Chapter I

THE PROBLEM AND ITS BACKGROUND

Introduction

Inventory system is an effective way for monitoring and tracking

different materials that are transferred in and out of a companys

warehouse or establishment usually for accounting purposes. It is also

important for a company to monitor all the transactions and movement of

goods in order to keep an account of all their stocks. However in some

establishments, the inventory of materials is done manually in such a way

that an employee writes down the information of different materials every

time it is transferred in and out of the room. The same case applies in Dee

Jay Dry Good Store; and as a result, the inventory system becomes prone

to human error and would be more time consuming which will most likely

be a loss for the company.

In Dee Jay Dry Good Store, there is a corresponding form for every

incoming or outgoing item(from the stock room).These forms serve as the

basis of comparison when inspecting; that is, the amount of item that goes

in or out must tally with those written in the forms. Afterwards, all the

transactions will then be encoded manually in Microsoft Excel for future

reference. In addition to the complexity of the process, the employee

responsible on this task also needs to check the stocks once in a while so

as to monitor which items are already getting below the allowable minimum

quantity. Because of the draining work, there were circumstances when the

inventory record in the computer does not tally with the actual amount of

the available items. Another thing to consider in manual inventory is prone

to errors since it is inevitable that the employee assigned to do the

inventory would commit mistakes. Due to the inefficiency of manual

inventory, security is also being risked. If not properly monitored, theft and

loss of items can actually take place. It is also time consuming to take note

of several details each time an item is brought in and out of the stock room.

Since manual inventory consumes a lot of time and is susceptible to errors,

it would be helpful to build a system that will automate the transactions

from acquisition of the product description to updating the inventory

database. Work efficiency of employees is defined as how productive they

are in their work. The automated inventory system will improve employees

work efficiency by automating routinely and time consuming tasks such as

the time spent in taking down product information. As a result, the time can

be used in more productive activities. Accuracy is defined as the

correctness of accessing information. The accuracy of the current system

will also be improved, since the automated inventory system would

eliminate the need of constantly encoding lengthy details of products by

having an inventory database.

Statement of the Problem

The researchers seek to find answers to the following questions:

1. What are the tools and program used in the operation of the

Automated Inventory System of Dee Jay Dry Good Store?

2. What is the general acceptability of the Automated Inventory System

of Dee Jay Dry Good Store in terms of:

Hypotheses

1. The tools and programs used in the operation of the Automated

Inventory System of Dee Jay Dry Good Store work through the use of

Microsoft Access 2007 as database and Visual Basic 6.0 as program.

2. The general level of usability, accuracy, reliability, acceptability and

security of the Automated Inventory System of Dee Jay Dry Good

Store is excellent.

Scope and Delimitation of the Study

This study focused only on Automated Inventory System of Dee Jay

Dry Good Store of Cajidiocan, Romblon. It is intended to be use only by the

owner of the store and personnels, like operator and cashier.

Significance of the Study

The result of this study provides some insights in numerous

advantages in using automated inventory system. The following would

have the great benefits:

Store owner. Through an Automated Inventory System, they can

easily monitor the commodities or products of their store.

The Researchers of this study. Through this study the researchers

would gain knowledge and experience about designing a Automated

Inventory System. The learning that they would have been applied by the

time they finish the study, and eventually by the time they graduate and

have a job.

Future Researchers. BSIT students who want to have a study about

designing a system may find this research very useful because through

this, they can gather enough information in making their own system.

Definition of Terms

For easier understanding of the important information of the software,

the following keywords are hereby defined as follows:

Address. The place where a commodities bought.

Computer. An electronic machine which store, process and provide

access instruction and information.

Inventory Code. It is a number name given to a product for its

identification.

Item Code. A way of identifying specific items and categorizing

related inventory items.

Item Description. The name of the commodities or products.

Items. List of products found in the store.

Inventory System. An inventory system or a computerized inventory

system is a process for managing and locating objects or materials.

Inventory Valuation Method Note 2. This method produce different

result because their flow of costs are based upon different assumptions,

Quantity in Stocks. The total number of stocks.

Remarks. The note if the product is good or there is something

defects of the commodities they bought.

System. Collection of related components established to work

together to accomplish a common objective through the input, process and

This chapter includes the review of related works both local and

foreign. This research is important to identify the background information

related to this study.

It deals with the different literature and studies based on different

sources such as books, magazines, newspaper, interviews and in the

internet.

Foreign Literature

According to the U.S. Small Business Administration, Inventory

refers to stocks of anything necessary to do business (U.S. Small

Business Administration, 2010) The U.S. Small Business Administration

publication describes what constitutes successful inventory management

balancing cost versus benefits of inventory, including Maintaining a wide

assortment without spreading the rapidly moving items too thin, Increasing

inventory turnover without sacrificing service, Keeping stock low without

sacrificing performance, Obtaining lower prices by making volume

purchases, Maintaining an adequate inventory without an excess of

obsolete items.

Wal-Mart runs its stores on a perpetual inventory system. This system

records the quantity of items sold as items are purchased. The computer

system at Wal-Mart constantly keeps up with additions or deductions from

inventory and tells management what items are on hand. The organization

also conducts counts of employee manual counts of inventory periodically.

