SECTION 1: HR PROCESS

1.1: JOB ANALYSIS:

Job Analysis in Apex Chat is done by HR manager of highly skilled person. Firstly, they identify that if
any department generate a need of any position so we will collaborate analyze that if there is really a need
of this position or not and what are the attributes and specifications, job analysis focuses in that manner.

1.2: JOB DESCRIPTION:

In Apex Chat HR manager post job description on Mustaqbil.com and rozee.pk. Apex chat have buy the
most expensive package of rozee.pk where they can easily post their job and sell the job and get the
responses from the people. Through the search engine of rozee.pk they can easily access to people which
have come to them back last year and so on. They are easily searchable.

1.3: JOB SPECIFICATION:

In Apex Chat their job description is that the person should be matric pass out, have good communication
skills, perfect in grammar, should know basic excel and must have good typing speed.

1.4: RECRUITMENT:

The CVs of people come through inbox from rozee.pk and from other websites. Infect if a person has not
send its cv they can contact and offer him for a job. Recruitment in Apex Chat is also done by refer by an
employee for example I told to HR manager that one of my friend also want to work, the HR manager will
make his refer acceptable and his or her job will be made but after some time his work will be checked
either it is working good or not.
1.5: INTERVIEW PROCESS:

In Apex Chat interview process is that a candidate must have to come along with his CV. HR manager will
ask some basic question about his academical studies and some general knowledge question. After that he
or she will be taken to a room where a person has to clear the test on a computer. Test is based on 3
questions, 1st is consist of typing speed, 2nd is consist of grammar test and last on is consist is brain testing
questions. After that candidate is about to leave the room if he or she pass the test they will be called.

1.6: PERFORMANCE MANAGEMENT:

If the employee having some problems regarding to chat then the QA department send it to director and
that complain then forward it to HR manager. Now HR manager talk directly to the employee that what
problems are you facing is their any personal issues or you are not handling the mode of work.

1.7: COMPENSATION AND BENEFIT:

A good amount of salary and benefit are given to employees which make them happier as compare to other
service center. There are quarterly bonuses which increase the amount of salary, if your job time is at night
so after 3AM if you logged in you will get extra bonus. A good facility of medical is also given by the
company. There are 2 to 3 incentives related to chat, who work good incentives are given to them. In holy
month Ramazan allowance is given at daily basis either you are Muslim or not

1.8: CAREER DEVELOPMENT:

Yes, in Apex Chat an employee can make its career related to this industry. As a HR manager he is working
in this company for 5 years and also get many promotions. According to the work many of the people get
promoted. When an employee gets hire his job gets permit but according to the company rules a company
have the authority that it can says to the employee that you are no more employee over here. As per the
rules they give all the incentives and salary to the employee of that month.
SECTION 2 AND 3: PROBLEMS AND SOLUTIONS IN HR PROCESS

PROBLEM 1: JOB DESCRIPTION

The first problem that I have identified in job description is that they have post their jobs on websites where
many people post their CVs to find job and start earning money according to their field. The problem is
many of the people in Pakistan have not access to internet.

SOLUTION 1:

The company should post them adds on newspaper, magazine and special type of newspaper where people
can easily go through and can find the jobs if they don’t have internet access.

PROBLEM 2: INTERVIEW PROCESS

2ND problem that I have identified is that interview that is taken by the person is too short, main interview
process is taken by the computer where you go in to the room and sit down in front of the computer and
you have max 30 to 45 mins to complete the test.

SOLUTION 2:

If a person fails to give the interview test on a computer he or she should get a chance to elaborate his or
her skills. In one particular part his skills are weak but in another part of the question which is based
communication is perfect so a person should get a chance to work with the company and get chance to
improve another part which he or she is week.

PROBLEM 3: RECRUITMENT

In recruitment process as they have said they have access to all CVs which have come to them 1 year back
or even 5 years back. These are all the CVs which were applied to this company but due to failure of the
test or might be not joining to the company after having successful selection. The problem is some of these
companies who have the authority to log in the website and see the CVs of the people sell the data to earn
the benefit of their own.

