Academic Licensing

The purpose of this presentation is to provide basic details


on Microsoft’s Academic Licensing programmes for existing
and potential Authorised Education Resellers (AERs) . Who
qualifies, what are the licensing options and their features,
and what are the processes involved?

national administrative offices)

Note: Hospitals and research laboratories are not eligible unless they are
wholly owned and operated by a qualified educational institution

Three year volume licensing agreement for


institutions with more than 250 desktops
Purchase perpetual licences
Products split into three pools: Applications, Systems
and Servers – 1500 points per pool
Select media sent to customer
Can be used in conjunction with annual licensing
agreements for additional product requirements

Customer signs Master Agreement (Ts and Cs)


and Enrolments under that Master (facilitates
purchasing)

Sold through EdLARs and LARs only

Purchase either Licence only or Licence +

Student Select

Perpetual student licences are available for a wide


range of products including Office Enterprise and
Windows Vista for both Higher/Further Education
and School students
Institutions no longer need to have a Select
agreement in place
Customers should expect to order at least 750 points
Points now count towards institution minimum
purchase levels

Choice of desktop products and servers
5% discount on the primary product platform (Office Enterprise 2007,
Windows Vista Enterprise and Core CAL)
Home Use Program – a new Software Assurance benefit providing
faculty and staff with access to products for their personal use (HUP) or
work-related use (Work at Home)
Standalone Student option
Flexible and revised buy out
Customers receive “customized” media kits including only the products
they ordered
For each enrolment customers will receive one complimentary MSDN
Academic Alliance High School Membership
Eligible PC Count

Institution-wide commitment: All of the following


must be included: Pentium III and above, iMac G3,
and equivalent or better PCs

The customer can choose to count any number of


lower spec Pentium, 486/386 and Mac machines
What products can be selected?

Applications & System products (counting 1 point)


including Office Enterprise, Windows Vista Enterprise
upgrade, CoreCAL, FrontPage, Project, Encarta, Visio,
Visual Studio, Publisher and CALs/SALs
Servers (varying point count) including Standard and
Enterprise versions of BizTalk, Exchange, ISA, SharePoint,
SQL, Windows Server and many more
Point counts are available on the product list which is
referenced on the enrolment
Customers are now able to order products after their initial
order at a pro-rated price (six month minimum)
Steps for School Agreement

Count number of eligible PC’s


Count number of students (if required)
Choose products from product list
Calculate institution count as follows:
1. Multiply number of eligible PC’s by number of
products
2. Multiply number of servers by point count per server
Add 1 & 2 to get the total unit count
Minimum Order Requirements
Level A = 50 units and Level B = 2500 PCs

Units = # of PC’s X # of application/ system products


plus # of servers ordered x server point count

Example 1: 50 PCs X 1 product = 50 units

Example 2: 10 PCs X 5 products = 50 units

Server units calculated by point count for server X

Student Option

For student owned PCs or school-owned PCs assigned for


individual dedicated student use

100 unit minimum requirement in addition to minimum


requirement for institution

Licence specific number of students or the entire


population

Institution responsible for management and control

The institution no longer needs to have a School


Agreement in place to take out a Student Option
Flexible Buy-out Option

No need to convert all Windows, Office and Core CAL


licences to perpetual licences on buy-out

May acquire perpetual licences for products and


quantities desired

Buy-out pricing is equivalent to Academic Select -


customers on 3-year enrolments will have further
discounts but must buyout 100% of devices covered
End of enrolment options

Renewal
Enrolment for 1 or 3 years (via new signed enrolment)

Extend current 1 year enrolment for another year (via extension


form)

Let enrolment expire without renewing and either


Purchase perpetual licenses via buy-out option

Remove software from PCs


School Agreement Process
These are the important documents for the customer:

Campus/School Agreement form (Ts and Cs)

Subscription Enrolment (PC/server/student count, etc) attached to the


signature form

media order form (if they want media).

Emailed to distributor by AER

Distributor submits to EOC

Distributor orders products

Confirmation sent from EOC to customer/disti/AER

Count number of eligible FTEs (Full Time Equivalent or
staff working 200hrs+ per year)
Count number of students (if required)
Choose products from product list
Multiply number of FTEs by number of application &
System products and number of servers by point count
per server to derive the total unit count
Minimum Order Requirements
Level A = 300 units and Level B = 3000 FTE

Units = #of FTE’s X # of application & System products


plus # of servers ordered x server point count

Example 1: 100 FTEs X 3 app/sys products = 300 units

Example 2: 300 FTEs X 1 app/sys product = 300 units

Server units calculated by point count for server X
