AQS 3140 - SYSTEMS OF CONSTRUCTION PROCUREMENT ABOUT THE GROUP Our group consists of five members which are

formed by the lecturer, who selected five names for each group according to the name list. Our group named CINCO is comprised of five female members. They are Nur Alia Binti Zainal Abidin, Nur Ayunni Binti Azmin, Nurfaizah Hanis Binti Kasin, Nur Raihana Binti Jamadi and Nur Izzati Binti Abdul Ghani. This group is led by Nur Alia Binti Zainal Abidin and she is assissted by Nur Izzati Binti Abdul Ghani.

OBJECTIVES OF THE GROUP 1. The main goal of the group is to ensure that all group members achieve understanding in learning this subject. If any of the members cannot manage to perceive what other members can perceive, other members should be able to help him in any matters so that he will have the same understanding. 2. Next is to strengthen ukhuwah (brotherhood) among the group members in realizing the mutual goal. Ukhuwah among the group members is necessary as we are living in the Muslim environment which seeks us to help others in need, to enjoin good and forbid evil and to do many other good deeds. 3. Another objective is to encourage the members to work hand-in-hand in completing any works assigned. This is due to the fact that cooperation is necessary in a particular team to ensure the smooth execution of tasks. 4. Besides the mentioned objectives, tolerance is vital among the members to avoid misunderstanding and arguments that may occur in performing any required tasks. Hence, the tasks given can be done in a smooth manner without any misinterpretation involved. 5. The final aim of the group is to encourage every member to participate in giving ideas, opinions and thoughts which are necessary in discussing the relevant tasks before proceeding to the tasks that have to be made together. Any member should prevent himself from being a "rider" who contributes nothing for the group. Every member should consider every idea that is voiced out before politely say no to the said idea. Each member also has to give all members a chance to contribute and not dominate the whole discussion or task.

MEETINGS OF THE GROUP The first meeting of the group was on 13 September 2011 (Tuesday) at 4.30 pm. The meeting was held in LT2 and all the members are present on that day. At about 5.30 pm, an exercise on Procurement Communication began and finished after 10 minutes, which is at 5.40 pm. Meeting Minutes MEETING MINUTES OF CINCO

Meeting was called for the formation of the group, created by the lecturer. The group formed is to perform future tasks for the subject, Systems of Construction Procurement. The group is led by Nur Alia Binti Zainal Abidin. Matters Discussed: 1. The election of group's assistant that will assist the group leader. 2. The group's objectives, future meetings, activities that had been done. 3. The weekly exercise that needs to be submitted every week. Meeting adjourned at 6 p.m.

ACTIVITIES OF THE GROUP For the first meeting, there was an exercise on Procurement Communication which is to be participated by all members. REFLECTIONS During our first meeting, the exercise on Procurement Communication has tested our memory to remember a particular detail within such little time. From the exercise, we learnt that we cannot just simply memorizing things to pull through but we initially had to understand first what the detail is all about before started to memorize and deliver it to someone else. It is important to have good and clear communication in procurement. The key issue in this exercise is to highlight the importance of transferring and receiving information between one and another. If necessary, one should ask questions and opinions to get clarification for any doubts to avoid dispute, misunderstanding, mistake and confusion.

ABOUT THE WEEKLY EXERCISE Discussion 1: Procurement Communication About The First Exercise The first exercise is on Procurement Communication that particularly highlights the one way of communication from a person that delivers information to the other person. As it is a one flow of information transfer, the transfer cannot be made by the current person to the previous person. In other words, the transfer can only be done from the current person to the next one. This exercise actually replicates the original game called "Chinese Whisper". The name of the game says it all. The transfer of information should be done in a quiet manner. The exercise began when all the group leaders were being called to gather in front of the class to be given instructions on how the exercise will be conducted. When the clock started, the leaders were shown with a membership card that was complete with all the details of the member, who was the owner of the card. The first task that all the leaders need to do was to understand and memorize all the details shown on the card including the card features such as colour, logo, shape and detail arrangements of the whole card, within approximately five minutes. In other words, all the leaders need to know exactly how the card looked like. The challenge that most leaders faced during the process of memorizing the card was not to get distracted by all the other leaders who were also tried hard to get the right information from the card. After the end of the period given to memorize the details all by themselves, they needed to rush back to their places where their group members were and delivered the information that they memorized to the first member sitting next to them. All the members were seated in a one

way sitting arrangement to accommodate the smooth flow of information dissemination. The first member needed to give full attention to what his leader had to say so that he can transfer the information he obtained to the next member efficiently. The game proceeded with another member transferring the information to the very last member, where the last member needed to illustrate what he had received from the previous member sitting next to him, in a piece of paper. All the information needed to be disseminated among the members within only ten minutes. Rules of the exercise set by the lecturer should be abided by all the members so that the exercise ran fairly. One of the rules is to transfer the information quietly without disturbing or distracting other groups. The other rule is that only the last member is allowed to illustrate the whole information he had received on a paper. This means that other previous members are forbade to write anything while receiving the information. Learning Outcomes 1. We had learnt that to achieve a clear communication among ourselves, each and every member in the group plays an important role in the dissemination of information. 2. It is important to have written communication instead of verbal communication as many people are involved that will cause the information received, prone to distortion. 3. There is a need to focus and comprehend the information given in a short period of time so that the efficiency and efficacy of communication can be attained. 4. It is better to search for relevant information and facts beforehand to be acquainted for future undertakings. In other words, to be well-prepared to face any tasks that will be encountered in the future. 5. Teamwork as well as cooperation is essential among the group members to achieve the mutual aim for each and every task given to the group. 6. Communication skills among the group members are vital in order for everyone in the group to attain the same understanding and therefore, the execution of the tasks will run in the exact way that it should be done at everyone's satisfaction. Observations 1. Most group members were not being disciplined in carrying out the exercise which caused the lecturer to disqualify them from the exercise. Some of them wrote on a paper even though they were not the last person who should have done that. Also, some of them caused disturbance to the other groups by saying out loud what they had memorized. This will distract others who might memorize the right ones. 2. Many group members applied tolerance in transferring the information by repeating what they had told the next members so that the next members can clearly understand what they had to memorize.

3. The members of the group that repeatedly disseminated the same information over and over again show the patience of the members in order to have the highest result for the exercise. 4. Some of the groups were honest when it comes to giving of marks to their own groups as this is an important virtue that has to be practised in daily life to achieve barakah in our deeds. 5. The lecturer showed that he trusted his students by letting them to mark the exercise by themselves. However, there were some students who violated the lecturer's trust. A trust should be respected as it shows that the trusted one is capable enough to fulfill the trust given to him.
