COORDINATORS HANDBOOK

Christmas is a time of gift-giving. But all too often, the gifts we give and receive are trivial books, neckties, jewelry, video games. How many of these do we need anyway? This Christmas, help your church congregation, or even just your family, focus on the gift that really matters, through the Methodist Mission in Cambodias Alternative Giving Campaign. Give a gift of love this season, and in turn, find yourself refreshed. This handbook should have all the information you need to help you run a successful Alternative Giving Campaign, but if you have additional questions or concerns, feel free to email us anytime at altgiving.mmc@gmail.com.

Logistics: When and How?

We have attempted to make the Alternative Giving campaign as flexible as possible, giving you all the tools you may need, but leaving the logistical decisions up to you. You can run your campaign over one or more weeks between November and Christmas, depending on the emphasis you want to place on it. However, we do recommend you distribute gift catalogs to church members at least one week in advance of the offering collection, to give them time to look over and pray about the available options. Your campaign can be as simple as having congregation members drop order forms and checks into the offering plate one Sunday, or it can develop into something much bigger. On a side note, if you are concerned that placing a lot of emphasis on your Alternative Giving campaign will detract from your church pledges or annual Christmas offering, think again. Juanita Scontos, the long-time Alternative Giving Campaign Coordinator at Aldersgate UMC in Virginia, says her church has seen no negative effects on their normal offering. We have done ... Alternative Giving ... for five years now and find that it has no effect on either stewardship or Christmas envelopes for December, she wrote. In fact, Scontos says her church actually saw an increase in Christmas giving the first year they did the campaign.

LEARN FROM A VETERAN CHURCH TRY A GIVING BAZAAR Aldersgate UMC in Virginia has hosted an annual Alternative Giving campaign to benefit the Methodist Mission in Cambodia for many years now. Their program has reported great success with their Giving Bazaar approach to the campaign, wherein church members visit a store set-up, with tables showcasing different catalog items available for purchase. At each table, members can learn more about the gifts and why they are needed. They can also pick up a Christmas card insert there, which will inform someone on their Christmas shopping list that a gift has been purchased in their honor and give more details about the specific gift (a cow, a university scholarship, etc.) (These printable inserts are available at the our Scribd site, www.Scribd.com/altgiving.) These card inserts are then taken to a check-out counter and paid for. Juanita Csontos, Alternative Giving Coordinator at Aldersgate says the best fund raiser we have is our Alternative Giving Christmas bazaar in December.

You can experience the same success by mimicking their simple Giving Bazaar formula:
1. Set up tables with information & displays on specific gift items. Make sure to have print-outs of the Christmas card inserts corresponding to those gifts, as well as order forms available at these tables. 2. Set up a centralized check-out table with the ability to take cash or checks 3. Have church members peruse the display tables, picking up the card inserts for the gifts they want to purchase, as well as adding those gifts to their order form 4. When finished shopping, members take their order forms and card inserts to the check-out table, where they write one check (or pay in cash) for all their gifts. If the church is providing the Christmas cards for the inserts to go into (check out one churchs success with this approach here), the cards are also distributed at this check-out table.

The Catalog: How to use it

We encourage churches to make the catalog available to their congregations in hardcopy format. This helps members feel more connected to the campaign by giving them a tangible link to the campaign that they can hold in their hands. Moreover, committing the time and resources to print them out will give your congregation a real sense of the importance you are placing on your Alternative Giving campaign. As far as timing goes, we suggest churches distribute the catalog at least a week in advance of taking any offering related to Alternative Giving in order to give members time to peruse their options.

HOW TO PRINT YOUR CATALOGS We understand many churches will not have the resources to print a batch of glossy, full-color catalogs, so weve made the catalog available in a wide range of formats from professional print quality to catalogs designed for printing in black-and-white on a home or office ink-jet. All of the below versions of the catalog are available for download at Scribd. Find the catalog that works best for your printing capabilities and resources. (For ease of locating, catalogs names given here correspond to their titles on Scribd. And if youre viewing this handbook on a computer, try clicking the catalog title to take you directly to its specific Scribd page.) HOME OR OFFICE QUALITY OPTIONS (DOUBLE-SIDED)
Catalog For Print (US Tabloid paper size, Color, WITH Margins) Meant to be printed double-sided on standard U.S. Tabloid size paper (11x17), in color, with standard margins. Printing this will use a lot of color ink, but will produce fine on a standard home or office printer. Catalog For Print (US Tabloid paper size, Black & White, WITH margins) Same as the above catalog (double-sided tabloid, with margins) but in Black and White. THIS IS ONE OF THE BEST OPTIONS IF YOU PLAN TO PHOTOCOPY THE CATALOG. Catalog For Print (A3 paper size, Color, WITH margins) Meant to be printed double-sided on standard metric-size A3 paper (297 x 420mm, or 11.69 x 16.54), in color, with standard margins. Printing this will use a lot of color ink, but will produce fine on a standard home or office printer, so long as you have the print settings set to A3 paper. Catalog For Print (A3 paper size, Black and White, WITH margins) Same as the above catalog (double-sided A3, full bleed, with margins) but in Black and White. Should be less expensive to print than the color version but will still look very professional. We recommend printing on glossy paper.

