Birlamedisoft Pvt. Ltd.Companyis looking for a software for digitization of their documents.
Kairee Systems Pvt. Ltd. have proposed a Filestream Systems to digitize their document. Which
would increase the productivity and reduce the time in searching of documents. Following are
the feature list for the same.

INTRODUCTION TO FILESTREAM SOFTWARE

FilestreamSystems has specialized in all aspects of document handling and Document

Management for nearly 20 years.FilestreamDocument Management software has been
developed by a team of expert programmers using VB.NET technology, under the design
supervision of experts in document
Handling and experienced users of electronic filing and paper document handling systems.

THE FILESTREAM SOLUTION

The Filestream solution consists of 3 easy steps

1. Scanning / Importing
All the physical documents would be scanned with the help of an ADF (Automatic Document
Feeder) scanner. These scanned images are then stored temporarily in Filestream “In-tray”
Alternately soft copies of files can be also fetched in the in-tray.
2. Indexing
Each set of image can be given a reference tags like Customer name / reference number / type
of document etc. and then stored in a secured location on hard disk.
3. Retrieval
Documents can be retrieved / printed / Faxed / emailed from Filestream based on the various
reference tags used during Indexing.

The documents stored can be easily accessed online, thus saving lot of time and efforts in
searching of required document.

The documents are retrieved over computer, there is no movement of physical documents

Using Filestream process workflows can be designed, for specific tasks eliminating the
movement of files across various approving authorities. Thus saving on valuable time and

All the documents are scanned and stored in the computer. The physical documents could be
maintained at the remote location, thus saving on the cost.

7. Safety and Security

The access to Filestream can be given to responsible personnel with various levels of access to

Regular backups and moving copy of data to offsite location, will avoid losses in case of fires and
natural calamities.

9. Flexibility and Adaptability

The Filestream can be easily configured to suit one’s own process and work systems, without
having the users to change their existing workflows.

10. Search on the Content

The documents can be searched not only on the tagged information, but also on the content of
the document using the OCR technology of the Filestream

6. Training: Initial Training & Implementation support for 5 days will be provided.
Additional implementation/training support @ Rs 6000 per Engineer per day.
7. Stay and Travel Extra @ actuals.
