog box, click the Save as
type drop-down arrow and select PowerPoint Template
(*.potx).
Important: The file path should automatically change to the Microsoft
Templates folder on your computer. If it does not, change the file type
to something else. Then change the file type back to a PowerPoint
template (*.potx) and it should refresh to the correct template folder
path on your computer.

Tip: Naming your template blank.potx makes it the


default template that will be applied automatically to all
new presentations.

4. In the File name box, type the word blank and click Save.
Note: If you have an existing template called blank saved in your
template folder, replace it with the new template.

Saving the Template as Your Default (PPT 2013 Users Only)


If youre using PowerPoint 2013, you must perform the
following steps before saving the template as your default,
as described on the previous page.

Place your cursor inside the field next to Default personal templates
location, right-click and choose Paste (be sure to replace the entire
path by highlighting all text before pasting).

6.

Replace the word in the path from PowerPoint to Templates and


click OK.

7.

Follow the same instructions outlined on page 13 of this guide for


saving the template as your default.

1. Open a copy of the new template.


2. From the File tab, choose Options to access the PowerPoint Options
dialog box.
3. Click Save (on left navigation bar).
4. Under Save Presentations, click inside the field next to AutoRecover
file location and scroll over (highlight) all text to select the entire path,
then right-click and choose Copy.

Converting Old Presentations to the New Oracle Template


There are several ways to convert an old presentation to
the new Oracle template. The method we recommend
(because it is simple and avoids a PowerPoint bug) is
outlined below.

Paste Options

1. Open an existing presentation.


2. In Slide Sorter View, select (Ctrl+A) and copy (Ctrl+C)
all slides.

3. Open a copy of the new Oracle template.


4. In Slide Sorter View, click paste (Ctrl+V).
5. A Paste Options clipboard icon
will appear. Hover
your mouse over the icon and select Use Destination
Theme (default).

Tip: If you want to have multiple template masters in a single


PowerPoint presentation, select Keep Source Formatting.

Note: The new template uses the standard, best practice names for slide
layouts. This will require that you pay special attention to updating layouts
when converting slides from the previous Oracle template to the new
template.

Converting Old Presentations to the New Oracle Template

Next, you will need to reset the slide layout of each slide
(during conversion, some elements including text and
graphics will need to be adjusted).
1. While in Slide Sorter view, select the slides that require a
layout applied.
2. From the Home tab, Slides group, click Layout to access the
slide gallery.

IMPORTANT! Text Placeholders vs. Text Boxes


Text placeholders are designed to house bulleted text and ensure
that all bulleted text will adhere to the master specifications in
the template.
Text boxes should only be used for text intended as a label or
additional notation (footnote, source info, a headline, etc.).

3. Select an appropriate slide layout.


4. When applying a slide layout to a slide on which a text box
was used (and not a text placeholder), do the following:
a. Cut the text out of the text box and paste it into the text
placeholder provided by the slide layout.
b. Delete the original text box.

Tip: To reset placeholders to their default position, size, and


formatting, click Reset within the Slides group, For Mac users:
click Reset Layout to Default Settings, located at the bottom
of the Layout gallery.

c. Click Reset within the Slides group.

Converting Between the New Template Sizes


In the new template the vertical size
of the slides is the same in both the
standard (4:3) and widescreen (16:9)
formats. Placeholder text is the same
size, also.

Recommended Opening and Closing Sequence


The opening slide is reserved for the Oracle logo.
The design composition of the standard title slide should never be altered. When copresenting, a partner logo title
slide is available.
The standard closing slide sequence should be the Hardware and Software, Engineered to Work Together slide,
followed by the Oracle logo slide.

Information Protection Policy Classification


Updating Footer Text
An information protection policy notice is built into the master
template in the footer placeholder. For all presentations
created for internal use, this notice must be updated with the
correct confidential information classification, which should not
be altered.
Note: Presentations created for public consumption do not
need to carry an information protection policy notice. They
DO need to include the Oracle copyright notice as included
in this template. Instructions for selecting the appropriate
confidential information classification for your Information
Protection Policy notice or for removing it from your template
for a public-facing presentation are provided on the next slide.
More information about information protection and
classification can be found in the Information Protection Policy.

Choose one of the following for your classified presentation

Confidential Oracle Internal: For information that must remain confidential


to Oraclefor example, companywide sendmails, employee training
materials, and internal company policies (certain policies, such as security
policies, may require a higher level of classification).

Confidential Oracle Restricted: For information that must remain


confidential to Oracle and for which unauthorized disclosure could be
reasonably expected to result in damage to Oracles businessfor example,
internal customer system configurations and requirements, competitive
analyses, employee personal contact information, customer contracts and
ordering documents, budget information, contracts and proposals from
vendors, and organization charts.

