1.2 Short Document Summary
This guide explains the uniFLOW 2018 LTS licensing structure and the main components of the software. The
document is applicable to Europe only. There is a separate version each for the Americas as well as for Asia and
Oceania.

1.3 What is new in Licensing with uniFLOW 2018 LTS?


uniFLOW 2018 LTS comprises the following licensing changes:

 Discontinuation of Server Clustering Module


 Introduction of uniFLOW Desktop Scan Client License (see sections 3.5, 8 and 9)

1.4 Licensing Overview


uniFLOW licensing is basically structured in the following way: Customers purchase a base edition to set the
number of users who can access the system. Depending on the functionality they might additionally need, they
can add modules, extra print servers and other licenses. This modular scheme turns uniFLOW into a flexible
solution which is suitable for any market or organization and meets individual customer requirements.

The uniFLOW licensing model is summarized in the following illustration, before it will be described in detail in
the subsequent sections:

1.5 General License Term


Customers may use uniFLOW upon acceptance of the End User License Agreement (EULA). This agreement
becomes effective upon the first usage of the respective uniFLOW license and is valid

 EITHER for the period of the lease of the hardware on which the software is installed
 OR in the absence of a lease, for five years unless earlier terminated*

(*A customer can continue using uniFLOW for longer than this period providing the Software Assurance
is maintained.)

2 uniFLOW Server Licenses
2.1 uniFLOW Base Editions
There are four base editions of uniFLOW with varying user limits:

uniFLOW Base Edition Number of floating Licenses

Workgroup 10 users floating

Enterprise Unlimited number of users

A user license is occupied whilst a print job is in the system and will remain occupied for 15 minutes after the job
has been released or deleted. A license is also occupied when a user logs onto an embedded applet or a
uniFLOW Release Station and will remain occupied for 15 minutes after they log out.

Important Note:

The use of Collective Release Queue Management (CRQM) or Distributed Release Queue Management (DRQM)
has an impact on the required number of user licenses. For details please refer to section 5.2 Impact of
CRQM/DRQM on required User Licenses.

2.1.1 The System of floating Licenses


uniFLOW user licenses are floating licenses, i.e. they are not permanently assigned to individual users, but taken
from a central pool to be assigned for a certain time and released back into the pool. This allows a potentially
larger number of users to have access to uniFLOW than the total user limit of the base edition purchased.

2.1.2 One Module included


uniFLOW base editions allow customers to activate one of the ‘Optional Standard Module’ functions such as
Statistics or Secure Printing. A description of available modules is set out in section 2.2. Customers requiring
more than one function (such as Statistics AND Secure Printing) can simply purchase extra modules.

2.2 Optional Standard Modules
In addition to the module included in the price for a base edition, uniFLOW can be expanded by further Optional
Standard Modules to add functionality to the software. All these modules are available at the same price which
means that customers pay for the number of required modules and - upon installation - activate the ones they
need.

2.2.1 Secure Printing


With the Secure Printing Module confidential documents are kept confidential. Print jobs are held on the server
and can only be released after identification of the user at the printing device.

The Secure Printing License also includes Internet Gateway which provides for the integration of
budgeting/payment systems like PayPal.

2.2.2 Statistics
The Statistics Module allows for the storing of accounting data in the database and generation of statistical
reports based on this data.

2.2.3 Rules & Routing


The Rules & Routing Module is applied for an intelligent re-routing of print jobs to the most cost effective device,
or routing of print jobs to alternative printers in the event of unavailability (failover).

2.2.4 Desktop Accounting


The Desktop Accounting Module allows for the monitoring and accounting of print jobs put out on desktop
printers.

2.2.5 External Budget Connector


The External Budget Connector seamlessly integrates uniFLOW and external budget systems using established
standard communication protocols (like HTTP and XML).

2.2.6 CRD Printing


The CRD Printing Module helps to manage central print room functions (job submission and intake, document
make ready and production). It includes Job Ticketing, Operator Dashboard, Load Balancing and PrePrint.

2.2.7 Web Submission


The Web Submission Module is used as a platform for offering print services to customers (job submission via
configurable shop fronts).

2.2.8 Application Connector


The uniFLOW Application Connector Module allows direct integration of external print room management
applications such as Océ PRISMA®prepare and Océ PRISMA®direct with uniFLOW. Regarding PRISMA®direct, the
following two Océ licenses are additionally required:

2.2.9 CopyShop
The CopyShop Module enables shop employees to control all devices (copiers, printers, PCs) in the copy shop
from the central info desk/counter.

