GAPP EXCHANGE 2017 CODE OF CONDUCT

Refund/Cancellation Policy

ALL cancellations must be submitted in writing (email is acceptable) by the participant
or participants parent/guardian directly to Xperitas, clearly indicating the participant's
name, school (if applicable), and destination. Xperitas cannot accept voluntary
cancellations made by phone or requested by a teacher for a student. Cancellations can
be emailed to cancel@xperitas.org. Airline tickets once purchased are nonrefundable.
Anyone canceling 30 days or less prior to departure will receive no refund.

Refunds are based on the number of days prior to the departure date. From the time of
deposit to more than 30 days prior to the start date

The Hhr-Grenzhausen/Shakopee Exchange trip has a long tradition of being first-class
representatives of their school, community, and state. We have done this exchange for
the last 32 years and through the years we have built a relationship with the
Hhr-Grenzhausen school and their whole community.

In order to proudly represent our state, school and community on our upcoming trip,
some guidelines and expectations for responsible behavior have been established.
Students and parents should read the following information and then sign the
agreement form, which indicates your understanding and acceptance of these
guidelines and expectations.

Guidelines
1. All students who participate in the Hhr-Grenzhausen/Shakopee exchange shall
follow all policies and regulations of the Minnesota State High School League
and Shakopee High School. Violators will be subject to the consequences
outlined in the Consequences for Non-Compliance which accompany this form.
If a student becomes ineligible for the trip either through their own actions or the
action of others before the group has departed, the student will still be held to the
refund policy, with absolutely no exceptions.

2. All students on the trip will be expected to participate in all planned activities
unless excused by the travelling teachers. This includes evening time at the hotel
and all scheduled field trips and planned activities. Students will follow the
itinerary and plans set for that day. The student will attend school in Germany as
specified by the teacher.

3. Mature, courteous, thoughtful behavior and conduct of highest quality is expected


at all times. The bus and hotel rooms must be kept clean. Our bus driver will
judge us by how we keep his/her bus. Be helpful and keep your things
organized.

4. The student is expected to obey all rules and safety precautions established by
the teacher during the travel and group activities.

5. The student must report any absence with his/her host family for more than a day
to the chaperoning teachers.

6. The student is not allowed to drive a car in Germany. Any driving will be
considered the illegal operating of a motor vehicle and will be reported to the
local authorities.

7. The changing of rooms by anyone must be approved by the travelling teachers


and have the agreement of all affected parties. Rooms may be checked at any
time.

8. Students should make sure to get their sleep. Being sick or tired can greatly
diminish ones enjoyment of the activities and lifetime opportunities that will be
experiencing while on the trip.

9. Students will be expected to be in their rooms 30 minutes before lights-out.


Those who fail to follow curfew will be considered non-compliant, and
subsequent consequences will apply as stated in the Consequences for
Non-Compliance form.

10. The travelling teachers must know where everyone is at all times. When there is
free time, your teachers will be available to help you plan the independent
activities you wish to take part in. Some activities (i.e. shopping, walking, eating,
etc.) will be done in teams or other small groups. Students shall never be less
than three in a group.

11. In case of injury or illness, your teachers shall be notified immediately.

12. Public displays of personal affection are not appropriate on the GAPP trip. If
there are mixed genders in a hotel room, ALL residents of the room must
approve of it, the door must be propped open, and there must be at least two
members of each gender in a room.

13. Students agree to not post materials to social media outlets that may portray the
Shakopee High School, its students or their staff in a negative manner.

In conclusion: common sense and good manners should be the overriding factor in all
that we do.

PARENTS/GUARDIANS: If you have any reason to believe that your son or


daughter will be unwilling or unable to follow these guidelines we would ask that you
reconsider their participation in the trip. The success of this very special experience
must be built upon a mutual trust of the teachers, students, and the families involved.

A tremendous amount of time, money, and effort will go into making this trip a success.
We are going as ambassadors of Shakopee that will represent our school, local
community, and the State of Minnesota.

CONSEQUENCES FOR NON-COMPLIANCE WITH


HHR-GRENZHAUSEN/SHAKOPEE EXCHANGE CODE OF CONDUCT
I. Alcohol / Tobacco / Illicit Drugs- possession or consumption

A. First offense

1. Unless the offense happens in the last 2 days of the trip, the student will be
sent home from nearest airport. If the offense happens within the last 2 days of
tour, the student will be placed on trip suspension and brought home with the
rest of the group. If there is not a direct flight, the parents will be consulted about
permission and the feasibility of sending the student home alone, or if the parents
prefer to fly to the airport that is closest to the tour group and bring the student
home. Parents are responsible for the cost of the flight home and any other
accrued costs associated with the arrangements for being sent home.

A. First offense

1. On trip restrictions that are appropriate for the offense will be put into effect.
Parents will be notified.

B. Second offense

1. Parents will be notified and consulted to determine if there will be additional


trip restrictions, or if the student should be sent home. If the student is to be sent home,
the procedure in Section I will apply.

C. Third offense

1. Parents and school officials will be notified.

2. Unless the offense happens in the last 2 days of the tour, the student will be
sent home from the nearest airport. If the offense happens within the last 2 days
of tour, the student will be placed on trip suspension and brought home with the
rest of the group. If there is not a direct flight, the parents will be consulted about
permission and the feasibility of sending the student home alone or if they prefer
to fly to the airport that is closest to the tour group and bring the student home.
Parents are responsible for the cost of the flight home and any other accrued
costs associated with the arrangements for being sent home.

III. If a student violates any of the regulations and guidelines of the Minnesota State
High School League or Independent School District 720, he/she will be subject to all
High School and MSHSL Rules/Consequences.

2017 HHR-GRENZHAUSEN/SHAKOPEE EXCHANGE AGREEMENT


I hereby give permission for _________________________________(Print student's
name) to participate in the Shakopee High School 2017 Hhr-Grenzhausen/Shakopee
Exchange.

A. I have read the Cancellation Policy, general guidelines, and all other policies listed
and understand the contents therein.

B. I understand that the High School German travelling teachers have full authority to
make judgments and decisions to ensure a safe and successful trip. We accept and
support the High School German travelling teachers authority in this regard.

C. I understand that any student who is found to be in violation of Independent School


District 720 or Minnesota State High School League policies and regulations, or who
demonstrates an unwillingness to accept the behavior guidelines stated in the Student
