Additional Rental Information


• Evening rentals must end at midnight, with the load out being completed by 2:00 a.m. There will be a
charge of $200.00 per hour or any portion of an hour for additional event hours after midnight, or for set-up
starting before 6:00 a.m.
• Stages and power distribution units for bands is not supplied by the venue.
• There is an additional fee of $500 to use a caterer not on the approved caterers list. The caterer must also
provide a current business license and current certificate of insurance.

RENTAL PROCEDURES/HOLD POLICY


• The date can be placed on a courtesy hold for two weeks. If another client wants to contract the venue on the
same date, the first client on hold will be given 48 hours (2 business days) to request a contract and pay a
deposit to exclusively reserve the date. Otherwise the hold will be forfeited to the second client.
• To hold a date exclusively, the full rental fee and signed contract are due to the Atlanta History
Center within five business days of receiving the contract. A credit card number is required to
guarantee the event when the client pays by cash or check.

PAYMENT SCHEDULE
• The full non-refundable rental fee and signed contract are due within five business days of receiving.
• All other charges, including whichever is greater between the beverage service estimate or beverage
minimum, furniture, and any other services are due one month prior to the event. Adjustments will be made
following the event and any additional payments are due within 30 days of the invoice.
• There is a refundable damage deposit of $500.00 which is due 30 days prior to the event. The client must be
notified that damage has occurred within 72 hours following the event. The $500.00 will be processed and
refunded as soon as all invoices have been paid.
• Cancellation of an event after confirmation will result in the forfeiture of all fees paid.

DECORATIONS
The rental client is responsible for all decorating and special effects for the event, within the following
guidelines:
• All decorations and signs must be freestanding.
• Items can not be attached to the wall with staples, nails, tape or any other material that will leave holes
or marks on walls.
• Hanging signs or banners on the exterior of buildings, on fences, on interior walls or in the gardens is
not permitted.
• Furniture or other objects may not be moved at any time.
• Only votive or tea light candles may be used in the property. Flames must be contained. No tapered
candles are allowed. Open fires and pyrotechnics are not allowed on the property.
• Items cannot block any entryway, paths, stairwells or hallways at anytime.
• All items must be removed from the premises immediately following the event, unless otherwise pre-
arranged. Floral arrangements will be discarded if not removed the evening of the event. MMH is not
responsible for items left after any event.
BEVERAGE SERVICE POLICY & PRICE LIST
The Atlanta Historical Society, Inc., retains a liquor license, and by law must provide any liquor, beer,
and/or wine used at any function held at the History Center.
• The History Center will not serve alcoholic beverages to any guest who is under the legal drinking age,
or anyone who appears to be intoxicated. Rental clients are expected to assist management in behavior
control of guests.
• Law prohibits donated beverages.
• The History Center provides plastic cups. Glassware must be rented.

CASH BAR SERVICE


For a cash bar, the User pays only the cost of the bartenders (see below), which is due no later than one month
prior to the event date. Bars are cash only. Credit cards are not accepted.

HOST BAR SERVICE – “By the Drink”


For a host bar service based on consumption, or “By the Drink”, the User pays the cost of bartenders (see
below) as well as the cost of the liquor, beer, and/or wine poured. User will be billed for an estimate of $5.00
per person per hour prior to the event or the beverage minimum, whichever is greater. Costs are due one month
before the event. The balance will be adjusted following the event based on actual consumption.

HOST BAR SERVICE – “By the Hour”


The host bar service based on “By the Hour” is available only with listed beverages - no special orders. The
User will be billed for the “By the Hour” estimate or the beverage minimum, which ever is greater. Costs are
due one month before the event. Adjustments can be made following the event for fluctuations in actual guest
counts.

*Please note: A 15% service charge and applicable GA State and City taxes will be added to Host Bar prices. Add $3.00 per
person for champagne toast. There is a $4.00 per person charge for children for a 4 hour event.

BARTENDERS and BARBACKS…………………………………………………$150.00


Bartenders will be supplied by the History Center. Each bartender is $150.00 plus tax for a minimum of four
hours. One bartender required per seventy-five people and one bar back for every three bartenders. The fee is
$25.00 per hour, per bartender for each additional hour. There is an additional $100.00 bar set up fee for events
at the Swan House.

SPECIAL ORDERS
The History Center may special order alcohol for an event. The client must pay for special-orders in advance.
The order will be placed with a licensed distributor. Prices will be quoted before order is placed, and will be
based on the distributor’s cost plus History Center costs and handling fees.
Following the event, unused bottles cannot be returned to the distributor for reimbursement. The client or User
may NOT take unopened bottles from the premises due to city and state laws. Requests for special orders will
not be taken less than ten business days prior to the event.

green olives as garnishes.