When an item arrives at the Wal-Mart distribution center it is scanned into

the inventory system. When the items are purchased by the consumer, the

point-of-sale system reduces the inventory from that purchase. According

to Wal-Marts Gail Lavielle, a leaner inventory will help clear out store

clutter and help Wal-Mart focus on specific brands and products that

consumers want (The Associated Press, 2006).

According to Mr.Eugene F. Brigman, Fundamentals of Financial

Management, 5th ed., Companies are increasingly employing Inventory

System. A computer start with an inventory counts in memory. Withdrawals

are recorded by the computer as they are made, and the inventory

balance is constantly revised. When the recorded point is reached, the

computer automatically places an order, when this new order is received,

the recorded balance is increased. Retail stores have carried this system

quite far, each item has a magnetic codes, and as on item is checked out,

and it passes over an electronic reader, which then adjusts the computers

When the balance drops to the recorder point, an order is place. The

researcher aim to develop an automated inventory system which is

technically, operationally, and economically. The method used by the

researcher to develop an automated inventory system is Descriptive

Method. The researcher conduct several interviews in order to gather

information about the present existing conditions of the inventory system,

knowing its problems and enhancing it by developing an automated

inventory system. Questionnaires were also distributed to all interviewees

for additional information. Using the experimental method, the researchers

also observe the functionality of the present inventory system, which help

them discover that Electronic Data Processing is Advantageous than other.

Malcolm E. White Published at 2003; Merchandising means selling

products to retail customers. Merchandisers, also called retailers, buy

products from wholesalers and manufacturers, add a mark-up or gross

profit amount, and sell the products to consumers at a higher price than

what they paid. When you go to the mall, all the stores there are retailers,

and you are a retail customer. Retailers deal with an inventory, all the

goods (products) they have for sale. They account for inventory purchases

and sales in one of two ways. Periodic and Perpetual. As the names

suggest these methods refer to how often the inventory account balances

are updated.

Local Literature

Based on the internet according to Geraldine S. Balmeo, She

recommend a system that will perform the requirements of an efficient and

accurate record processing of an improved inventory process using

information technology tools and techniques. She properly executed The

Generics Pharmacy modern processes point of sales with inventory system

which she used by educating herself with that and how inventory works

specifically with the selected beneficiary of the system.

The Generics Pharmacy Castillejos Branch is an advocacy of

making medicines accessible to all Filipinos, couple with free blood

It stemmed from its mother company in 1994. In 1959, with the group of

personal computer as their P.O.S, MS Excel to record their daily sales and

columnar bocks to record the inventory of the medicines. As one can

imagine the amount of columnar bocks which must have been lost or

damage through the passing of time. Hence, historical information is

difficult to produce and deprives the store of conducting vital forecasting

activities that is necessary in order to perform an accurate count of what

stocks level need to be ordered at what particular time. Our proposed

enable the personal computer to be used not just P.O.S but also an

inventory system with the proposed system point if sales with inventory

system.

As part of its vision to provide leading educational facilities and

infrastructure for its students and faculty, Manipal University was seeking to

unwire its campus and deliver a ubiquitous wireless LAN and wireless

broadband network throughout the 5 square km campus. To fully support

the universitys educational needs, the wireless network had to deliver

video and data uniformly across indoor and outdoor campus spaces, as

well as support the universitys very large user base of students, faculty

and guests.

The physical environment of the campus posed a major challenge. In

addition to housing more than 100 buildings throughout its large campus,

the majority of such buildings being over 25 years older, many of the

buildings had thick stone walls that posed a potential coverage issue for

wireless services.

Motorolas wireless LAN and wireless broadband infrastructure was

the information on the universitys network.

Local Studies

According to the study of Anna Marie Beltran Distor of Proposed

Sales Monitoring System issued 1995, the accelerated work structure of

the company proper monitoring is essential in order to keep track of the

companys sales activities. Her system aims to come up with an efficient,

and accurate mechanized system of preparing invoices that will keep track

of the daily transaction and generate reports. Important information will be

provided by this study in order to prove that the computerization of the

companys operation and achieve a more reliable and efficient means of

monitoring day to day activities. Her system focuses on the analysis and

design of the sales monitoring system which will monitor the stacks

inventory of the sales departments. This system of hers is somewhat

related to our study but our system focuses more on the inventory

monitoring system of a trading company.

Popular author of Accounting, Waldo T. Passion (1990) in his book

stated that, to improve their efficiency and reduce their cost of operation.

Reports are more timely and accurate. Computers have large capacity to

store data and tremendous speed to manipulate and recall data to the

format a user wishes to use which the introduction of microcomputer

computation of business is more affordable.

Justification of the Study

This study will be conducted exclusively by the authors for the

inventory of the store. It does not cover any activities inside the store. The

researchers believe that every literature and every studies stated in this

research is similar on the present study. The researchers relate and

differentiate the research based on the flow of their transaction from the

proposed study. The transaction and process and also the design

specialization will easy help to acquire and accommodate and

communicate with the user. The researchers get and use other research in

this chapter, in which it helps to them, because they get knowledge during

creating the systems.

