The objective is to provide our company one global and consistent way to manage employee data in one common database called P23 (SAP HR R/3).

What is SAP HR R3?



SAP is the company that provides the application. R3 is the application name. P23 is our companys leading global

Human Resources Management System (HRMS). P23 is the main HR system and it has interfaces to
the other systems (e.g. PhoneBook, ESS, Success4U tool).

Logistics and Finance (P20) have their own R3 environments modules

In our case example country Switzerland, both evidence (hard copy) and HR Connection approval (local workflow) is required when the marital status changes.

Attachment for evidence (local workflow+hard copy) is required by several countries in case of personal details related changes (e.g.marital status change). Attachments can be added by first clicking <Browse>. (cont. next slide]

Review the data for accuracy and click <Save> to submit the request for HR Connections approval (local workflow) with the evidence (hard copy).

Confirmation.

In case of global workflow and no evidence requirements (e.g. Finland), the data would be automatically updated to P23 (SAP HR system).

NOTE! Line Manager receives an email and My Worklist notification only when employees last name changes after the request has been approved by HR Connection.
Employee receives an email and My Worklist notification with all requests after HR Connections approval (local workflow).

HR Connection receives the email notification and logs-in to the myHRportal.

HR Connections requests can be found from My Worklist > Tasks

TIP! To choose the task, click on the grey square at the beginning of the row.

Task request details are also visible beneath the tasklist.

Evidence attachment can be clicked open for review.

Remember to write the reason for rejection (e.g. in case of missing attachments or insufficient data). Note that the rejection reason will not be visible once the request has been processed (i.e. for items in the Completed view). However, the rejection reason will be visible in the employees email notification.

Click <Approve> to update the new marital status to P23 (SAP HR system).