2.3 Additional Licenses


The uniFLOW base editions can also be expanded by a number of additional licenses which – in contrast to the
Optional Standard Modules – all have different prices.

2.3.1 Remote Print Server (RPS) License


An RPS allows a large part of the functionality licensed on the main uniFLOW server to be installed on another
print server within the organization. Typically, an RPS is used if an organization has multiple buildings or if they
require a higher degree of failover stability. In the standard licensing scheme, only the Business, Corporate and
Enterprise Editions can install an RPS license.

2.3.2 Additional Scan Workflow License


The Additional Scan Workflow License extends the range of potential scan destinations: It enables scanning to a
number of document management or enterprise content management systems (DMS/ECM). With regard to this
license please note the following:

 1 Additional Scan Workflow License is needed per add-on scan destination.*


 This license is a central server license, which means it is valid for both the main uniFLOW server as well as
any Remote Print Servers.
 Due to complexity, some additional scan destinations require a MOMPS issue which must be quoted with
the order. Please check whether a MOMPS issue is required via the NT-ware Partner Site prior to ordering.

* Important Note:

Several scanning destinations are included standard with uniFLOW. The NT-ware Partner Site contains an up-to-
date list of licensing required for all scan plugins and connectors.

2.3.3 Job Conversion Instance (JCI) License


JCI Licenses provide a variety of different functions within uniFLOW. Each server and/or RPS to be equipped with
this functionality requires one separate license. Servers with multiple processors or processor cores can have
multiple JCI Licenses to improve processing time. Functions provided by a JCI License include:

 Conversion of PostScript jobs to PCL for use with the Universal Driver
 Page level color analysis of PostScript print jobs for accurate cost calculation
 Conversion of PDF jobs to PostScript
 Creation of thumbnail previews

2.3.4 Variable Data Printing (VDP) License
The VDP License allows corporate print rooms to integrate variable data printing applications into the product
offering of their web shop. When ordering this license customers receive three single license keys, activating the
actual VDP functionality, the FP Designer and the FP Server (FusionPro Software Package). It also supports the
open standard markup language PPML (Personalized Print Markup Language). With the help of PPML all
reusable contents of a print job can be marked as such. For an interaction of VDP and PPML, a VDP Enablement
Kit needs to be installed on the controller of the print device.

2.3.5 File Format Conversion License


The File Format Conversion License provides a method to convert native office documents (over 200 file types)
to PDF, PostScript or other printer languages. This functionality is typically used in a mobile or web submission
printing environment where the user may submit a Word file and require it to be converted to a language the
printer can understand. The File Format Conversion License is needed for each server and RPS requiring this
functionality. It cannot run on a stand-alone server but has to run on the same server as uniFLOW or the RPS.
For a conversion of documents into a printer language, the respective native application must be installed as
well.

2.3.6 PCL Job Conversion License


This license is used to convert PCL/XL to PDF, e.g. if – due to aspects of size or costs – a print job is re-routed
from an office printer to a print room. The license is activated through uniFLOW. However, it is not included as
standard, but needs to be purchased (like all other additional licenses). The PCL Job Conversion License is
needed for each server and RPS requiring this functionality.

2.3.7 uniFLOW – iW SAM Express Server License


uniFLOW V5 integrates with iW SAM Express which was developed by Canon for high security environments.
When ordering an iW SAM Express Server License, customers will receive two single license keys:

 iW SAM Express Module: This is the uniFLOW module, which provides the actual integration of iW SAM
Express into uniFLOW. The iW SAM Express Module can be activated with the license key provided by
NT-ware.
 iW SAM Express Server: This is the actual server license to be installed separately. It is protected by the
Canon license management server, which provides the customer with a license access number (LAN).

Important Note:

In order to make use of iW SAM Express functionality two more license components are required:

 uniFLOW SAM Device Licenses for MEAP


 Scan Volume Licenses

3 uniFLOW Device Licenses
3.1 Embedded Device Licenses for Canon Devices
There are embedded device licenses for the different Canon device types:

 Canon MEAP-enabled Multifunctional Printers (MFP)


 Canon Compact Multifunctional Printers (CMFP)
 Canon Single Function Printer (SFP)

All licenses are available in the following packs:

 1 device
 10 devices
 25 devices
 50 devices
 75 devices
 100 devices
 250 devices

3.1.1 Device Licenses for Canon MEAP-enabled MFP


The following table provides a summary of the different uniFLOW Device Licenses for Canon MEAP-enabled MFP
and the functionality they activate:

3.1.1.1 uniFLOW Login Manager for MEAP
The uniFLOW Login Manager is interesting for customers who only want the MEAP applet to log in to the device.

