This report involved the affairs in RAK Paints IT department. It includes Introduction,

company background & history, types of products and ample information about RAK Paints

IT department. Lastly, we included SWOT analysis where we have found some problems as

well as opportunities and solved it in recommendations. To gather all the information about

RAK Paints we conducted an interview with their Head of IT department and researched to

pull out all the things related to this report.

Initially, we described information about RAK Paints, their history, and types of products. We

acknowledged the situation developing in this such new company to the market.

Secondly, we have divided functions of RAK Paint IT Department into two major parts:

Technological and Managerial. Technological functions. With description, we have seen how

the functions operates in this company. We have also seen how IT links up with other

departments and what are the effects of it. We tried to understand this departments prospects

as well.

Finally, we evaluated IT department by doing SWOT analysis. We recommended couple of

things which might be helpful for this company for the future.

RAK Paints IT department is one of the most important departments which operates not only

daily basis to help the company but in every second it reflects it worthiness.

RAK Paints (Private) Limited, a name in Bangladesh that carries a new spectrum of colors

in the atmosphere with a promise to ensure bright and elegant living everyday of the people

of this country.

RAK Paints (Private) Limited was started in 2013 under a joint venture between UAE and

Bangladesh. RAK Paints (Private) Limited is one of the leading companies of RAK Group

Bangladesh. It envisages becoming a world class paint manufacturer and leading the paint

industry by establishing itself as a producer with the finest manufacturing practices, through

outstanding product quality with diversification in different areas, innovative and eco-

friendly approaches in all the functions that are necessary to keep its customers satisfied. It

not only intends to establish the largest paint factory in the country with the state of art

machineries but also to provide quality branded paints products.

RAK Paints (Private) Limited has its paint manufacturing plant at Madhobpur Upazilla in

Hobigonj District, which is approximately 140 kilometers from Dhaka. The plant includes all

facilities that are required for any modern paint industry.

Two of the noble reasons for promoting the use of RAK Paints for wall, wood and metal

structure finishing are achieving lower operating lifecycle costs for building and creating a

nonhazardous indoor environment for all. The cost involvement for the maintenance of

RAK Paints is less and the life cycle is longer than other fit-outs. RAK paints commits to

produce green building products (with no added Lead, Mercury, Arsenic & Chromium, and

the products are thus environment friendly). International research has clearly shown that

green building fit-outs are not just better for the environment but more importantly, they are

better for the health and productivity of those who live or work in them.

RAK Paints (Private) Limited is also committed to producing paints per the climatic

condition of the region. In Bangladesh, we follow the same rule and prepare the products to

Intone Interior Plastic Emulsion

RAK Intone Interior Plastic Emulsion is a fine quality long lasting water based

paint best suitable for the interior. It is based on a special durable acrylic co-

polymer emulsion, high opacity micronized pigments and additives to give

better look, protection, and stain resistance properties. It provides a smooth matt finish to the

Clean Wash

Harmony Acrylic Distemper

RAK Harmony Acrylic Distemper is water based paint for walls, ceilings and

Ocean Liner Paints is a die-hard coating specially formulated from a

combination of Synthetic Resin, Petroleum Resin & other selected materials. It

protects & helps fighting the metal surface from saline, unbearable ocean &

riverine water.

RAK Paints Information technology started with all equipped materials in 2013. At first it

was with Accounts department. In 2015 is became an independent department. Currently this

department is handling this companys affairs and gradually improving themselves.

Experienced and dedicated workforce making RAK Paints better every day by serving 267

users daily. In this section of this report this departments organization structure, functions

and prospects are described.

4.1 Structure:

The organogram of RAK Paints is simple yet efficient and effective. They maintain a chain

structure for more accountability. Managing Director of RAK Paints supervises every

decision made in every departments. However, Deputy manager is the head of IT. The IT

department has two sections, one is Hardware and another is software, each section has three

members

The top management divided the IT department into two sections, whole company is

dependent on hardware and software sections.

4.1.1 Hardware: The hardware mainly does the maintenance work, if something goes

wrong with the external part of the server or one of the computers, they will handle that kind

of problems. They are also responsible for the new hardware setup, like setup a new network;

install all the external part etc.

4.1.2 Software: Software team do mostly all the main works for the IT department. They

build the necessary program for the company. Members of the software section input all the

data to the database make sure the uninterrupted and secure supply to the end user. They take

all important steps for the security of the database and the server.