HOME OR OFFICE QUALITY OPTIONS (81/2 x 11 paper)

Catalog For Print (8 1/2 x 11, Color, WITH Margins) If you cannot print your catalog double-sided or do not have access to Tabloid or A3-size paper, this is your best color option. Catalog For Print (8 1/2 x 11, Black and White, WITH Margins) If you cannot print your catalog double-sided or do not have access to Tabloid or A3-size paper, this is your best black-and-white option.

PROFESSIONAL QUALITY OPTIONS: If you are interested in having your catalog printed professionally, these are the options you have to choose from. Also, if you are unsure how to solicit an estimate from a local print shop, check out our sample letter here in this handbook. You can also email altgiving.mmc@gmail.com to inquire about saving money by having your local churchs print run (of at least 50 catalogs) made in conjunction with a second print run by the Methodist Mission in Cambodia for an estimated cost of 60 cents per catalog, plus shipping (about $35 per 50 catalogs). Please email inquiries by Nov. 15.
Catalog For Print (US Tabloid paper size, Color, no margins) Meant to be printed double-sided on standard U.S. Tabloid size paper (11x17), in color, with full bleed, meaning the images will print all the way to the edges, like in a magazine, with no margins. We recommend printing on glossy paper. Catalog For Print (US Tabloid paper size, Black and White, no margins) Same as the above catalog (double-sided tabloid, full bleed/no margins) but in Black and White. Should be less expensive to print than the color version but will still look very professions. We recommend printing on glossy paper. Catalog For Print (A3 paper size, color, no margins) THIS IS THE BEST VERSION AVAILABLE. Meant to be printed doublesided on standard metric-size A3 paper (297 x 420mm, or 11.69 x 16.54), in color, with full bleed, meaning the images will print all the way to the edges, like in a magazine, with no margins. We recommend printing on glossy paper. Catalog For Print (A3 paper size, Black and White, no margins) Same as the above catalog (double-sided A3, full bleed/no margins) but in Black and White. Should be less expensive to print than the color version but will still look very professional. We recommend printing on glossy paper.

Participation: Its not just a fundraiser. Its a mission awareness campaign.

The Alternative Giving Campaign is about so much more than fundraising. Its about growing awareness of all of our programs here in Cambodia. We dont just want your money this Christmas season. We want your thoughts, prayers and conversations. With this aim in mind, we encourage you to find unique ways for the different people groups in your congregation to participate in and own the project besides the obvious monetary donations. One easy way is through the handouts (available on Scribd) aimed at specific groups within your congregation, including one each for UMW and womens groups, childrens Sunday School classes, and UMYFs or youth groups. (Check out the handouts section of this handbook for more details). CHILDRENS CHRISTMAS CARDS Mt. Tamalpais UMC in Mill Valley, Calif., gets its children involved in their campaign by asking Sunday School classes to create the Christmas cards that the a gift in your honor inserts can be glued to. This way, church members have a very personalized gift to give a friend or loved one, informing them about the gift that has been purchased in their honor. SUNDAY SCHOOL CLASS OR SMALL GROUP SPONSORSHIP Other possibilities include having a Sunday School class or other type of group unite behind a particular catalog item (or category of items i.e., agriculture, womens projects, childrens projects, scholarships, etc.), having them research it and do a short presentation on it during a church service. When researching, they will have plenty of resources at their disposal in the form of the catalog, handouts and Christmas card inserts, and they can always email questions about catalog items to altgiving.mmc@gmail.com. If your church decides to pursue the Giving Bazaar approach to the campaign (detailed earlier in this handbook, here), they could even prepare and staff a table focusing on that item during the bazaar. PROMOTE PARTICIPATION THROUGH LOCALIZATION Garner interest in your Alternative Giving Campaign by customizing it with the addition of local mission or charity projects. The Order Forms three-letter prefix

