CHAPTER - 1

INTRODUCTION

Time management is the art of arranging , organizing, scheduling, and budgeting ones time for the purpose of generating more effective work and productivity. There are an abundance of books , classes, workshops, day planners, and seminars on time management, which teach individuals and corporations how to be more organized and more productive. Time management has become crucial in recent years thanks to the 24/7, busy world in which we live.

There are an abundance of books , classes, workshops, day-planners, and seminars on time management, which teach individuals and corpprations how to be more organized and more productive. Time management has become crucial in recent years thanks to the 24/7 , busy world in which we live.

Time management is important for everyone. Time management is also crucial for students , teachers, factory workers , professional and home makers. Time management is perhaps more essential for the person who earns his or her own buisness or who runs a business out of the home. An important aspect of time management is planning a head. Sometimes succesful time management involves putting in moretime at the outset inorder to reorganize ones life.

Time Management is one of main instruments in any Organisations success. Time management is a set of principles, practices, skills, tools, and systems working together to help you get more value out of your time with the aim of improving the quality of your life.

Instead of controlling, suppressing, or constricting any one freedom, time management enables them to achieve the things. Everyone is allotted the same amount of time in life of 24 hours in each day. Cant save or steal time. Managing time wisely and by choosing to spend it on the main goals is very essential. For success of any field the effective time management techniques are to be followed. EFECTIVE TIME MANAGEMENT TECHNIQUES 1. Set prioritized goals and determine what has to be done to achieve those goals. Sometime, before you go to sleep, plan for tomorrow. Make out a to-do list, prioritize activities, and set a time goal for each. 2. Remember that only 20% of the activities on your to-do list will yield you 80% of the results. Concentrate on completing those activities before any others. 3. Establish goal statements to motivate you and keep you on track. The clearer your goals, the greater the motivation to accomplish them. 4. Decide what activities you must accomplish and what obstacles you must overcome to reach your goals. Include these on your to-do list. Do the most important and pressing things first. 5. Review your goal statements at least once a month, and revise if necessary.

6. Break projects down into steps that can be accomplished in no more than 2 hours each. Enter these steps on your to-do lists. 7. Keep a positive mental attitude by writing down at least 3 good things that happen to you each day. Relive these by reviewing them constantly. 8. Set your watch five minutes ahead, and try to keep to the time schedule you have set up. 2 9. Get rid of your television set. 10. Use driving time more productivelylisten to motivational or educational tapes, use a tape recorder to record ideas that come to mind, mentally think through your plan for the day, etc. SEVEN HINTS ON ACADEMIC TIME PLANNING 1. Build your schedule around your fixed time commitments. 2. Plan sufficient study time to do justice to each subject. 3. Study at a regular time and in a regular place. 4. Study as soon after class as possible. 5. Utilize odd hours for studying. 6. Study no more than two hours on any one course at one time. come into play. When you combine all these time management skills together into a comprehensive system, you can get a HUGE increase in your productivity and truly get more done in less time. CHAPTER - 2 LITERATURE REVIEW

Time management is the act or process of exercising conscious control over the amount of time spent on specific activities, especially to increase efficiency or productivity. Time management may be aided by a range of skills, tools, and techniques used to manage time when accomplishing specific tasks, projects and goals. This set encompasses a wide scope of activities, and these include planning, allocating, setting goals, delegation, analysis of time spent, monitoring, organizing, scheduling, and prioritizing. Initially, time management referred to just business or work activities, but eventually the term broadened to include personal activities as well. A time management system is a designed combination of processes, tools, techniques, and methods. Usually time management is a necessity in any project development as it determines the project completion time and scope.