RESEARCH METHODOLOGY

This chapter presents the research design, sources of data,

instrumentation, system requirements, respondents, research procedure

and statistical treatment.

Research Design

The researchers utilized experimental method in gathering

important data and relevant information that going needed in developing

the anticipated project. Research was used for the evaluation of the

installed system in terms of accuracy, reliability, usability and acceptability.

The researchers gathered data and information through the use of rating

scale.

Sources of Data

The data taken from forty (40) BSIT students randomly selected

from each year level, five (5) faculty of the institution, five (5) personnel

including the owner of the store, and five (5) panel of examines of the

Romblon State University-Cajidiocan Campus during the second semester

of school year.

Instrumentation

The researchers used a rating scale because it was effective and

the most practical way of eliciting information

Research Procedure

The researchers gathered all the necessary data that needed in

creating the system. With the help of Visual Basic 6.0 they can create the

Graphical User Interface of the system. They used the Ms Access 2007 to

be the repository or database of all the information require in system.

When the Inventory system is done the researchers prepared a

data questionnaire given to the forty (40) BSIT students randomly selected

from each year level, five (5) faculty of the institution, five (5) personnel

including the owner of the store, and five (5) panel of examines of the

Romblon State University-Cajidiocan Campus during the second semester

of school year to assess the overall performance of the proposed study.

The system evaluated by the respondents using the 5-point rating scale

with 5 or excellent as the highest and 1 or poor as the lowest. Data that

gathered were tabulated, analysed and interpreted.

Respondents

The respondents of this study were forty (40) BSIT students,

randomly selected from first year to fourth year, five (5) faculty of the

institution, five (5) personnel including the owner of the store, and five (5)

panel of examines of the Romblon State University-Cajidiocan Campus

during the second semester of school year.

Interpretation of Data

The data that gathered by the researchers it were recorded,

analyzed and will be interpreted accurately. The results, operation and the

data gathered were presented in Chapter IV after the system become

available and in good working conditions for evaluation.

In this study, the researchers conducted an evaluation of the

installed Inventory system. The respondents answer to the rating scale

according to the four significant categories; usability, accuracy, reliability

acceptability and security. The gathered data were based on the answers to

the questionnaire that analyzed. The respondents check the scale of 1 to 5

excellent, very good, good, fair and poor.

The researchers will also use the Weighted Mean Average Method

formula. This method analyzes the proposed designed according to its

effect and function. The below-stated formula will be use:

PRESENTATION, ANALYSIS AND INTERPRETATION OF DATA

This chapter presented the data and information gathered from the

evaluation instrument of the respondents. The discussion follows after the

presentation of the proposed system.

The Automated Inventory System of Dee Jay Dry Good Store of

Cajidiocan, Romblon works through the use of Visual Basic 6.0 to make the

system presentable and accurate in giving result. The researchers also

used Microsoft Access which served as the database of the system.

STEPS AND PROCEDURES IN RUNNING THE SYSTEM

The system is a user friendly for everyone, it was easy to operate and

install in Windows 7 and Windows 8. In order to run this system correctly,

there are some steps and procedure we must follow.

As shown in Table 5 the Design System of Automated Inventory

System of Dee Jay Dry Good Store of Cajidiocan, Romblon is effective and

advantageous on the part of Dee Jay Dry Good Store base on the result of

evaluation conducted by the researchers. It showed that 100% of fifty (50)

respondents rated the system Excellent as it pertains to its Usability,

Accuracy, Reliability and Acceptability.

SUMMARY, CONCLUSION AND RECOMMENDATIONS

This chapter presents the summary, conclusion and

recommendations of this research study.

Summary

The research study entitled Automated Inventory System of Dee Jay

Dry Good Store of Cajidiocan, Romblon conducted at Poblacion,

Cajidiocan, Romblon had been successfully presented. Through the

database using Visual Basic 6.0 and Microsoft Office Access the

researchers had shown the overall list of products of the Dee Jay Dry Good

Store. The Automated Inventory System of Dee Jay Dry Good Store was

advantageous to the owner of the store for the speedy encoding of

products of the store.

Based on the data gathered, the researchers have obtained the following

results:

1. Automated Inventory System of Dee Jay Dry Good Store is capable

in presenting an improved processing and storing data of the

products. It works through the use of Visual Basic 6.0 and Microsoft

Access under Windows OS.

2. The Automated Inventory System of Dee Jay Dry Good Store in

terms of the following: Usability, Accuracy, Reliability, Acceptability

and Security are rated as Excellent.

Conclusion

Based on the study, the Automated Inventory System of Dee Jay Dry

Good Store of Cajidiocan, Romblon can be recorded safely. The design

system works through Visual Basic 6.0, Microsoft Office Access 2007.

The Automated Inventory System of Dee Jay Dry Good Store of

Cajidiocan, Romblon is evaluated as excellent. It is designed for the benefit

of the owner of the store to control and monitor their products.