3.1.1.2 uniFLOW SPP Device License & SPP Addition for MEAP
The uniFLOW SPP Device License and SPP Addition activate device login and secure document release. If device
login is already activated by means of a uniFLOW Login Manager license or a uniFLOW Scan per Device License
for MEAP, only the SPP Addition will be required to add secure printing functionality.

Important Note:

Every uniFLOW SPP Addition for MEAP requires

 Either a uniFLOW Login Manager for MEAP license


 Or a uniFLOW Scan per Device License for MEAP

Printing functionality cannot be activated on a MEAP device by only purchasing the addition.

3.1.1.3 uniFLOW Scan per Device License & Scan per Device Addition for MEAP
The scanning license and scan addition both include an unlimited volume for MEAP-based scans and provide
uniFLOW advanced scan workflow functionality and scanning destinations. The Scan Processing Server is not
required to be licensed separately but is included in the device license. If device login is already in use by means
of a uniFLOW Login Manager license or a uniFLOW SPP Device License for MEAP, only the scan addition is
required to also activate this feature.

Important Notes:

 A uniFLOW Scan per Device License or Scan per Device Addition also activates five Scan Device Licenses
for Scan Simulator. The Scan Simulator is a tool for demonstration, development, support and training
purposes.
 Every uniFLOW Scan per Device Addition for MEAP requires
o Either a uniFLOW Login Manager for MEAP license
o Or a uniFLOW SPP Device License for MEAP.
Scanning functionality cannot be activated on a MEAP device by only purchasing the Addition.
 Scanning via a Hot Folder or through iW SAM requires a Scan Volume License.
Scan volume is available in packages of
o 200,000 pages per year
o 600,000 pages per year
o 1,000,000 pages per year

As many of these licenses as needed can be activated and added together. The total activated volume
can be divided between the sub-systems as required. Scan Processing Servers or scan device licenses are
not required to be licensed separately. For very large installations, a perpetual, unlimited Scan Volume
License is available.

3.1.1.4 uniFLOW SAM Device License
In addition to the iW SAM Express Server License (see section 2.3.7), each MEAP-enabled device to be
monitored must be licensed with a uniFLOW SAM Device License for MEAP (also known as iR Agent). In contrast
to the other uniFLOW Device Licenses for MEAP, this license is protected by the Canon License Management
Server, which provides the customer with a Client Access License (CAL). These CAL licenses are managed on the
iW SAM Express Server.

When using iWSAM Express with uniFLOW’s scanning functionality, Scan Volume Licenses need to be purchased
(please also see section 3.1.1.3 uniFLOW Device Licenses for Canon MEAP-enabled MFP/Scanning and Scan
Addition).

3.1.2 SPP Device License for Canon CMFP


As the name suggests, the SPP Device License for Canon CMFP allows for device login and secure document
release on CMFP devices.

3.1.3 SPP Device License for Canon MEAP-enabled SFP


As the name suggests, the SPP Device License for Canon MEAP-enabled SFP allows for device login and secure
document release on SFP devices.

3.2 Embedded Device Licenses for Multi-Vendor Devices


Device login and secure document release is also possible on multifunctional machines other than Canon. The
following embedded device licenses are available:

 uniFLOW SPP Device License for Hewlett-Packard (HP)


 uniFLOW SPP Device License for Konica Minolta (KM)
 uniFLOW SPP Device License for OKI
 uniFLOW SPP Device License for Samsung
 uniFLOW SPP Device License for Xerox

These are all single device licenses, i.e. to be applied on one device.

3.3 uniFLOW SPP Device Licenses for Océ Large Format


Printers
Device login and secure print functionality is also available for Océ Large Format Printers. Depending on the
device type the following two licenses are available:

 uniFLOW SPP Device License for Océ Large Format Printer Low Volume for
o Océ PlotWave 340/360
o Océ PlotWave 345/365
 uniFLOW SPP Device License for Océ Large Format Printer Mid Volume for
o Océ PlotWave 500
o Océ PlotWave 450/550
o ColorWave 500/700

Additionally, the following Océ device licenses are required:


 ‘Administrative Logon’ license
 ‘Third party app integration’/’Partner App Enabler‘ license

3.4 uniFLOW Scan Device License for ScanFront
This license activates uniFLOW advanced scanning functionality for Canon imageFORMULA ScanFront network
scanners:

 Secure login to the device


 Unlimited volume of web-based scans

Each uniFLOW Scan Device License for ScanFront includes the ICARUS Server for Web, an application to be
installed in addition to the uniFLOW Server. This behavior license handles the communication between the
server and the clients.