MEANING:Time management is going to mean the development of a process and tools that help you be more productive and efficient. You may find that everyone has different levels of time management and ways of making things happen for them. There are people and businesses that use their time management skills to help them be more successful and give them what they are looking for in life. It is going to take some time but once you have the time management skills that you need it will all fall into place. You will be more productive and better able to make your goals in life work for you. When you think about time management, it is about making sure that you get things accomplished in a time limit. You want to have just about everything that you can do so that you can move on to something else. This can be applied at work or at home. Time management is thought of as a set of skills for better using your time. You must also incorporate organization and attitude into this equation. You need to make this all come together so that you can be a more happier and efficient person all together. Personal time management skills are going to have the following:

Many will find that the time management tools like a PDA and laptop will help them to manage their time more effectively. Having the ability to make things, work for you is

something that you should work hard on. You need to be as productive as you can so that you filling up all of your time and getting many benefits for it. The rewards of being more time managed are high. You will find that once you get on a good schedule and know what has to be done you will produce more activity and this will make many people around is happy. Definition: Generally, time management refers to the development of processes and tools that increase efficiency and productivity. In business, time management has morphed into everything from methodologies such as Enterprise Resource Planning through consultant services such as Professional Organizers. When we think of time management, however, we tend to think of personal time management, loosely defined as managing our time to waste less time on doing the things we have to do so we have more time to do the things we want to do. Therefore, time management is often thought of or presented as a set of time m anagement skills; the theory is that once we master the time management skills, we'll be more organized, efficient, and happier. Personal time management skills include:

Many people find that time management tools, such as PIM software and PDAs, help them manage their time more effectively. For instance, a PDA can make it easier to schedule and keep track of events and appointments. Whether you use technological time management tools or plain old pen and paper, however, the first step in effective time management is analyzing how you currently spend your time and deciding how you want to change how you spend your time.

Categorization Stephen R. Covey has offered a categorization scheme for the hundreds of time management approaches that they reviewed:

First generation: reminders based on clocks and watches, but with computer implementation possible; can be used to alert a person when a task is to be done.

Second generation: planning and preparation based on calendar and appointment books; includes setting goals. Third generation: planning, prioritizing, controlling (using a personal organizer, other paper-based objects, or computer or PDA-based systems) activities on a daily basis. This approach implies spending some time in clarifying values and priorities. Fourth generation: being efficient and proactive using any of the above tools; places goals and roles as the controlling element of the system and favors importance over urgency.[1][2]

More unconventional time usage techniques, such as those discussed in "Where Did Time Fly," include concepts that can be paraphrased as "Less is More," which de-emphasizes the importance of squeezing every minute of your time, as suggested in traditional time management schemes. In recent years, several authors have discussed time management as applied to the issue of digital information overload, in particular, Tim Ferriss with "The 4 hour workweek", and Stefania Lucchetti with "The Principle of Relevance" Time management and related concepts Time management has been considered as subsets of different concepts such as:

Project management. Time Management can be considered as a project management subset and is more commonly known as project planning and project scheduling. Time Management has also been identified as one of the core functions identified in project management. Attention management: Attention Management relates to the management of cognitive resources, and in particular the time that humans allocate their mind (and organizations the minds of their employees) to conduct some activities. Personal knowledge management: see below (Personal time management).

Conceptual Effect on Labor Professor Stephen Smith, of BYUI, is among recent sociologists that have shown that the way workers view time is connected to social issues such as the institution of family, gender roles, and the amount of labor by the individual.

Personal Time Management Time management strategies are often associated with the recommendation to set personal goals. These goals are recorded and may be broken down into a project, an action plan, or a simple task list. For individual tasks or for goals, an importance rating may be established, deadlines may be set, and priorities assigned. This process results in a plan with a task list or a schedule or calendar of activities. Authors may recommend a daily, weekly, monthly or other planning periods associated with different scope of planning or review. This is done in various ways, as follows. Time management also covers how to eliminate tasks that don't provide the individual or organization value. Task list A task list (also to-do list or things-to-do) is a list of tasks to be completed, such as chores or steps toward completing a project. It is an inventory tool which serves as an alternative or supplement to memory. Task lists are used in self-management, grocery lists, business management, project management, and software development. It may involve more than one list. When one of the items on a task list is accomplished, the task is checked or crossed off. The traditional method is to write these on a piece of paper with a pen or pencil, usually on a note pad or clip-board. Writer Julie Morgenstern suggests "do's and don'ts" of time management that include:

Numerous digital equivalents are now available, including PIM (Personal information management) applications and most PDAs. There are also several web-based task list applications, many of which are free. Task list organization Task lists are often tiered. The simplest tiered system includes a general to-do list (or taskholding file) to record all the tasks the person needs to accomplish, and a daily to-do list which is created each day by transferring tasks from the general to-do list. Task lists are often prioritized:

An early advocate of "ABC" prioritization was Alan Lakein. In his system "A" items were the most important ("A-1" the most important within that group), "B" next most important, "C" least important.[10]

A particular method of applying the ABC method [11] assigns "A" to tasks to be done within a day, "B" a week, and "C" a month. To prioritize a daily task list, one either records the tasks in the order of highest priority, or assigns them a number after they are listed ("1" for highest priority, "2" for second highest priority, etc.) which indicates in which order to execute the tasks. The latter method is generally faster, allowing the tasks to be recorded more quickly A completely different approach which argues against prioritising altogether was put forward by British author Mark Forster in his book "Do It Tomorrow and Other Secrets of Time Management". This is based on the idea of operating "closed" to-do lists, instead of the traditional "open" to-do list. He argues that the traditional neverending to-do lists virtually guarantees that some of your work will be left undone. This approach advocates getting all your work done, every day, and if you are unable to achieve it helps you diagnose where you are going wrong and what needs to change.[12]

Software applications Modern task list applications may have built-in task hierarchy (tasks are composed of subtasks which again may contain subtasks),[13] may support multiple methods of filtering and ordering the list of tasks, and may allow one to associate arbitrarily long notes for each task. In contrast to the concept of allowing the person to use multiple filtering methods, at least one new software product additionally contains a mode where the software will attempt to dynamically determine the best tasks for any given moment. Many of the software products for time management support multiple users. It allows the person to give tasks to other users and use the software for communication. In law firms, law practice management software may also assist in time management. Task list applications may be thought of as lightweight personal information manager or project management software. Excessive and chronic inability to manage time effectively may be a result of Attention Deficit Disorder (ADD). Diagnostic criteria include: A sense of underachievement, difficulty getting organized, trouble getting started, many projects going simultaneously and trouble with follow-through.[16]

Prefrontal cortex: The prefrontal cortex is the most recently evolved part of the brain. It controls the functions of attention span, impulse control, organization, learning from experience and self-monitoring, among others. Some authors argue that changing the way the prefrontal cortex works is possible and offers a solution.[17]

Caveats Dwelling on the lists

According to Sandberg, task lists "aren't the key to productivity [that] they're cracked up to be". He reports an estimated "30% of listers spend more time managing their lists than [they do] completing what's on them". This could be caused by procrastination by prolonging the planning activity. This is akin to analysis paralysis. As with any activity, there's a point of diminishing returns.

Hendrickson asserts that rigid adherence to task lists can create a "tyranny of the to-do list" that forces one to "waste time on unimportant activities". Again, the point of diminishing returns applies here too, but toward the size of the task. Some level of detail must be taken for granted for a task system to work. Rather than put "clean the kitchen", "clean the bedroom", and "clean the bathroom", it is more efficient to put "housekeeping" and save time spent writing and reduce the system's administrative load (each task entered into the system generates a cost in time and effort to manage it, aside from the execution of the task). The risk of consolidating tasks, however, is that "housekeeping" in this example may prove overwhelming or nebulously defined, which will either increase the risk of procrastination, or a mismanaged project. Listing routine tasks wastes time. If you are in the habit of brushing your teeth every day, then there is no reason to put it down on the task list. The same goes for getting out of bed, fixing meals, etc. If you need to track routine tasks, then a standard list or chart may be useful, to avoid the procedure of manually listing these items over and over. To remain flexible, a task system must allow for disaster. A disaster occurs constantly whether it is personal or business-related. A company must have a cushion of time ready for a disaster. Even if it is a small disaster, if no one made time for this situation, it can blow up bigger, causing the company to bankruptcy just because of poor time management. Techniques for setting priorities There are several ways to set priorities. ABC analysis A technique that has been used in business management for a long time is the categorization of large data into groups. These groups are often marked A, B, and Chence the name. Activities are ranked upon these general criteria:

A Tasks that are perceived as being urgent and important. B Tasks that are important but not urgent.. C Tasks that are neither urgent nor important..