4.1.3 General members: Hardware and Software each section consists of three engineers,

they are responsible to perform hardware and software related job. If they face any problem

they will go to the team leader, they also must report their job progress to them. They cannot

take any kind of work related decisions of their own. They need to consult with their team

member first.

4.1.4 Team Leader: The IT department has two team leaders. One is for the software

section and another one is for the hardware. They both are senior engineers. They control

their section and guide the team members. If any member stuck in somewhere team leader

will help him/her and give the guideline to complete the job. They must report what is

happening in their sections to the head of IT. If they face any problem they go to the

department head. They can take some minor decision regarding their sections.

4.1.5 Deputy Manager-Head of IT: Deputy Manager is in the top of IT department. He

controls the whole department. His job is to assign job to the team leader of software and

hardware and give a deadline to finish it. He can take all the decision which is important for

the department. Basically, he is the one who operates the IT department of RAK Paints. But

end of the day he also must report to the MD of the company. If he has any idea or proposal

about the IT department then he must consult with the MD.

4.1.6 Managing Director: Managing Director is above all. If the Head of IT take any

decision MD must approve it first. He also allocates budget for the IT department. He need to

aware about what is going on in the IT department. Because of IT is a sensitive issue in the

company, the MD himself involve in it so that he can control and make sure that everything is

going in the right direction.

Functions of RAK Paint IT can be divided into two major portions. First one is

Technological Functions, the other one is Managerial Functions.

5.1 Technological functions

IT stands for Information Technology. Technological functions describe a how the

hardware and software works in the organization, how maintenance is done to serve the best

possible way for better outcome every day. All the interactions in between or outside, the

company is handled by operating these functions. Technological Functions has 3 parts. They

are software development, networking, and support.

5.1.1 Software development

RAK Paints IT has most emphasis on software development. Software development team

works to keep their servers up to the mark and updated with information. They also fulfill the

daily requirements come from all the clients throughout the organization.

Software programs they are currently using: To run the software development tasks RAK

Paints IT uses software for database management, maintenance, security, feedback systems

etc.

The list below shows some software used by RAK Paints IT

Database management: ORACLE. Currently, this system is market leader beating

IBM and MS SQL server. Strongest security and control and ease of use are the main

factors behind its usage. RAK Paints IT uses ORACLE for this reason.

Server Operating System: Windows

Antivirus & Firewall: Norton from Symantec (Server Edition)

Tools: HTML to Excel

Personal Level Database management system (MIS): Microsoft Access

Personal Level user application: MS OFFICE

Special Tracking System: To control sales executives and similar class employees, RAK IT

uses Google Maps LAT-LONG value system. In this system, RAK Paints IT server

retrieves information about the sales executives position in every 30 minutes. It shows their

position in google maps as well. Use of this system brought more control to RAK Paints IT

over the employees as well as opened chance to take right measure towards any situation

develops.

Mobile Applications: RAK Paint IT has several mobile apps to maintain CRM and sales

service. The most used are M Sales, RAK Paints CRM, and M Dealer. These mobile

applications have been taken from outhouse app agency called ALLIEN BD IT.

M Sales: This is a mobile based sales application. Much helpful rather than traditional

sales system. It can change any manual business system, product sale & marketing,

sales & marketing teams skill & payment collection method. It provides real time

product delivery, saving time & money using it. This is an Android based application.

A sales representative visit to customers in his certain area. He takes product order

from customers. Sales representative just explore the M SALES Mobile application &

 create quick order. All order products will be ready from his depot location to deliver

within a few minutes. (IT, 2016)

RAK Paints CRM: This app is used for having feedback from customers such as

dealers, shop keepers. It has real time feedback system which is linked up with RAK

Paints IT servers. Customers can order, list, e-mail and visit RAK Paints website

through this app. The app is available for iOS and Android.

M Dealer: M Dealer is a dealers and suppliers based smartphone application usage by

dealer. The dealers can order their certain product to the supplier by automated. With

the M Dealer app, you can shop for millions of products, find suppliers, and buy

whatever you need on the move! The app makes it super easy to attend to business

enquiries, communicate with suppliers. In addition, we offer plenty of secure trade

services to ensure a safe online purchasing experience! Currently, we support Mobile

Banking, Cash Payment & Bank Payment methods like bank/wire transfer, making it

extremely convenient to purchase on M Dealer. (RAK, 2016)

Whether youre a retailer, supplier, wholesaler, exporter, manufacturer, shop owner or

consumer from any industry, M Dealer is the perfect place for you to buy, sell, trade in bulk

and venture into a wide area of online B2B global business.

