Goal
Client wants to setup the fax utility for faxing POs directly from the PO Approval screen . How To Setup Fax Capability to send POs to the suppliers ?

Solution Overview

There are many 3rd party product in the market that provide Oracle integration for automatically delivering ANY document that you can print via fax and email. This document is based on a product from the company called Captaris with a product called RightFax You must pursue a 3rd party product from the company called Captaris with a product called RightFax. Captaris provides an out-of-the-box integration with RightFax. It takes purchase orders generated from Oracle Reports (concurrent program) and sends the output to a fax server (instead of the regular printer defined in Oracle Applications), which then faxs it to the number specified in the report. In this way, the user doesn't have to print the document in a piece of paper and then fax it manually. The installation will involve installing RightFax to a server, hooking it to the network and having a dedicated line to fax the documents to another fax number. RIGHTFAX is a software that enables faxing of documents automatically from your computer (without having to print the doc, dial the number and feed the fax machine). It requires a Fax card (BrookTrout or similar) to be installed on the Server along with the software. RightFax also has a client version, which basically adds a Printer entry to your desktop Printer Settings and has a UI for you to monitor the progress of the document you fax. In MS-Word, when you choose to Print and select the RightFax Printer, it pops up a window for you to enter the fax number and it then automatically faxes the document. RightFax faxes documents generated from Oracle Applications by intercepting data from the print stream sent from Concurrent Requests Here is an excerpt from the documentation (Integration Module Guide).
Chapter 6 : Configuring the Integration Module to Receive Data Setting Up Directory Scanning This procedure creates an input device that retrieves data by scanning a folder for files. The program Bufdir.exe retrieves the files. To set up directory scanning 1. In the Input Type list, select Directory. The directory settings appear. 2. Select the check box Enable this Input device. 3. In the Name box, enter a descriptive name for this input device. 4. Complete the entries in the dialog box, as described in the following table. These settings correspond to Bufdir.exe command line options.

You must configure the fax server to look at the "PO:Fax Output Directory for the PO Document" directory. This is what the PO user guide states about this process.
This communication method requires that your system administrator configure your Oracle Application to support fax transmission. See: Oracle Applications System Administrator's Guide. Setup steps for faxed purchase orders: 1. Navigate to the Supplier Sites window. 2. Under the General tab, choose Fax as the Supplier Notification Method. Enter a default fax number for the supplier site. You can change the default fax number or the notification method at the time of document communication. ... ... PO: Fax Output Directory for the PO Document definition: The operating system directory name where the document publisher will store the generated purchase order PDF file for faxing.

How To Setup Fax Capability in Oracle Purchasing using RightFax

When Oracle Applications need to communicate the document via FAX, we generate two files as of today. 1. A Control file which has content to FAX the document. 2. A PDF file which has the actual document content. The separation of the document and control file was done because the document is in pdf (binary) format where as the control file should be an ASCII file.

Since the applications can be hosted in any OS and the RightFax is windows server, the suggestion given to Oracle customers was as follows: A. Set up a directory where pdf files needs to be saved B. Set up a directory where the control files needs to be stored Now map these directories to RightFax Server by means of any file sharing system. Then have the RightFax server listen to the directory (B), so that the RightFax server can automatically FAX the document. We have a profile option "PO:Fax Output Directory for the PO Document" already in place. And we have created a new profile option: "PO:Fax Output Directory for the Control File." If you cannot find this last profile option see Note:461357.1 for the specific patch you need to apply. The control file directory path will be set in "PO:Fax Output Directory for the Control File" profile and the pdf file directory path will be set in "PO:Fax Output Directory for the PO Document" profile So RightFax server reads the control file location. As previously mentioned, in the control file we have ATTACH command where we have to give the pdf document filename with the complete path. This approach fulfills the RightFax server condition. The values for the profile options will be set as given below :1) "PO:Fax Output Directory for the PO Document" This profile option would contain the Unix directory path of the document, so the value for this profile option would be like :- /conclog/oracle/apps/pdf/ 2) "PO:Fax Output Directory for the Control File." This would contain the windows style directory path for the document, (this window directory would obviously be mapped to the unix directory path of the pdf document).
