Annex VI

BID SUBMISSION LETTER

To: UNDP

Dear Ms. Jespersen,

Having examined the Bidding Documents, the receipt of which is hereby duly acknowledged, we, the
undersigned, offer to deliver, install and support ICT equipment in conformity with the said bidding documents for
the sum of [total bid amount in words and figures] as may be ascertained in accordance with our Price Schedule
attached herewith and made part of this Bid. We agree that UNDP reserves the right to consider successful either the
technically responsive Bidder offering the lowest Total Bid Price (I. Price Schedule for the Delivery, Installation and
Onsite Warranty Hardware Support of ICT Equipment and II. Price Schedule for Software Support Services) or to
consider successful the technically responsive Bidder for Delivery, Installation and Onsite Warranty Hardware
Support of ICT Equipment Items only offering the lowest Bid Price for I. Price Schedule for the Delivery,
Installation and Onsite Warranty Hardware Support of ICT Equipment Items.

We undertake, if our Bid is accepted, to deliver, install and support the ICT equipment items in accordance
with the Technical Specifications and Requirements (Annex II) and the duly filled Bid Submission forms, attached
herewith and made part of this Bid. We have read, understood and accept the Special Conditions (Annex III), the
General Terms and Conditions for Goods (Annex IV) and the Contract for Professional Services (Annex V).

We undertake, if our Bid is accepted, to agree with UNDP on a Service Level Agreement for Warranty
Support Services (based on our draft Service Level Agreement for Warranty Support Services) prior to Contract
signature which will become an integral part of the Contract. We undertake, if our Bid is accepted, to agree with
UNDP on a Service Level Agreement for Software Support Services (based on our draft Service Level Agreement
for Software Support Services) prior to Contract signature which will become an integral part of the Contract.

In evidence thereof we enclose with this Bid Submission the following duly filled out forms and
documentary evidence which are an integral part of this Bid:

(a) Form 1. Bidder Profile and Professional Experience;

(b) Form 2. Technical Specifications: a detailed description of the technical parameters of the ICT
equipment in accordance with Clause 2. Technical Specifications and Quantities of ICT
Equipment Items of Annex II. Technical Specifications and Requirements; the Draft Service Level
Agreement for Onsite Warranty Hardware Support Services of ICT Equipment Items and the Draft
Service Level Agreement for Software Support Services;

(c) Form 3. Price Schedule: I. Price Schedule for the Delivery and Onsite Warranty Hardware Support
of ICT Equipment and Provision of Services for Installation and Onsite Setup of the ICT
Equipment Packages contains a detailed cost breakdown for each ICT equipment item; II. Price
Schedule for Software Support Services contains the unit price (monthly rate per quantity of ICT
equipment items for a support period in months) for software support services.

(d) Form 4. ICT Equipment Documentation: a list of the User Documentation, Warranty and
Maintenance Documentation for the 11 ICT equipment items;

(e) Form 5. Bid Security.

(f) Form 6. Company Declaration;

(g) Form 7. Consortium Declaration.

(h) Documents establishing our eligibility, qualifications and conformity of delivery, installation and
support of ICT equipment to the solicitation package in accordance with Clause 9.3 of Annex I.
Instructions to Bidders;
(i) Electronic copies of the duly filled out forms and documents in accordance with Clause 13 of
Annex I. Instructions to Bidders included in the enclosed CD(s).

We understand that UNDP reserves the right to verify the truthfulness of the submitted forms and
documentary evidence.

We agree to abide by this Bid for a period of 120 days from the date fixed for opening of Bids in the
Invitation to Bid, and it shall remain binding upon us and may be accepted at any time before the expiration of that
period.

We understand that you are not bound to accept any Bid you may receive.
