The Energy & Environment Expo is an exhibition to connect companies in the energy and environmental services sector with each other and the regional business community at large. The Expo will include a number of components including a tradeshow, speakers & seminars and will be held at The Cunard Centre in Halifax on October 3 & 4 th 2012, in tandem with the Core Energy Conference. This shared venue and timing will allow Expo participants the added benefit of attracting energy executives, associations and industry attendees to meet your company.
Particulars
Each 10' x 10' booth space includes: back wall, side walls and 4 exhibitor badges. Each 6 x 6 booth space includes: back wall, two side walls and 2 exhibitor badges. The trade show floor area is carpeted. Booth electricity is not included and must be ordered in advance through Global Convention Services. Please contact Global Convention Services directly to place your electrical order. Tables, chairs, wastebaskets, greenery and other enhancements are not included but are available separately from Legault Contracting. Please contact Legault Contracting for pricing and to place your order for booth enhancements.
Booth Selection
First come, First served, and First paid to book booth space To determine your booth selection, please review the attached floor plan. 10 x 10 booths are red. 6 x 6 booths are green and Footprints are orange.
Payments
You have the option to pay via credit card (Visa, Mastercard or AMEX) at the time of booking your booth space, or you can alternatively pay via cheque. If you choose to pay via cheque, your booth selection will be reserved for 5 days until the cheque is received. Cancellation Policy
Written cancellations only will be accepted at sara.events@otans.com until September 9, 2012. A full refund will be issued, less a processing fee of 20% of the order total. Refunds will not be issued after this date. No-shows will be billed full price.
Exhibits
Exhibitors are responsible for setting up and decorating their own booths and setup must be done during the assigned times. Displays must use only the space you have rented (i.e.: 10' x 10', 6 x 6 or 4x 4) and cannot impede the aisle or another exhibitor's display. The show management reserves the right to instruct any exhibitors who violate this, to alter their booths as directed Exhibitors are responsible for any damage caused to the show management structure or equipment Exhibitors shall utilize the exhibit space for their own products, services and promotions and not sublet the space without the consent of the show management Exhibitor Move In: Tuesday, October 2, 2012: 12:00 p.m. to 4:00pm
Exhibitor Move Out: Thursday, October 4, 2012: 4:00 p.m. to 7:00 p.m. No displays may be dismantled or goods removed during the entire run of the show, but will remain fully intact until 4:00 p.m. on Thursday, October 4, 2012. Bearing in mind that any attempt to tear down displays, pack boxes, dismantle signage, disassemble tables, etc in advance of the end time creates noise and distraction for conference speakers and attendees. As such, exhibitors who do not maintain a fully intact display until 4:00 p.m. on show closing will be subject to a penalty of $1000.00. Please initial below to confirm acceptance of this clause. Failure to do so will result in additional cost of removal charged to the exhibitor in the amount of $500.00 and shipping / return will be the responsibility of the exhibitor. Exhibitor Badges
You will receive 4 complimentary exhibitor badges / booth for 10 x 10 spaces and 2 complimentary badges / booth for 6 x 6 spaces. Any additional badges required are $75 (+HST) / badge. Company Bio
Exhibitors have the opportunity to include a 50 word company biography or profile in the event brochure. The complete company contact information and bio will be included in this brochure as well as on the websites of The Maritimes Energy Association and ESANS.
Insurance
The Exhibitor agrees to insure their own merchandise against perils, including fire and theft and personal liability to a minimum of $1,000,000. Local authorities may require proof of insurance prior to or during the show. The show management is not responsible for any loss incurred by the actions or as a result of the Exhibitor.
Security
Show management will provide continuous security from 4:00 pm on Tuesday, October 2, 2012 until 7:00 pm on Thursday, October 4, 2012 but items of value are expected to be locked or removed after hours as neither The Maritimes Energy Association nor ESANS will be held responsible for loss of or damage to items and displays.

Access
We welcome your suppliers, customers, colleagues & contacts to attend the Energy & Environment Expo. There is no charge to attend as a guest of an exhibitor and guest passes are unlimited. A guest pass template will be provided to each exhibitor one month prior to the show.