system (detailed here in this handbook) easily allows for the inclusion of new projects. Just write up the details of the projects you want to include, assign them a three-letter, two-digit catalog number (LOC, for example would work great to demark it as a local project), and insert the write-up as a supplemental page into the Alternative Giving Catalog. Just make sure you take the time to separate these local orders from those associated with The Advance before you submit your orders by mail or online (as detailed here). LET US KNOW WHAT WAYS YOU FIND TO PROMOTE AWARENESS Have you found a particularly effective or creative way to promote participation or awareness within your church? Tell us, by emailing altgiving.mmc@gmail.com.

Publicity: Grab Your Congregations Attention

When you elect to run an Alternative Giving campaign at your church, you will have access to dozens of pre-fabricated and customizable publicity materials, including posters, bulletin inserts, PowerPoint slides, Sunday School and small group handouts, and short videos related to many of the projects available for sponsorship. PRINT MATERIALS POSTERS, HANDOUTS & BULLETIN INSERTS All of the print materials, including promotional posters, Sunday School and small group handouts, and bulletin inserts, can be downloaded at Scribd and then printed on a standard color or black-and-white inkjet printer. Posters: There are two posters available for download. Both posters leave space at the bottom for you to add your local campaign coordinators contact information. You choose from the following (click the titles to download):
Generic poster: Sheds light on all of the types of projects available in the giving campaign, asking, What does Jesus Want or Christmas? Agriculture poster: Themed Buy a Cow for Christmas?, this poster focuses specifically on projects that benefit our Community Health and Agriculture Development program, like purchasing a cow or chickens, or supporting a rice bank or gardening project.

Handouts: Three handouts are available to download and print, each of them focusing on a specific people-group within your congregation, including (click on titles to download):
Childrens Sunday School Classes: Designed for elementary and middle school children, this handout promotes a catalog item allowing the purchase of uniforms for school children and is written using language younger children should understand. Womens Groups: This handout promotes projects that revolve around women, including womens livelihood projects, which promote small businesses, and conflict resolution training, which teaches couples non-violent methods for resolving their differences. Groups looking to make an entire class or session revolve around the idea of Alternative Giving to womens projects should check out our video on womens livelihood projects (Available on YouTube here. Plus, read the section below about our online videos to see how you can download this and other videos.) Youth Groups: This handout looks at youth scholarship projects available in the giving catalog, including support for our Methodist-run Faith Engine Ministry mechanics school, as well as university scholarships for promising young students. Groups that want to make Alternative Giving the focus of an entire meeting should check out our video on FEM (Available on YouTube here. Plus, read the section below about our online videos to see how you can download this and other videos.)

Bulletin inserts: All but one of these four bulletin inserts are two-pages and meant to be printed double-sided. Another option is to print only the cover side and customize the back with information specific to your churchs Alternative Giving campaign. Here are the options available (click on titles to download):
Generic (single-sided): Prints two per 8 /2 x 11 page and should fit snuggly inside your order of worship. Themed What does Jesus Want for Christmas, this insert displays all of the projects available for sponsorship in the Alternative Giving Catalog. 1 Generic (double-sided): Prints two per double-sided 8 /2 x 11 page and should fit snuggly inside your order of worship. Themed What does Jesus Want for Christmas, this insert displays all of the projects available for sponsorship in the Alternative Giving Catalog, with a photo teaser on the front side and informational text and photos on the back. 1 School Uniforms (double-sided): Prints two per double-sided 8 /2 x 11 page and should fit snuggly inside your order of worship. This insert focuses on the option to purchase school uniforms for Cambodian children through the Alternative Giving Catalog, with a photo teaser on the front and informational text and photos on the back. 1 Agriculture (double-sided): Prints two per double-sided 8 /2 x 11 page and should fit snuggly inside your order of worship. GRAPHIC RESOURCES LOGOS & POWERPOINT SLIDES These digital materials can help you expand the reach of your Alternative Giving campaign to the screen or even the World Wide Web. Logos: The logos used in print material throughout the campaign (including the Give a Gift of Love this Christmas and Alternative Giving text logos and the Advance logo) are also available for independent download on Scribd and can be used to post promotional content to your church website or to social media. Also feel free to use these logos to create your own, customized print content to promote your local Alternative Giving campaign. PowerPoint Slides: These PDFs are formatted in exactly the dimensions of a typical PowerPoint slide and can be easily dropped into a PowerPoint presentation and projected during your churchs pre-worship announcements or during a presentation or special offering related to your Alternative Giving campaign. All slides are capable of standing alone without explanation, and have different themes, including microfinance, youth scholarships, agriculture projects and school uniforms, plus a generic slide.