Confidential Oracle Highly Restricted: For information that must remain


confidential to Oracle and for which unauthorized disclosure could be
reasonably expected to result in significant damage to Oracles businessfor
example, strategic business plans such as acquisition plans; encryption keys;
information used to authenticate an individual, source code, unannounced
financial results; sensitive employee information (Social Security
number/national identifier, certain health information, etc.); and unfixed
product security vulnerabilities.

Slide Layout
Slide layouts in PowerPoint save you time!

Custom Slide Layout Options

When proper layout is applied, all elements on


a slide (bullets images, tables, charts, etc.) are
formatted seamlessly by the new template.
Note: There are 36 custom, predefined layouts
built into the new Oracle template.

Applying a Slide Layout


1. While in Normal view, from the Home tab, Slides
group, click the down arrow next to the New
Slide button to access the Layout gallery.

2. Select the slide layout that will best present the


information you wish to convey (e.g., if you are
presenting data in a chart, select a layout that
includes a chart).

Resetting a Slide Layout


From the Home Tab

1. While in Normal view, select the slide that


requires a new layout.

2. From the Home tab, Slides group, click the


Layout button to access the slide gallery.
3. Select an appropriate slide layout.
4. To reset placeholders to their default position,
size, and formatting.
PC: Click Reset within the Slides group.
Mac: Click Reset Layout to Default Settings located at the
bottom of the layout gallery.
Tip: You can apply a slide layout to multiple slides in slide sorter view by
selecting multiple slides (Shift + click) and clicking the Layout button from
the Home tab.

Premade Charts
Several premade charts are included in the new
template that leverage the Oracle-approved
theme colors.
Save time by simply copying a premade chart from
the template and modifying it with your data.
Detailed instructions on how to customize a
premade chart with your data are included in the
speaker notes of all premade charts.
Go to the View tab and select Notes Page OR
in Normal view, drag the notes pane (located at bottom)
upward.

Converting Charts from Earlier Versions of PowerPoint


To utilize PowerPoints full charting features, you
must first convert all charts created in earlier
versions of PowerPoint.
Convert a Chart
1. Double-click a chart (created in PowerPoint 2003
or earlier version).

2. When the dialog box appears, select Convert All.

How to Use a Premade Chart


From Slide Sorter View

Copy and Paste a Premade Chart


1. Open a copy of the new template.
2. From the View tab, select Slide Sorter.

3. Locate the premade chart slide you wish to use;


select and copy it (Ctrl+C).
4. Open a new or existing presentation.
5. In Slide Sorter view, hit paste (Ctrl+V).
Note: Close the file containing a copy of the template from which you
copied the chart.

Click the Edit Data Button to Activate the Excel Spreadsheet

Delete Sample Data from Premade Chart


1. From the View tab, select Normal.
2. To activate the chart data for editing, click to select
the chart

Excel Worksheet

In PPT 2007 and 2010: Click the Edit Data button from the Chart
Tools Design tab.
In PPT 2011 for Mac: Click the Edit button within the Chart tab.

3. With the Excel worksheet open, select all the sample


data by clicking the top-left corner cell of the
datasheet, right-click, and select Delete.
4. Close the Excel spreadsheet.
Tip: Clicking the top-left corner cell
will select all data.

Enter data manually directly in the Excel spreadsheet
1. Click in the first empty cell (row 1) of the spreadsheet and begin typing.

Copy data from another Excel spreadsheet


1. Open an existing Excel spreadsheet and select the range of cells you
wish to copy.

In Excel, Select the Range of Cells You Wish to Copy

2. Return to your presentation, click the Edit Data button from the
Data group of the Chart Tools Design tab to activate the associated
spreadsheet.
Note: If no elements appear in the chart, this is because there is no
data in the spreadsheet yet.
3. Click in the first empty cell of the spreadsheet and paste (Ctrl+V) to
place the data.

From the Data Group (PC Users)

Adjust Chart Orientation


After adding data to a sample premade chart, you may
have to adjust the charts orientation to more accurately
reflect your data.
PC Users
1. Double-click the chart to activate the Chart Tools Design tab.
2. Click the Switch Row/Column button. If the Switch Row/Column button is
disabled, click the Select Data button and click the Switch Row/Column button
from within the dialog box provided. Click OK (the chart will automatically change
to reflect this).

3. To change back to Series in rows (the default), click Switch Row/Column from the
Data group within the Chart Tools Design tab.

