By: Priyanka Jaiswal (E43) ________________________________________________________________ A HRIS, or Human Resource Information System, is a software solution for small to midsized businesses to help computerize and manage their HR, payroll, management and accounting activities. A HRIS offers HR, payroll, benefits, training, recruiting and compliance solutions There are times when a firm faces various nuisances while performing its functions related to payroll, benefits, recruitment, cost structure etc. Therefore, selecting the right HRIS is important. A company will need to make sure that they can customize the system to meet its specific and unique needs and that it is a system that will grow with the company. Situation: A small and midsized company (with an employee base of 2000-2500) plans to expand its production capacity since its in profits from the last two consecutive years and more business is in pipeline. Hence, the first thing that it focuses on increasing is its HUMAN RESOURCES (plans to double the manpower to at least 5000). The organisation plans to conduct its recruitment & selection process partly through online recruitment. This was a noticeable choice as online recruitment has become a major trend and in order to stay in line with the market inclination the company decides to conducts its recruitment process through e-recruitment. Need for this shift: It was seen in a research conducted by IES (Institute of Employment Studies) that now 67%of recruitment and selection process is depended on e-recruitment. Hence, it was time for the company to make this shift in order to be in line with the industry trends. E-recruitment has become a development which is contributing largely in the HR supply of an organisation. Online recruitment through Social networking sites like linked in, or company careers page are being referred to largely by companies in order to find their future employees. The organisation feels that this change was required as the company is planning to expand and traditional methods of recruitment & selection may not be cost and time effective always. There would be events when there would be an urgent requirement of an increased HR supply. Therefore a change to online recruitment would work as an advantage to fight off such critical situations. E-recruitment methods advertising job openings, tracking the source of applications, and online enquiry forms, were the most frequently used methods for attracting candidates. In many cases, web-based

technology in selection and assessment is only being used by the most selectionsophisticated organisations that can afford the high start-up and maintenance costs. There was wide variety in the extent to which online applications were structured, and also in how they were screened, e.g. electronically by keywords or manually. There exists a great deal of variation and less maturity in this part of the e-recruitment process in terms of application and use, than in the application of Internet technology at the attraction stage of the process. In terms of applicant tracking and workflow systems, of the 50 organisations surveyed in the IES(Institute of Employment Studies) survey, 78 per cent received CVs and application forms online, 49 per cent used email response letters, with 39 per cent using progress-tracking systems. Only nine per cent provided status reports to hiring managers. Hence, shifting to online recruitment is a welcome change HRIS that may facilitate E-recruitment in the organisation: For a firm to employ E-recruitment for the first time may not go as smooth as it would have after being referred to many a times. There would be many challenges which the organisation would face in order to crack the code of getting the right candidates through.
