Cover Letter
HDH Events specializes in corporate and formal events. This event
company was founded in 1996. For over 20 years, we have established a
foundation, built our staff, and promoted our brand. Our experience has
given us the chance to see all that goes on behind the scenes and on site
giving us a broader perspective on corporate events. Our staff consists of
trustable expertise for various parts of executing corporate events. We have
creative thinking on our side and use it to create more than just a typical
corporate function.

Executive summary:
Background:
This milestone event celebrates the 100 year anniversary of the Rezik
Corporation which has been around since 1886. Karl Rezik (1861-1942) founded this
company while in Geneva, Switzerland and started a brand with a workshop:
Workshops for Precision Engineering. The beginning of Karl Reziks operations on a
global scale started in Canada. Over the years, the company expanded and built
their foundation and achieved many goals. Canada is a place where the Rezik
Corporation built those foundations. After being established in Canada, the Rezik
Corporation grew to build itself in 50 other countries.
Rezik Corporation is a supplier of automotive technology, industrial
technology, consumer goods, and security systems. These goods represent
innovation, quality, and product diversity worldwide. The products are
manufactured and shipped out from their locations situated across North America.
In the field of packaging technology, this corporation is currently the biggest.

The National Managers meeting will take place on Friday, May 5 th 2017. The
100-year anniversary dinner will take place on Saturday, May 6 TH 2017. These
dates were selected because of the time period in the year. Generally, after May,
employees plan for vacation for the following months. May is also a warm time of
the year. The risk of cancelling the event due to weather issues will be very low.
Guests arriving from outside of Canada will also be able to have a smoother
trip ;y and easier transition. It is also a great time of the year to tour the city and
view the attractions.
Theme/Slogan
The theme for the Anniversary Gala dinner will be a Las Vegas theme.
The slogan we have chosen is, A winning cause.
This theme has been chosen due to the energy Las Vegas brings to an
audience. The feelings associated with this theme consist of excitement and
good times. Rezik Corporation holds these annual events with the staff to
encourage building relationships and networking. This theme correlates with
their objective. It will be a fun way of getting the audience to interact at this
corporate event and make it memorable.

Each room will have one king or two double beds. It is spacious enough
to fit a family. The rooms are located on the higher floors in the hotel so that
the guests can see the beautiful view of Torontos downtown core. The room
includes free wifi, local phone calls, a LCD flat screen, work desks, and an
ipad/iphone dock.
There will be 10 rooms booked for the managers travelling from outside of
Canada.

Meeting Agenda
This agenda will include the activities for the meeting taking place on Friday,
May 5th, 2017 from 9:00 AM to 4:00 PM. The meeting will be taking place at
the Sheraton Centre Toronto Hotel in the VIP Room in the Concourse.
8:00AM-9:00AM: Group breakfast & Introduction

A continental breakfast will take place with all managers and their
spouses/guests. An introduction of the plans for the day will be announced as
well. Objectives will be presented.
9:00AM-10:30AM: Meeting begins - 1st half of seminar
10:30AM-10:50AM: Light snack break
Managers will have a short snack break consisting of fresh fruits and blended
smoothies. The snacks including a smoothie station & will be set up in the
service area right next to the meeting room for quick smoothies.
10:50AM-12:00PM: 2nd half of seminar
12:00PM-1:00PM: LUNCH
A group lunch with the spouses/guests will take place at the Sheraton Hotel
in the Bistro and Bar restaurant. This restaurant is located in the lobby of the
hotel.
1:00PM-2:00PM: Final presentations
Last presentations will be presented. A Q&A will be held. The meeting will
end with the presidents final comments.
6:00-8:00PM: DINNER & DESSERT
There will be an offsite dinner for the managers and their spouses/guests.
They will take a designated bus to the venue. They will have reservations at
the Scaramouche Restaurant and The Pasta Bar & Grill for dinner. This is
located at One Benvenuto Place in Toronto. Then they will be escorted to
Pastel Creperie and Dessert House for dessert. The guests will then be
escorted back to the hotel from the creperie.

