Functions of the HR Admin Modules

1. Manage User

a. Add/Edit employees

b. Add File 201 of employees (in PDF)

-Copy of GSIS-ARA

- CSC Attested Appointment


- Certification of Assumption to Duty

-GSIS Membership Information Sheet

- BIR Form of 1902 or 2305

- PhilHealth MDR

-HDMF Registration

c. Add IPCR of every Employee- Every Year

-An electronic input form and the PDF

** Input form includes

- Name of Employee

- Review Period – (ex. January 2017 to December 2017)

- Name and Position of Rater

- Name and Position of Approving Authority

- Rating

-Date of Review:

b. Search by Name, by Employee Number, by position, by Division/Section

c. Print Personal Data Sheet, Service Record or any part of the PDS

2. Leave Request

a. Generate Individual Leave Ledger

b. Generate List of Personnel who are on-leave (Vacation, Sick, Maternity) on a specific date
c. Leave History – Individual

d. HR-Manager can request/Input the leaves

3. Training and Seminar

a. On the creation of event-

add: a.1) Section – OSDS, CID, SGOD

a.2) Division Memo

a.3) Event Coordinator/ In-charge

a.4) Date pickers/Time Pickers for the Date START and END and Time START and END

b. If an Event is created, add the prospected participants. Notification to confirm is sent to prospect participants and should confirm.

c. Notification should be sent to SEPS HRDD and Program Holders two weeks/ one week before the date of event.

d. Generate list of expected participants for every training.

e. Generate list of participants who have confirmed.

f. Generate list of participants for every training.

4. Payroll

a. Default should show List of Employees- then View and Edit

b. the Edit module allows input of the following

-Basic Salary

- P.E. R. A

- GSIS Personal Share (can be computer based from the Basic Salary)

- MEDICARE (based from Basic Salary)


- Pag-ibig Fund – default amount is Php 100.00 but can be more

-With holding Tax ( Based on TRAIN)

5. Attendance

a. Generate List of Employee/s with no DTR for a specific date

b. Default scree shows a List of Employee and View for the DTR of the Employee

c. HR-Manager can upload Individual DTR and Travel Order.

6. Reports

a. Service Record

b. Notice of Step Increment (NOSI)

c. Notice of Salary Adjustment (NOSA)

d. Loyalty Pay (Every 10 years)

e. Summary of Trainings Attended by Each Employee

f. List of Teacher/s Employee without any training


***Personnel Account (found in all the employees/teachers)

a. Edit Personal data.

b. Add his/her File 201 (in PDF)

5. Attendance

a. Input Time In and Time Out (DTR) every month – then, upload PDF of DTR.

b. For a date, if marked Official Travel, employee should upload a PDF of his/her travel

c. View/Print DTR of the Employee for the previous/current month.

d. HR-Manager can upload Individual DTR and Travel Order.

6. Reports

a. His/her Service Record

b. His/her Notice of Step Increment (NOSI)

c. His/her Notice of Salary Adjustment (NOSA)

d. His/her Loyalty Pay (Every 10 years)

e. His/her Summary of Trainings Attended