Modules:

IT department holds the other departments, makes connection with them. RAK Paint IT uses

several different modules to make link up with other side of this organization. The modules

are:

The end users of each module have application program. The application program is

controlled in this department. Modules are connected to server which has real time response

system. Server provides the information to the database.

5.1.2 Networking

To get connected with every possible user (around 250 clients), RAK Paints developed its

network web smoothly and efficiently. The 9 Modules described above are the main clients

for network of this department.

Web servers: To access RAK Paints website these servers are used. Web servers provide

users access to information as well as sends data about news and notice to the users.

FTP server: File Transfer Protocol servers provide users to access important files and

programs to run things smoothly.

5.1.3 Support

The support center of RAK Paints IT is divided into two parts. One is software and another

is hardware. These two are described below:

Software support: One of the major functions of IT department is software support. While

developing the IT software system, the same engineers also do maintenance. Mobile account

recharging, mobile and pc application upgrading, network development etc are functions of

software development of RAK Paints software development section.

Hardware Support: This section does Installation and maintenance of hardware. However,

IT department doesnt solve the hardware related problems outside of the department. Other

departments are responsible for failure or problems of their own machines. In this case,

though they contact with IT department, their solution is referred to out-house maintenance

companies.

5.2 Managerial Functions

We have already seen that how the it departments chain of command flows in this company.

Managing every single stuff in here is not so complicated but very vital.

5.2.1 Planning

All the planning for the department is proposed to the board of managing directors by head of

IT department. The fulfillment of the plan is based on requirement needed for the department.

In board and annual meetings Half-Yearly plan is formed and evaluated. Chief IT Officer

attends the meetings and be responsible for all the work done and plans implemented.

5.2.2 Training

RAK Paints IT has very experienced workforce. But every recruitment (Done by HRM)

needs training right after it. New recruits are trained under HRM act of the company to an

outhouse training agency (The name was not disclosed)

5.2.3 Motivating

To have the best possible outcome from the organization, what matters most is to have the

best efforts from the employees. Like any other company, RAK IT department has its own

motivating strategy. A simple example from RAK Paints history will describe this better.

RAK Paint IT Department was not always independent department. It was detached from

accounts department in the year 2015. Before that all the employee at it section had to report

all the things theyve done to the accounts manager at the end of the day. Every one of the IT

section was engineers, the accounts manager was not. Eventually there was understandability

problem between them. It demotivated the engineers. Manager did not understand coding

done by the engineers, and reporting all the works done in a day was tough for them specially

when its about coding. The CEO understood this problem and separated the accounts and IT

section to two individual departments.

Now, the head of IT can easily motivate people under him because he knows about

technostress, problems can be occurred among engineers. The solution is more logical when

the communication is smooth among each other.

Motivation in IT department works with appraisal, friendly workspace, flexible timing, etc.

5.2.4 CRM (Customer Relationship Management)

As we have seen earlier, RAK Paints has enormous number of products and services. They

also have verity of customers. From paint dealers to end consumers, service consumers like

organizations, business firms are their customers. The top-level management handles them.

However, the IT department does the communication management. Fixing time slot for

appointment, instant feedback of call or messages, work zone maintenance is the major

functions of IT departments CRM development.

Now every sector of RAK company has its own IT department. But in future they are

planning they launch their own IT company and centralize their IT sector to look after all the

other RAK subsidiaries from one single department. Build up a tracking device for its user

and employees so that manager can easily set up their business strategic plan and it also help

companies for decision making.

Normally a server computer can give service about 3 years. In 2017 RAK, will bring

a new high speedy server which can give a better speed. Increases server RAM 8 to

32GB.company can easily transfer file and information.

RAK Paints IT departments employees are not trained by in house training

currently. RAK Paints plan is to make an in-house training center that would bring

them more skilled workforce with high confidentiality.

By establishing the new IT company RAK will be focus on to improve their

technological functions. By emphasis the software development, networking, and

support. Through the software development, RAK IT company can easily and

strongly rather than other IT company execute their database management, server

operating system, security system, antivirus, and other tools. Thus, company makes

more productivity and sales therefore gain profit.

Security is strongest strength of RAK company. To make it more strengthen, RAK

Paint IT will install wide range Firewall, in-house made antivirus software.

If RAK paints IT starts planning on all the major finding and follow up regularly, then

absolutely they will be able to reach in their desirable goal.