From the Chart Tab (Mac Users)

Mac Users
1. Select (click) the chart to activate the Chart tab.
2. Click the Edit button (the Excel spreadsheet will appear but resize this window and
return to PPT).
3. From the Chart tab, click the desired Switch Plot buttons (by row or column).

How to Apply a Design Style to an Existing Table


When you copy and paste tables from Word or Excel, you
may need to apply a PowerPoint table style to match the
sample charts provided in the template.

From the Table Tools Design Tab

Click to select the table, then:


1. Select the Table Tools Design tab.
2. Click the More arrow in the lower-right corner of the Table
Styles gallery to view all the design styles.

3. Click the thumbnail for Light Style 1- Accent 5 to apply to


your chart.

Tip: Apply the new table style before making changes to the table
layout or format.

Replace Photos on Layouts with Background Photos


Many layouts in the template use full-frame photos in the
background. These include the Title Layouts, Section Header,
and Metric Layouts and are recognizable by noting that the
photo fills the slide.

Examples of layouts using background photos

1. Right-click the slide area and choose Format Background from


the pop-up menu.
2. From the Fill menu, click Picture and texture fill.
3. Under Insert from: click File.

4. Locate your new picture and click Insert or Open.


Note: Images used in the background must be sized for the
aspect ratio of the presentation or they will be distorted.
This cannot be adjusted in PowerPoint.

Replace Photos on Layouts with Background Photos


(for Mac Users)
1. Right-click the slide area and choose Format Background from
the pop-up menu.

2. From the Fill menu, click Picture or Texture.


3. Next to Insert from: click Choose Picture.
4. Locate your new picture and click Insert.
Note: Images used in the background on Mac must be sized for
the aspect ratio of the presentation or they will be distorted.
This cannot be adjusted in PowerPoint.

Replace Photos on Layouts with Photo Placeholders


Any layout that includes photos other than full screen uses
photo placeholders. These include the Announcement, the
Quote with Photo, the Device layouts, and many more.

Examples of layouts using photo placeholders

1. Select the sample picture and press Delete.


2. Click the icon inside the shape to open the Insert Picture
dialog box.

3. Navigate to the location where the picture is stored, select


desired picture, and click the Insert or Open button to fit the
image proportionally within the shape.

Note: Do not right-click the image to change the picture inside the picture
placeholder. This will change the frame size of the picture placeholder.
Instead, follow the steps outlined.

(for Mac Users)
1. Select the sample picture and press Delete.

dialog box.
3. Navigate to the location where the picture is stored, select
desired picture, and click the Insert button to fit the image
proportionally within the shape.

the picture placeholder. This will change the frame size of the
picture placeholder. Instead, follow the steps outlined.

Modify Images Within Photo Placeholders


PowerPoint 2010 & 2013: Use the Crop tool to reposition a
picture within a placeholder.

PowerPoint 2011 for Mac: Once you have inserted an image the
enhanced cropping tools will appear in a pop-up box below the
image whenever it is selected.

1. From the Picture Tools Format tab on the ribbon, click the
Crop button.

2. Click and drag the picture within the placeholder to reposition.


3. To scale the picture within the placeholder (while Crop is
active), grab a round corner handle and drag to resize. Hold
the Shift key to constrain picture aspect ratio when resizing.

1. Crop to Fill will typically be the best starting option.


2. Click the Crop button.
3. Click and drag the picture within the placeholder to reposition.
4. To scale the picture within the placeholder (while Crop is
active), grab a round corner handle and drag to resize. Hold
the Shift key to constrain picture aspect ratio when resizing.

Replace Photos on Layouts with Logo Placeholders


A number of layouts provide the opportunity to include the
logo of a partner, customer, or acquisition. These include the

Updating Footer Text


When updating older presentations that contain footer
text, you will need to do the following.

From the Insert Tab (PC Users)

1. Turn off footers/slide numbers before copying slides into the new Oracle
template. Turn them back on after copying.

From the Insert Menu (Mac Users)

2. Open an existing presentation and turn off footers/slide numbers


a. From the Insert tab, select the Header & Footer button (PPT 2007/2010) or from the
Insert menu, choose Header and Footer (PPT 2011 for Mac).
b. On the Slide tab, remove the checkmarks next to Slide number and Footer.

3. Copy and paste slides into the new Oracle template, then turn footers/slide
numbers back on

If your original slides contain text boxes with footer text,
you must remove them before converting to the new
Oracle template.

Delete the Text Box Containing Footer Text

1. Remove text boxes containing footer text before copying into the new Oracle
template. Apply footers/slide numbers after copying.
2. Open an existing presentation slide in Normal View.
3. Select the entire text box containing footer text and press the Delete key.
4. Copy and paste slides into the new Oracle template, then apply footers/slide
numbers.
a. From the Insert tab, select the Header & Footer button (PPT 2007/2010) or from the
Insert menu, choose Header and Footer (PPT 2011 for Mac) to open the dialog box.
b. Check the boxes for Slide number and Footer.