SOLUTION 3:

Your personal information is now locally available to everyone, the websites should make a such kind of
software’s where your data can not be easily copied even by the companies also. There should be an option
where a person should be informed that for a particular reason we want to take your data if you click the
option yes then we can copy your data and move forward to other companies.
PROBLEM 4: COMPENSATION AND BENEFIT:

In Apex Chat mostly the employees are student and a very low percentage of employees are working as a
married. Company is giving good benefits but as the inflation is as its peak these benefits are low for the
students who pay their fees by their own.

SOLUTION 4:

Company should also give benefits or we can say giving some extra amount of money to those employees
who are currently studying or want to study but are unable to study due to financial issues. Another benefit
that I suggest that employees who are coming from far areas company should give them benefit of pick up
and drop off service. Employees will be happier and can put some extra service to company.

PROBLEM 5: CARRER DEVELOPMENT

In this industry a good amount of money many of the employees are making, even though a fresh candidate
also starts with the good number of money without any experience. Mostly employees are student and work
for the short time in this industry make and save good amount of money and then leave.

SOLUTION 5:

If you are a student and having some financial issues it is good to work part time in a call center company
and if you are from a good wealth family and want to work in call center than the idea is not good basically
in call center the carrier is not good in long term , people come for the short time make money and fulfill
their necessity and then leave , different people come and replace their seats.

PROBLEM 6: JOB SPECIFICATION

The problem that I have seen in job specification is that the qualification that they are requiring is just matric
and I have seen in the office that there are employees who have not even do the matric. Another problem
that I have see is people who are sitting in the upper management have simply done B.com and some of
them are lack of experience.

SOLUTION 6:

In my point of view the qualification should be minimum inter, because after doing inter a person gets well
matured and have gone through many situation and have seem a world and can make the difference between
the right and the wrong.
Secondly, the solution that I have suggest is that in upper level or we can say upper management should
have degree of masters in that particular field. Doing just b.com in todays world is useless. Yes, if we see
this degree in previous years it gives benefit but now it has no worth.

SECTION 4: TRAINING:

4.1: ANALYZE TRAINING

If an employee facing any kind of problem regarding to chats first of all an experience person in the
company come to him and ask him questions that what sort of problem are you facing then he or she taken
to another room and start mentoring him that you are doing these mistakes and this particular problem has
this solution. If the team of head start telling problem in front in front of everyone then the particular
problem might not be solved and it will impact negative in front of everyone.

4.2: TRAINING IS DONE INTERNALY OR YOU HIRE?

As per the nature of the job in apex chat the training of an employee is done by the internal management.
If there is no internal management person but there is employee whose experience is marvelous than that
task is assign to him.

Yes, if HR manager request to CEO of the company that are sitting in USA that in Karachi there is training
program or a work shop is going on and I as a manager want to attend that, the CEO of the company will
definitely allow him and will also pay the cost because it will help the organization to move more faster
and build the strong pillars in this industry.

4.3: TRAINER COST

As per the rules of the organization the cost of training is not given to the trainer. Yes, after the office
timings when an employee gets free he or she gather all the employees who are facing problems. The cost
of training is given to that particular employee in a face of doing over time. The cost is given to him or her
in an aspect of every hour and that particular amount is pretty much good.
4.4: AFTER TRAING WHAT BENEFITS COMPANY TAKE?

In the apex chat there is no burden of work. The work is divided equally to every employee. Yes, after the
training it is up to the employee that how well he or she has understood. If they start working well and
serving the company healthy then, they are promoted like staff manager, floor manager and even though
some times becomes HR manager

The senior level also promotes the employee to the upper level chats where the work mode is high and they
see the employee that he can handle it and the training is given to him is well and good. As per the promotion
to the upper level salary also increase because of doing more chats.

4.5: ONE TIME TRAINING GETS EFFECTIVE OR NOT?

After the training of the employee it also varies that how much he or she is motivated. It also varies that on
the training employee sort out his problems or not. If the employee is internally motivated he or she will
sort problems in few days after training. If they are not motivated they will face problems again and again.

Age factor matters a lot in training, employees who are young and energetic and having age between 18 to
25 can catch the points more faster as compare to the person whose age is 30 plus.
