1. PURPOSE

This Project Definition Document provides a brief overview of Azee Distributions to promote a shared
understanding of it before a more detailed Plan, Schedule, and Budget is prepared.

2. PROBLEM/OPPORTUNITY
The problem that was brought to light was that the employees at Azee Distribution were doing work totally
manually like all the records were maintained on registers and papers, the cash flow, inventory, pay slips etc.

3. PROJECT GOAL
Our goal is to present Azee Distributions with an automated system for their day to day transactions.

4. PROJECT OBJECTIVES
The project objective are
 An automated system for the owner to keep check and balance of his distribution all times by the help
of an Android/iOS application and a desktop application
 Automated system for the accountant to generate receipts and maintain computerized record of cash
flow (Desktop application)
 Android/iOS application for the K.P.O. and Booker that helps in keeping the record of all the stock that
is to be delivered to retailers and is directly sent to the head office and inventory manager/store
keeper for ease
 Android/iOS application for the retailer in case of any advance bookings that will be monitored by the
accountant, booker, K.P.O., and store keeper

5. PROJECT SCOPE
 Owners module for keeping track of all the sales and cash flow
 Accountant’s module for all the information about the sale, stock etc.
 K.P.O (Key Punching Officer) module for generating sales receipts and maintaining the ledgers for the
accountant and the booker he is more like an accountant but only deals with the bookers and the stock
buyers
 Booker module for keeping record of all the bookings
 Store keeper/inventory managers module for keeping track of all the inventory
 Retailers module/Android-iOS application for making advanced booking of the stock

6. KEY STAKEHOLDERS
The main stakeholder are
 The Owner
 Accountant
 K.P.O., Bookers, Inventory manager
 Specter Pvt. Ltd.
 Any other individual associated with the software

7. ASSUMPTIONS AND CONSTRAINTS

7.1 Assumptions
We here at Specter Pvt. Ltd assumed that the information given to us is full and complete and the software will
be will developed according to the information document after scheduled meetings.

7.2 Constraints

We are not getting any kind of information about the bookings and order receiving from the client that limits our
project.

8. RISKS
This document has been prepared after the following risks taken under consideration
 Any natural disaster
 Public holiday
 Holiday announced by the government
 In case of an emergency at the office
 In case of power outage, loss of data etc.
 And other incident that may affect the project deliverable, the client will be informed in advanced

9. ESTIMATED COST
The estimated cost of this project is around 2.3 lakh rupees but may be increased in case of any risk mentioned
earlier.

10. ESTIMATED DURATION

Keeping aside the risks mentioned earlier the estimated time duration of the project will be 1-2 months.