This restaurant was chosen due to its good reviews on Trip Advisor Canada,
as well as, the view from the restaurant and the variety in the menu. The
restaurant overlooks the skyline of the city, which makes it a fantastic
restaurant to dine at in the evening. The menu of this restaurant will be
included at the end of the proposal.

This restaurant has been chosen for its dessert due to the good reviews from
Trip Advisor Canada. We want the national managers to experience the best
of the best in Toronto. The desserts they serve vary from ice cream flavours,
crepes, waffles, cakes and cookies. They also have a variety of hot and cold
drinks available, including coffees and teas. The menu of this restaurant will
be included at the end of the proposal.
Spouse/Guest Activity
Spouses/guests arriving from outside of Canada will arrive on Thursday, May
4TH 2017. They will get the day to settle in. The rest of the guests will arrive
at the Sheraton Centre Toronto Hotel by the Friday. This agenda will outline
the activities the spouses/guests will be involved with during the meeting on
Friday, May 5TH 2017.
8:00AM-9:30AM: Group breakfast and introduction
A continental breakfast will take place with all managers and their
spouses/guests. An introduction of the plans for the day will be announced as
well.
10:00AM-12:00PM: City Sightseeing Toronto tour bus
A shuttle will take the guests to and from the tour bus departure location (10
minute drive). The guests will be boarding the Toronto Double-Decker City
Tour. This tour will visit all main points of interest in Toronto, such as the CN
Tower, the Distillery District, and the cultural pockets of Toronto. A map of

12:00-1:00PM: LUNCH
After the tour, there will be a shuttle waiting for their arrival back at the
hotel. Lunch will take place in the Bistro and Bar restaurant at the Sheraton
hotel. The menu will be included at the end of this proposal.
1:00-1:20PM: Children check in at daycare
The daycare will be in one of the allocated rooms at the Sheraton Centre
Toronto Hotel. The daycare will take place till 3:00PM. Arranged staff
members of the hotel will be responsible for keeping the children entertained
till then.
1:20-2:00PM: Massage at Senses Spa (at hotel)

For the departure, Her Honour must be the first to leave the event alongside
her spouse and her ADC. The audience must stand to bid her farewell. She
will again be escorted by the President Frank Hess to their vehicle.

Service Style
Cocktail Reception:
We will have Butlered Hors d Oeuvres Service for the reception. Servers will
walk around to guests and serve the foods on trays. Guests can use napkins
or toothpicks to serve themselves the food.
For every 8 guests there should be 1 server. Therefore there should be 31-32
servers available throughout the night.
Dinner and Dessert:
The dinner and dessert will be Plated American style, excluding the Reverse
Smores Station. This style of service consists of portioning the meals on the
plates in the kitchen, then the servers serving the guests from their right and
serving drinks from their left. The dishes, when the time comes, will be
cleared from the left of the guests. Since about 32 servers will be hired,
everyone will receive their food in an efficient manner and would not have to
wait long to start eating. The dessert will also be served from the guests
right and cleared from their left.
Action Stations:
An action station is when the chefs bring their work out in front of the guests.
Whatever dish the chef is preparing, the guests will be able to see how it is

made, choose what they want or dont want in their dish, and be entertained
all at the same time.
There will be 2 action stations throughout the event. The first will be the
Seafood Tasting station during the reception in the foyer. The second will be
the Reverse Smores station during dessert in the hall.

The Honourable Lois Mitchell will be the first speaker to talk. Following the
Lieutenants introductory speech will be President Frank Hess speech. The
MC will then take over for the night.
The fundraising activity will be introduced and briefly explained. A table for
the casino tickets and the silent auction will be available throughout the
night.

Polaroid 7 Tablet each.
Silent Auction:
The silent auction will be held open for the entire event and close up around
10:40PM. A silent auction is a charity activity where items are placed for
guests to bid on via sheets of paper. The highest bidder at the end of the
night, wins the item they bid for. The auction will include gift cards, VIP
concert passes, sporting tickets (such as the Blue Jays), signed basketball
jerseys,
spa packages, and more.
The starting bid for all items will be $30.