Each group is then rank-ordered in priority. To further refine priority, some individuals choose to then force-rank all "B" items as either "A" or "C". ABC analysis can incorporate more than three groups.[10] ABC analysis is frequently combined with Pareto analysis. Pareto analysis This is the idea that 80% of tasks can be completed in 20% of the disposable time. The remaining 20% of tasks will take up 80% of the time. This principle is used to sort tasks into two parts. According to this form of Pareto analysis it is recommended that tasks that fall into the first category be assigned a higher priority. The 80-20-rule can also be applied to increase productivity: it is assumed that 80% of the productivity can be achieved by doing 20% of the tasks. If productivity is the aim of time management, then these tasks should be prioritized higher. It depends on the method adopted to complete the task. There is always a simpler and easy way to complete the task. If one uses a complex way, it will be time consuming. So, one should always try to find out the alternate ways to complete each task.

The Eisenhower Method

A basic "Eisenhower box" to help evaluate urgency and importance. Items may be placed at more precise points within each quadrant. All tasks are evaluated using the criteria important/unimportant and urgent/not urgent and put in according quadrants. Tasks in unimportant/not urgent are dropped, tasks in important/urgent are done immediately and personally, tasks in unimportant/urgent are delegated and tasks in important/not urgent get an end date and are done personally. This method is said to have been used by US President Dwight D. Eisenhower, and is outlined in a quote attributed to him: What is important is seldom urgent and what is urgent is seldom important. POSEC method POSEC is an acronym for Prioritize by Organizing, Streamlining, Economizing and Contributing. The method dictates a template which emphasizes an average individual's immediate sense of emotional and monetary security. It suggests that by attending to one's personal responsibilities first, an individual is better positioned to shoulder collective responsibilities. Inherent in the acronym is a hierarchy of self-realization which mirrors Abraham Maslow's "Hierarchy of needs". 1. Prioritize - Your time and define your life by goals. 2. Organizing - Things you have to accomplish regularly to be successful. (Family and Finances) 3. Streamlining - Things you may not like to do, but must do. (Work and Chores) 4. Economizing - Things you should do or may even like to do, but they're not pressingly urgent. (Pastimes and Socializing) 5. Contributing - By paying attention to the few remaining things that make a difference. (Social Obligations).

NEED OF THE STUDY:

This study plays a need in business development since many companies especially in construction business are now considering time management to be more competitive. Basically , these companies are embracing the strategy to their business and their overall business process to increase business development. Moreover, the study will be significant in management/ business firms in a sense that t\it will broaden their knowledge about time management and will help them decide if the business strategy is more of an advantage or a disadvantage. Furthermore , it will contribute to business research. This can be used as afuture reference for future research that will focus on other factors of time management or other issues concerning business and financial progress. In addition this study mi ght become of great use to different business because if ever proven in this study that time management is more advantageous than disadvantageous, it will have a positive bounce on them. Research materials are useful in persuading people to adopt something new like credit circle in business organizations.

CHAPTER - 3 NMDC AT A GLANCE NMDC Limited is a public sector company under the Ministry of Steel, Government of India. Primarily engaged in the business of exploring minerals and developing mines to produce raw materials for the industry, it is also expanding its activities towards steel making and other value added products. It has been conferred Navratna status by Government of India. Incorporated in 1958, NMDC has been actively contributing to the development of the nation for five decades and grown from strength to strength on its journey to nation building.

