1. TU/e Printers:
The need to print, copy, scan and archive remain within the TU/e community. And for some
time now this need has been partially met with the purchase of so called MFCs (Multi-
Functional Copiers).

Konica Minolta will be the MFP (Multi-Functional


Printer Copier) vendor for the time being.
Placing of the MFPs:
The number of different types of TU/e MFPs is very small and the use is easy and clear for
users. There are two base models that only differ in capacity: 35 or 45 pages per minute.
All MFPs use the same (software) configuration, the TU/e configuration.

Placement of the MFPs:


The MFPs are the spot to print, copy, scan and archive documents.
The MFPs are spread out over the TUE campus in different buildings. In most cases a MFP
can be found within a 50 meter distance.

2. Instructions base functionalty:


A. Printing:
Most printing is done on A4 and A3 formats in color and/or black and white and different
sized envelops.
And this is done in different variations, double-sided, booklet, multiple pages on one page,
possibility to staple and stack. The new MFPs can do all this and can print up to A3 scale.

A universal way to print on the TUE campus regardless of the workplace location of the
person is the Follow You print system. Which enables users to retrieve their print from the
nearest printer.
There is also a web base way to print called: EveryOne print.

Authentication is done by checking the authorization of the TUE account.

TUE card. The document or documents are printed when released.

B. Copy:
Most copying is done in an A4 and A3 format in color and/or black and white, single or
double-sided. This is often done in one of the two ways, through the document feeder or
under the scanner. When scanning under the scanner different formats can be scanned.

Authentication is done by checking the authorization of the TUE account.


Retrieval of a print job is done by authenticating at a MFP with a personal code and/or with a
TUE card. The document or documents are printed when released.

C. Scanning:
Most scanning is done in an A4 and A3 format in color and/or black and white, single or
double-sided. This is often done in one of the two ways, through the document feeder or
under the scanner. When scanning under the scanner different formats can be scanned.

The scan settings depend on what needs to be scanned and what purpose it has.
Scanned documents can become very large.
The scan format and resolution can differ and depends on the further processing.
The MFP meets the most use resolution and format needs.
The different scantypes are:

- Scan to Me (email)
- Scan to Mail address.

- Scan to Homedrive (folder)

Authentication is done by checking the authorization of the TUE account.

D. Printing and copying charges:


All prints, copies and scans are registered in a database.
This database has the possibility to assign budgets and quotas and to charge the user and/or
user groups of the TU/e MFPs.
The MFPs work with the existing TUEPAS (database) system of the TU/e.
The system is connected to the TUE domain Active Directory.
Authentication is done by checking granted access, rights, assigned quotas within the TUE
domain. The purchase of print credits is done through MyOrder.

E. Supplies:
The MFPs use paper and other MFP supplies such as toners and have parts that, under
normal operational use, need regular service and replacement

The MFC supplies and consumables are replaced when needed. The Konica Minolta
monitoring system is used to do this.

F. Malfunctions and error reports:


When a MFP malfunctions this will be proactively repaired. All TU/e installed MFPs are
monitored and necessary actions will be performed by Konica Minolta if necessary.
Malfunctioning MFPs can be reported to the ServiceCenter of ICT services. The
