2.1 Statement of the Problem

2.2.1 General Problem

How to design and implement a online reservation and billing

system for The Grand Towers?

The Proponents will implement a computerized

condominium reservation and billing system for The Grand

Towers to eliminate the problems that the company is facing. One

of the problems is the inefficient way of processing the reservation

and registration of the client. The client have to wait for prolong

time to let the agent/brokers finish the transaction. It will take

hours or days to process these transactions as a result the company

may loose their chance to get their target sales.

Another problem that the company encounter’s is that the

accounting is having difficulty in monitoring the cancellation of

reservation most of the time they just cancel the reservation with

out the knowledge of the accounting.

2.2.2 Specific Problem

After thorough observation of the current system, the proponents

found out some specific problems. These are the following:

1. How to develop, design and implement a module that will

handle condominium inquiries, reservation, registration

billing/payment efficiently for the client?

The company should use online condominium

reservation and billing system in processing the transaction

such as the registration, reservation to avoid the prolong

processing of transactions. In the process of registration and

reservation the agent/brokers will takes hours or days to

process these transactions as a result the company is loosing

the opportunity to earn more profit for the company because

of its poor service that the company is offering to the client

because of using manual processing of transaction. For

inquiry of the agent/brokers will have to write down the

important information like the room number, unit type. Client

2. How to generate automatic sales reports for the Top

Management/Executives & Stocks Holders?

The Top Management/Executives & Stocks Holders

needs to computerize processing of sales reports to lessen

their office works. Instead of focusing in doing the reports

the manager can be more productive because they can think

of other things for the betterment of the condominium.

3. How to design security and utility measures to maintain

data integrity of the condominium transaction?

The company needs to have an online security and

utility measures of the condominium transactions. Because of

manual system, confidential records have the possibility to be

accessed by unauthorized person because of its unsecured

process of keeping the data’s.

2.2 Proposed Research Project

2.2.1 General Objective

To design and implement a online reservation and billing system

for The Grand Towers.

2.2.2 Specific Objectives

To be able to achieve the main objective of the study certain

specific objectives must be met. These are:

1. To develop, design and implement a module that will handle

condominium reservation, registration efficiently for the

client.

- Since the condominium is using manual

system in processing the registration and

reservation. The proponents will develop a module

to eliminate or at least to lessen the time of

processing those transactions. To settle this, the

proponents will design a client information module

that covers all the important information about the

client. The proponents will make sure that the

system will not only execute the transaction faster

but efficiently.

2. To generate computerized sales reports for the Top

Management/Executive and Stocks Holders

- The proponents will develop a module that

will generate automatics sales reports for the Top

management/executive and stocks holders. To

lessen its office works the proponents will see to it

that the module will do it accurately.

3. To design security and utility measures to maintain

data integrity of the condominium transaction.

- The proponents will develop a module that

will implement security and utility measures to

maintain the integrity of the condominium

transactions. To implement this, the proponents will

create a System User module that will control the

user in accessing the confidential information’s

• 2.3 Scopes and Limitation

• Front-End Scope

The system will focus on the provision of an Online

Reservation with Billing System for The Grand Tower. The

proposed system shall include the following links to current

website:

• Inquiry Module. This module will handle the client

about unit availabilities, total condominium price,

billing statement, about us, and amenities, contacts etc.

• Online Reservation Module. The proposed system

will develop a module for reservation of condominiums

and facilities offered by The Grand Tower. Clients are

given the comfort of just clicking on the desired

reservation information.

• Online Registration Module. For client who would

like to continue reservation will be required to register

to proceed to the invoicing which is done through

Paypal or Credit Card allowing payments to be made

through the Internet

• Email Verification. A verification message is

forwarded to the registering client for the activation of

his account.

• Client Accounts. Registered clients are entitled to

access their own accounts by logging in to the website.

Clients are able to view their transactions and current

reservation. They may manage their reservation such as

to add or cancel a reservation.

• Back - End Scope:

• Registration Module

- This module is responsible for registered

clients that will get all the client information

needed, and will have more secured system for

transaction and reservation for .the grand towers

• Reservation Module

- This module is responsible for reservation

of client. The registration will be systematic

because of the computerized billing system. There

will be on more confusion in the part of the

accountant for some problem they encounter like

the duplication for the client billing statement and

online system will perform it accurately.

assigned staff only.

• Limitation for Online Reservation System:

The proposed system shall be focused only on the

betterment of the resort’s receptionist and the improvement of

the way online transactions are made. The limitations of this

proposed system are as follows:

1. Independent Online Money Transfer and Payment

The company only accepts “PayPal” and

Credit Cards for online reservation payments so

creating an independent module is neither

accepted nor included in the proposed system.

2.2.4 Methodology

Prototyping is a complex technique that requires knowledge of the

entire systems development life cycle before it is successfully accomplish.

Prototyping of information system is worthwhile technique for quickly

gathering specific information about user’s information. [KEND2002]

Prototyping is a selected-features prototype that will include some

but not all features, one that, if successful, will eventually be part of the

larger, final system that is delivered. The Prototype system is actually an

operational portion of the eventual system you will build. Prototyping is a

superb way to elicit feedback about the proposed system and about how

readily it is fulfilling the information needs of its users. It is also an

excellent way to facilitate the integration of the information system into

the larger system of the organization.

User reactions, user suggestions, revisions plans and innovations

are the kinds of information sought when prototyping. In user reactions,

the analyst discovers many perspectives on the prototype, including

whether users seem happy with it and whether there will be difficulty in

selling or implementing the system. User suggestions are garnered from

those experiencing the prototype as they work with it for a specified

period. Suggestions are the product of user’s interaction with the prototype

capabilities that have not been thought of prior to the time when users

began to interact with the prototype. Revision plans help identify priorities

The proponents decided to use Prototyping Methodology because

its processes are obviously ideal in creating the proposed system. It gives

the proponents a clearer perception on how to make the proposed system

both effective and efficient. To better support this perception, the

proponents acquired a reputable document related on the proponents’

proposed system. The summary is as follows:

“It has been found that prototyping is very effective in the analysis

and design of on-line systems, especially for transaction processing,

where the use of screen dialogs is much more in evidence. The greater the

interaction between the computer and the user, the greater the benefit is

that can be obtained from building a quick system and letting the user

play with it” [CRIN1991]

The proponents’ chosen methodology will be used in accordance

with the steps of Software Prototyping [en.wikipedia.org]

1. Identify Basic Requirements

- The proponents shall conduct an interview as part of

our data gathering procedure to properly identify the

needs and necessary inclusions required for the

proposed system

2. Develop Initial Prototype

- With the data gathered on step one (1), the proponents

shall create an initial prototype which later will be

subjected for operation and performance analysis and

evaluation.

3. Review

- The primary user, Receptionist/Staff, shall be asked to

examine the prototype and provide feedback on

additions or changes

4. Revise and enhancing the prototype

- Here, the proponents shall revise and enhance the initial

prototype in accordance to the review in step three (3).