Contribution to Indian Economy

It has earned foreign exchange to the tune of Rs. 16,228 crore. It has been paying dividend since 1990-91. For the financial year ended 31 March 2010, the dividend paid to the Government of India is Rs. 649 crore and the cumulative dividend up to 2009-2010 is Rs. 3,533 crore approximately.

In 2009-10 gross contribution to the national exchequer was Rs. 3,123 crore. It has about 6000 employees.

Single Largest producer of iron ore in India

From a single-product-single-customer company, NMDC has grown to be a major Indian iron ore supplier in the national and important supplier of iron ore in International markets. The company has planned to increase iron ore production to 50 million tonnes by 2014-2015 by developing new mines of Bailadila-11/B and Kumarswamy, on the one hand and the other, by expanding the production capacity of existing mines.

Pioneer in Exploration

NMDC is doing exploration and prospecting works for high value minerals like Diamond in Andhra Pradesh and gold in Tanzania. Scientific Mining The scientific exploration conducted by NMDC resulted in proving additional mineable reserves from its existing mines. At Bailadila deposit 14, the oldest mine in the Bailadila range, NMDC was able to prove and establish an additional mineable reserve of 125 million tones. At Bailadila deposit 5, the additional mineable reserve was proved to be about 156 million tones.

Expansion/ Diversification As part of the Greenfield expansion diversification programme, NMDC is setting up an integrated Steel Plant of 3 MTPA capacity as Nagarnar, Chhattisgarh. The project is estimated to cost about Rs. 15, 525 crore. NMDC is planning to expand its business through forward integration in both Greenfield and Brownfield a) 2.0 MTPA Pellet Plant at Bacheli, Chhattishgarh b) 1.2 MTPA Pellet Plant at Donimalai, Karnataka c) Merger of SIIL and its expansion.

NMDC has planned to expand its business through horizontal integration as well in the fields of Coal, Rock Phosphate, Lime Stone, Gold and Diamond.

NMDC has already diversified its activities in the field of renewable energy by setting up Wind mills in Karnataka and is exploring the possibilities in solar energy. NMDC Global International Investment Division of NMDC

NMDC Global within its one year of formation has actively examined number of proposals in Africa, Australia, Europe and South America. A joint venture has been formed with Black Economic Empower (BEE) Investment Company at South Africa expanding business in African Continent.

Human Resources

NMDC is known for its excellence of human assets. The company exhibits the best possible work culture, and its manpower productivity shows continuous growth. The per capita productivity in NMDC is now about 30 metric tonnes of output per man shift. More than 50% of its employees belong to the weaker sections of the society, viz., Scheduled Castes,

Scheduled Tribes and Other Backward Castes, speaks of NMDCs consciousness of its social responsibility.

The company maintains modern townships with all the necessary facilities for its around 6000 employees in Bailadila in Chhattisgarh, Donimalai in Karnataka, Panna in Madhya Pradesh and other units. Global Exploration Centre NMDC has got a drilling division as Raipur for taking up exploratory drilling works at potential mineral deposits. This has been strengthened to take up strategic exploration in mineral rich states (mainly iron ore) at no cost to the State Govts. Besides, this would concentrate on establishing additional resources by undertaking exploration in and around existing deposits and areas within the lease area. R & D Centre From a nucleus R&D cell set up in 1970, it has grown into a highly sophisticated R&D Centre. One of the best-equipped laboratories of its kind, the centre at Hyderabad can take up any assignment in the field of ore beneficiation and mineral processing. With its excellent research facilities, the Centre carries out technology development missions in field like mineral processing, flow sheet development, mineralogical studies and product development. It has been recognized as a Centre of Excellence. Corporate Social Responsibility NMDC has taken up CSR activities even much before the concept was formally introduced. It has now strengthened its CSR activities. The beneficiaries are mostly the tribals/ backward sections in the proximity of the mines, which are in remote locations. The areas focused are education, health, Medicare, drinking water, infrastructure development and self employment, These services are provided in consultation with the local people and the local administration. The CSR initiatives are not limited to the Companys operational areas alone, but extended to all corners of the country.