7.1 Strength:

Security: Security is their strongest strength. The server is firmly protected and

under control. Latest Anti-Virus and Firewalls are regularly updated. So far no

incident has taken place in RAK paint regarding the security of IT department

Own department: When RAK Paints was initially established, their IT Sector was

under the control of Accounts Department. However, for the last two years RAK

Paints has its own IT Sector with an IT specialist as a head of the department and

fully separated from other departments.

Experienced Workforce: It department has hard working and motivated employee.

They always interested to accept the new technology.

Low employee turnover: RAK Paints IT works with very experienced workforce,

facilities and workplace environment helps employees to be productive. Maximum

employees of this department is satisfied with their jobs and salaries.

7.2 Weakness:

Slow server: Their major weakness is their server. They have been using the same

server since RAK Paints was established. Their server has become severely old and at

times cannot function properly. The server is often very slow leading to many

problems in the department including failing to meet the deadline in works.

Improper training: Another problem is their employees are not properly trained

regularly. Besides, they are trained in a third-party organization which is not good for

any company. They have limited knowledge about new software and often make silly

mistakes when a new technology is updated wasting immense amount of time.

 Lack of investment in IT: Company has less interest to invest in the IT sector. Often

the board of directors does not allow the needed investment. For this reason,

upgradation is delayed.

7.3 Opportunity:

Launch IT company: Now every sector of RAK company has its own IT

department. In the future, they might launch their own IT company and centralize

their IT sector to look after all the RAK subsidiaries from one single department.

Build up tracking device: Build up a tracking device for its user and employee.

Manager can easily manage employee and customer. It helps manager to take decision

making.

Upgrading the server: Increase server RAM 8 to 32 GB. So, that, the server speed

would increase. Its save time to transfer file and information.

7.4 Threats:

Risk factor: Risk factor is the main threat for IT department. Our server is old, some

problem is incident for this.

Competitor: Another threat is competitor. Competitors like Berger, Asian Paints has

more market share than RAK Paints. Any improvement or upgradation of these

companies is a certain threat. As well as for IT dept. of RAK Paints, if the company

falls apart for any reason, the IT department will follow.

Legislation: In our Country IT legislation issue is a great problem. No specific law

for the technology yet.

High cost for improving technology: Cost of new technology is higher. Hence, RAK

Paints is not investing much for IT. So, high cost is also a notable threat.

8.1 New server: normally a sever computer can give service 3 year after that time it become

slow and start performing less. In 2017 they will bring a new server which can give a better

speed.

8.2 Increase Workforce & Better Training Program: Now in RAK paints IT, there are 9

workers. This amount of workforce cannot cope with the pressure they are having. They must

recruit more employees and train them in house. The company is increasing day by day. So,

they should take care of this situation.

8.3 Communication Methods: there has many Communication methods such as email,

telephone, messaging, voice call, video call people use it for different purpose and get variety

of benefits. However, some may be more useful than others. Email, for instance, is probably

not the best way to have a conversation with someone. Many organizations are replacing

email with social intranet software with collaboration tools. So, RAK it department can make

a list of your current internal communication methods, and they might find that their

organization is missing something or relying too heavily on one method, in which case it

might be time to make some changes. For example: instead of text they can use video call

there has many apps for video call like IMO, Viber. These are very easy to use and much

cheaper than using a mobile network.

8.4 Social Intranet Software: A social intranet is a way of conducting business

communication within a company or network, using social tools approved by management

for employee communication. Rather than structured, professional correspondence such as

emails and memos, social tools allow employees to communicate quickly and with less

restriction. Social intranet features could include:

Ideas sharing or exchange

If RAK it brings this software for their company, they can have done their work in an easy

and secured way.

8.5 More investment in IT: Companys board of directors are less interest to invest in the IT

sector and sometimes they do not allow the needed investment. For upgrading their IT and

build up an easy, secured, fastest networking and work processing system RAK must invest

more.

In conclusion, RAK Paints IT is a well-established department within a very short time.

Though there are some difficulties they are facing right now, their strength would overcome

those factors. RAK Paints IT need to buy a new server based on this project survey as soon

as possible. Right now, their IT in a good position but to keep up with modern technologies

they should focus on few major factors such as- they need more expert workers, increased

server speed, more investment on IT etc. they need to upgrade their machineries in certain

time basis to use in their IT. They must organize web site or online pages such a way so that

consumers feel good when they look it because these days consumers are more engaged with

online. Afterward, time to time they should observe the progress of other companys IT

department and their major competitors. If, RAK Paints IT starts plant on all the major

findings and follow up regularly then absolutely they will be able to reach in their desirable

goal.