Important Note:

Like the uniFLOW scan licenses for MEAP (see section 3.1.1.3), a uniFLOW Scan Device License for ScanFront
also activates five Scan Device Licenses for Scan Simulator.

3.5 uniFLOW Desktop Scan Client License


This license activates uniFLOW advanced scanning functionality for USB connected Canon imageFORMULA
desktop scanners with a Windows®-based uniFLOW Desktop Scan Client. Each workstation connected requires
one uniFLOW Desktop Scan Client License. Advanced scanning is supported for the latest and most popular
Canon imageFORMULA desktop scanners with the list of supported devices steadily growing. Currently
unsupported devices can be tested and added on request. For this purpose, a MOMPS issue is required and a
physical device must be made available.

Important Note:

The uniFLOW Desktop Scan Client can also be used as scan simulator for demonstration and testing
purposes.

4 Customization – Project Access
Pack (PAP)
The PAP is required to install a software version from the ‘project line’, i.e. including customized functionality.
The PAP contains a license code and one day of RIAS to assist you with the installation.

The license code allows you to install a project line version and at the same time prevents installing and running
a uniFLOW version from the standard (service release) line. You may install a new product version as soon as
your required functionality is officially included in a minor or major product release.

The creation of a MOMPS issue is mandatory when ordering a PAP.

4.1 Which Cases require a PAP?


A PAP MUST be purchased

 If a customization involving enhancements to the uniFLOW core product is needed. This includes the
uniFLOW Kernel, uniFLOW Client, uniFLOW RIP and most components that are not scripts or configuration
files.
 If functionality needs to be installed that has been developed for a customer but has not been officially
released yet.

4.2 When is a PAP not needed?


 If a straight-out-of-the-box install with no customizations needs to be done.
 If uniFLOW is customized by just changing the web pages, implementing custom workflows, or
implementing tools with the uniFLOW API.
 If a project request is raised and NT-ware comes to the conclusion that a PAP is not needed.

5.2 Impact of CRQM/DRQM on required User Licenses
With Collective Release Queue Management (CRQM), users are able to release their print jobs from any device
that is connected to a collective of print servers.

The Distributed Release Queue Management (DRQM) functionality allows global routing of print jobs across
print servers. The job is released ‘anywhere’ where users identify themselves.

When considering the required number of user licenses in such an environment the following must be kept in
mind: Each user who prints to a CRQM/DRQM member server (uniFLOW server or RPS), blocks a user license on
each member server of the collective as long as the submitted print job is held in the system. Consequently, to
arrive at the correct number of user licenses, the actual user count must be multiplied by the number of
connected servers.

5.3 Licensing of a Master/Slave CRD Setup


In large environments with a Corporate Reprographic Department it can be useful to have a master/slave server
setup, with the print room management being located on a dedicated server (slave server).

The slave server requires the following full set of uniFLOW licenses consisting at least of:

 A base edition
 A CRD Printing License
 A JCI License/JCI Licenses (according to requirements)

6 Configuration Examples
6.1 Customer A

 100 users: 70 users on the main print server and 30 users on an RPS in a separate

 The RPS License includes both the base edition and the Secure Printing Module for the
RPS in the second building.
 1 SPP Device License is required for each MEAP-enabled device.

6.2 Customer B

 The Scan Volume License allows for Hot Folder import of tiff files into the scanning
workflow.

7 Upgrade and Change Licenses
7.1 Edition Upgrades
Different upgrade items are available if the user limit of a uniFLOW installation needs to be expanded. It is
possible to upgrade the editions with a user limit, i.e. Workgroup, Business or Corporate Edition, to any edition
with a higher or an unlimited number of user licenses.

Upgrade items need to be purchased for the entire installation, i.e. not only for the uniFLOW base edition but
also for all Optional Standard Modules or potential RPSs.

Each purchase order of an edition upgrade requires the serial number of the installation.

The following upgrades are possible:

7.2 Upgrade from uniFLOW SPP Device License for CMFP to


MEAP
Since device fleets change over time, CMFPs may be replaced by MEAP-enabled devices. This upgrade license
acknowledges existing licenses and enables a smooth conversion process. A MOMPS issue is mandatory.