Environment Management NMDC pays utmost attention to the environmental management. It has its own Environment Management Programme.

Restoration and conservation of forest are its prime objective, and its self-commitment is that the mined out areas will have a better forest than it was when NMDC entered the area. The afforested areas in the mines stand testimony to this commitment. Accreditation NMDC has obtained for its mines the following accreditations: 1. ISO 9001-2000 All its iron ore mines and R&D center 2. ISO 14001-2004 by Det Norske Veritas, The Netherlands All its production mines.

FINDINGS
Based on the questionnaire and interaction with employees the followings are findings:-

All the employees of NMDC Limited are coming for their duties in schedule time which is clearly shows the response of the employees.

Individuals are able to complete their tasks in schedule time. This shows their

punctuality. y The time given for completing task is not sufficient and requir e more time for their tasks which is to be examined by the Management of NMDC Limited y y Lunch time is required to be increased since the given time is not sufficient .

Basing the response of employees of NMDC it is found that they should be given some time which is to be spared to go outside of the organization for personal work such as for their family or other obligations. This shows their care towards their family members also as well the responsibility of organizations work.

Employees agree for prioritizing the tasks which is very essential. The employees of NMDC opinioned that interruptions takes away attention from important tasks. This means that the employees get disturbed while performing the tasks if any interruptions.

All the employees of NMDC limited says that some times time is not sufficient to accomplish tasks which becomes difficult.

Sufficient time has not been given in some tasks which is required to be examined by the immediate superiors.

The employees of NMDC limited says that it is not essential to work over the weekend or during holiday to complete their tasks.

Most of the employees are not agreed on spending more time on recreational activities.

Most of the employees agree that they does not keep any pending tasks. This shows that they perform their tasks on time.

Most of the employees not feeling nervousness & anxiousness when they are not able to meet deadlines because of the cooperation & encouragement of their superiors .

Most of the employees feel that they are given sufficient time to complete their tasks.

Employees of NMDC Limited feel that they are not overworked. All the employees of NMDC Limited equally agree that they spend some time online network not related to tasks.

All employees are very much interested to complete their tasks and no one is interested to put off their tasks.

All the employees of NMDC Limited agree that dont have any difficulty in taking decisions. This shows that the decision making in NMDC is fast.

Most of the employees of NMDC Limited like to improve day- to- day planning in the organization.

Most of the employees of NMDC Limited set and review their weekly objectives and successes.

Sometimes, most of the employees concentrate their attention on the important tasks rather than the general tasks.

Most of the employees of NMDC Limited make their decisions quickly and change of the same is very rare.

All the employees of NMDC Limited start and finish their projects on time. Most of the employees are provided effective filing system electronically and physically.

CONCLUSION

This project was conducted to study the status of time management of employee at NMDC Limited Corporate office, Hyderabad, India.

It was a great experience doing a project on time management and it s correlation with various employee activities provided by management in a large public sector enterprise like NMDC Limited. As per the analysis, time management system in NMDC Limited is better. The employees of the Corporation are being achieved their tasks in schedule time. The employees are satisfied with facilities being provided for achieving various tasks so that they are able to achieve the given tasks by the Organization. Achievement of the tasks or activities helped to create a congenial atmosphere in NMDC. The Trade Union and Management work together to maintain time in every aspect in NMDC. Hence, the time management system in NMDC is excellent and the time management of all the employees are also excellent due to which NMDC is getting huge profits during last sev eral years. Though, the time management system is upto the mark in NMDC, there are some changes to be made for further improvement such as (1) some employees are living for their own cause which is to be restricted. (2) In some areas, the time frame for given tas ks are not clearly mentioned in written which is required to be indicated in the concerned file. (3) In any area the task is not completed within given time the reasons to be indicated .

LIMITATIONS OF THE STUDY

Project was undertaken for a period of 45 days hence the limitations are as follows:

The project has been prepared in limited no. of respondents.

It was found that some employees were not clear in filling the questionnaire.

Sample of participants chosen were randomly from different departments of

employees.