Converting Photos from Media Manager for Use in


PowerPoint
Media Manager provides images in a format optimized
for use in PowerPoint presentations.
Log into Media Manager
If you dont have an account email mediamanager_us_grp@oracle.com

From the gallery of thumbnail images select the photo


you want by putting a check in the check box above the
asset name.

Select the EXPORT tab and then select the Conversions tab.
Select Add a Conversion and select PNG 13.33 150dpi wide,
photo use in PPT from the pull down menu.
Select EXPORT ITEMS to convert the image.

Once converted, download, FTP or email the resulting file.

Animation Guidelines
Use animation sparingly (overuse and misuse can be distracting and
unprofessional).
Use animation to help convey your message or key points in an effective,
well-paced manner.
Use subtle animations (fade, wipe) and avoid distracting animations (spin,
fly, spiral in, etc.).
Less is more (when in doubt, avoid animation altogether).

Deleting Unused Sample Slides


The sample slides included in the template are designed
to save you time; however, if you need to remove some
of them when creating a new presentation, follow
these steps

Slide Sorter View

1. In Slide Sorter view, click the slides you wish to delete


(Shift + click to select multiple slides).
2. Right-click and select Delete Slide from the
drop-down menu.
3. Review your presentation and resave.

Reducing File Size


Eliminate unnecessary graphics and slides.
Create basic shapes in PowerPoint, rather than importing .jpg pictures.
Build charts and tables using PowerPoints charting program (preferable to copying and pasting charts
from Excel, which embeds the entire Excel workbook into your presentation, making your presentation
size significantly larger).
Instead of copying and pasting pictures onto slides, use the Insert tab, Picture command.
Choose pictures that have been resized for PowerPoint.

From the Picture Tools Format Tab

Use the Compress Pictures Button


Double-click a picture to activate the Picture Tools Format tab
and click the Compress Pictures button from the Adjust group.
Click the Options button and under the Target Output section
(PPT 2007 and 2010) or Picture Quality drop-down menu (PPT
2011 for Mac), select the E-mail option to reduce the
resolution to 96 pixels per inch (ppi), click OK.
Be sure to select Apply to selected pictures only from the next
dialog box before clicking OK if you do not want all
presentation images affected.

Tip: As a final step, resave your presentation under a new name


(this can further reduce the file size).

Printing Your Presentation (for PC Users)


How to Print Slides in Grayscale Mode
Conserve printer ink by printing in grayscale mode.

To view how your slides will print in grayscale mode*

To adjust grayscale settings

1. From the View tab, in the Color/Grayscale group, click Grayscale.


2. Your slides will display without color. Check each slide to ensure
that all objects are displaying at high contrast (black or gray on
white background).
3. You can make adjustments for printing purposes. (Note: making
changes in grayscale does not affect the color on your slides.)

1. The Grayscale tab includes various settings: Automatic, Grayscale,


Light Grayscale, Inverse Grayscale, Gray with White Fill, etc..
2. To apply a different grayscale setting, select an object(s) and choose
a setting in the Change Selected Object group on the Grayscale tab.

To print slides in grayscale mode


1. From the Office Button (top-left corner),
click Print to access the Print dialog box

4. Select Back to Color View when finished.

When printing a widescreen presentation, the slides will


scale to fit letter paper size (landscape, with white at top
and bottom).

2. Under Color/grayscale: select Grayscale

*Compatibility Note: Viewing slides in grayscale mode is only available in


PPT 2007 and 2010, not PPT 2011 for Mac.

Saving a Presentation as a PDF


To output a PDF, using Create PDF/XPS is recommended.
1. Select File > Save & Send > Create PDF/XPS Document >
Create PDF.
2. Do not save Adobe PDF as this can cause some issues with
graphics during conversion.
3. Widescreen presentations will PDF in widescreen format.
There is no option to save a PDF at another page size, this is
true for Adobe PDF and PowerPoint PDF.
4. When printing from a widescreen PDF using Acrobat, simply
check Fit under Size Options (for letter size) and the slides will
fit letter paper. (This is the same as like printing from
PowerPoint, which is the recommended method if the desired
outcome is print.).

Formatting Slides for Video Display


Presentations are frequently recorded for playback from tape or DVD, and
television screens often clip the outer edges of the slides.
To avoid clipping, all text and graphics should be kept within the video title
live area. The orange frame shows the area of a slide that may be clipped.