7.3 uniFLOW Release Station Upgrade Licenses


In changing device fleets, it might become necessary to replace a uniFLOW Release Station by an SPP Device
License. Depending on the device type, customers can purchase one of the following licenses

 Release Station to Canon SPP Device License for SFP
 Release Station to SPP Device License for Hewlett-Packard

In such a case, a MOMPS issue needs to be created and the uniFLOW Release Station be returned to NT-ware
(for details of the return program please see the respective document) before customers will receive their
license code.

7.4 Change Licenses for Multi-Vendor Devices


7.4.1 Multi-Vendor Embedded Device Licenses to Canon
Customers replacing their Hewlett-Packard, Konica Minolta, OKI, Samsung or Xerox device with a Canon device,
can make use of the respective change item:

 Hewlett-Packard to Canon SPP Device License for MEAP


 Konica Minolta to Canon SPP Device License for MEAP
 OKI to Canon SPP Device License
 Samsung to Canon SPP Device License for MEAP
 Xerox to Canon SPP Device License for MEAP

7.4.2 Multi-Vendor Change Licenses


It is also possible to exchange uniFLOW Embedded Device License for multifunctional devices among one
another. This implies that e.g. a uniFLOW SPP Device License for Xerox could be changed for a uniFLOW SPP
Device License for Samsung or a uniFLOW SPP Device License for Canon for a uniFLOW SPP Device License for
OKI. The following change license are available:

8 uniFLOW Demo Mode
For testing purposes, technical consultants can leave uniFLOW unlicensed and run in it in a free of charge demo
mode. In this mode, uniFLOW needs to be restarted after 50 print and/or scan jobs. Documents are
watermarked displaying ‘uniFLOW Demo’ on all pages. uniFLOW Demo Mode includes:

 1 base edition
 all Optional Standard Modules
 all additional licenses incl.
o 1 RPS License
o 1 JCI License
o 2 File Format Conversion Licenses (watermarked)
o 2 PCL Job Conversion Licenses
 2 SPP Device Licenses for Canon MEAP-enabled MFP

9 uniFLOW Evaluation Licenses
Different licenses are available for evaluation purposes.

9.1 Not-for-Resale (NFR) Licenses


NFR Licenses can be ordered for the use in showrooms. The number of jobs and running time is unlimited, but it
can only be used by ten users at a time (Workgroup Edition). Document output is watermarked with this license,
displaying ‘uniFLOW Demo’ on all pages. It includes:

9.4 Combining Evaluation Licenses
Before deciding to actually buy uniFLOW, customers might need a more extensive test period. For this purpose,
it is possible to combine different evaluation licenses. The customer could e.g. start with a Trial Licenses and
activate an Extended Trial License afterwards. However, also in this case a maximum of three licenses can be
activated at the same customer.

9.5 iW SAM Express Server Trial Mode and uniFLOW SAM


Device Trial Licenses for MEAP
iW SAM Express Server can simply be installed in trial mode and will expire after 180 days. A trial version of the
uniFLOW SAM Device License for MEAP can be requested from NT-ware via a MOMPS issue.

NFR versions of iW SAM Express are valid for 365 days and require a license access number (LAN). They can also
be requested from NT-ware via a MOMPS issue.

9.6 File Format Conversion Demo License


The File Format Conversion License can be used in connection with all uniFLOW evaluation licenses (NFR, Trial
and Extended Trial). To make use of the conversion process in uniFLOW, a separate installation of ‘Document
Converter Pro’ is required. The installation file can be requested from NT-ware via a MOMPS issue. The
converted files will contain a watermark.

9.7 VDP Demo License


A VDP demo license is available from Logistics. For this purpose, a MOMPS request must be created. Output is
watermarked with this demo license.

10 Timberwolf Agreement
10.1 General Terms
The Timberwolf agreement was reached between Canon and NT-ware and implies that Canon may use uniFLOW
internally for free. This arrangement applies to

 Canon sales organizations


 The Canon partner/dealer channel
A Timberwolf installation is meant for internal productive operation which implies that it is a full version without
limitations (as in the NFR license). Furthermore, it includes 5 years of software assurance. Timberwolf licenses
may not be handed out to any other organization.

10.2 Order Process


Licenses for a Timberwolf installation can ONLY be ordered via a MOMPS issue. This issue should relate to
Timberwolf and include the respective Mercury codes.

10.3 Timberwolf Licenses