ONLINE VIDEOS & HOW TO DOWNLOAD THEM Several videos on the Methodist Mission in Cambodias YouTube channel (www.youtube.com/mmcambodia) relate directly to items available for purchase in the Alternative Giving Catalog, including (click on the title to view the video on YouTube):
Faith Engine Ministry: Highlights the efforts of the Methodist-run mechanic school in Phnom Penh, which helps rural youth learn a trade that will give them a leg-up in a job market where 15 percent of their peers will be unable to find employment. Alternative Giving Catalog items: FEM01 & FEM02. Run-time: 6:26 Community Health & Agricultural Development: Focuses on projects sponsored by CHAD, which relate to all catalog items with prefixes of CDA and CDH, many of which can be found on the Agriculture & Microfinance page of the catalog. Run-time: 13:49 Cambodia Methodist Women: Shows the successful outcomes of three Womens Livelihood Projects a basket-weaving business, a gardening project, and a water-plant harvesting business. Alternative Giving Catalog Items: WLP11 & WLP12. Run-time: 7:28 Childrens Ministries: Shows the need for and development of Sunday School resources for young Cambodian children. Alternative Giving Catalog Items: RES01 & RES02. Run-time: 7:36

If you need to download any of these videos to present during a church service or other gathering, one option available to you is to download the free software, Tooble, which bills itself as a DVR for the Internet. To download the application, visit www.tooble.tv and click download. You will then be prompted to select the version appropriate for your operating system. Once the download is complete, you can obtain any of the Methodist Mission in Cambodias videos by opening the application, clicking Enter a URL, and copying and pasting the address of the video you wish to download.

Handling Donations
The Short-form Order Form is intended to be distributed with the Alternative Giving Catalog. As it appears in this handbook, the order form will print two per 81/2 x 11 page, and we encourage you to print it double-sided, with the Online Giving Instructions (also included in this handbook) on the back, so members can donate online by credit card if they prefer. The short order form is designed to be simple, streamlined and understandable to your donors, and therefore, like the catalog itself, does not include the corresponding Advance Numbers for the catalog items, which are long and often very similar to one-another, possibly leading to confusion. This makes the process easier for donors who are simply turning in a short-form order form, but does add one more step for campaign coordinators and church administrators who are handling the donations for an entire church, or for individual donors who are participating in Alternative Giving independent of an organized campaign. To submit the orders, you must first determine which Advance number the catalog items of your choice correspond to. This can be accomplished easily enough using this key, which is also included on the Short-form Order Form:

As you see from this key, each three-letter catalog prefix corresponds to a single Advance Number. For example, CDA51 (Buy a Cow) and CDA21 (Fund a Small Business Start-up Loan) both have the same prefix (CDA), and both go to Advance #14916A, Community Health and Agricultural Development, as shown on this Number Key. You will need to know a catalog items Advance Number in order to donate online or to fill out the long-form church summary order sheet and donate by mail, both of which options are discussed in greater depth below. You should also note that, as the asterisk next to the RES prefix indicates, donations made to catalog items with this prefix, which corresponds to the

Cambodia Mission Initiative Advance Number, must be denoted as designated for Christian Education, which does not have an Advance Number of its own. These funds will go into the Country Directors general operating budget, and, when correctly demarked for Christian Education by you, will be set aside for the development of Childrens Resource Materials and Sunday School Teacher Training, as the catalog items indicate. SUBMIT DONATIONS VIA MAIL Perhaps the easiest way for campaign coordinators or church administrators tasked with handling donations for an entire church to turn in said donations is to fill out the long-form church summary order sheet that includes all the orders from the entire church. Then you can mail it, along with a check reflecting its total, to your conference treasurer or directly to the General Board of Global Ministries of the United Methodist Church at: Advance GCFA P.O. Box 9068, GPO New York, NY 10087-9068 DONATING ONLINE Individuals and entire churches can also donate online. Thorough step-by-step instructions for donating online through the Advance website, www.advancinghope.com, are included here in this handbook.
