Date Tracking
Overview
Date tracked records display data depending on the date from which
you are viewing the data.
Date on which you are working on the data can be set in the Alter
Effective Date window and can be referred by the term Today.
Date tracked form prompts a number of choices when you update or
delete a record.
Prompts displayed during the Updation of a record are
CORRECTION and UPDATE
INSERT and REPLACE appears along with CORRECTION AND
UPDATE in case of future changed record
Prompts displayed during the Deletion of a record are
END DATE, PURGE, ALL, NEXT CHANGE

When a record being updated has future changes, then system will
prompt the following options :
INSERT
The changes that are being made will be in effect until the effective
end date of the current record.
REPLACE
The changes that are being made will be effective until the
effective end date of the last record in the future i.e. all the future
changes will be deleted.

Deleting a date tracked record, will prompt the user different options
as below :
END DATE Sets the effective end date of the record as Todays date
PURGE Deletes all records
ALL Deletes all future changes to the current record and sets the
effective end date of the current record to 31-DEC-4712
NEXT CHANGE Deletes the next change to the current record and
sets the effective end date of the current record same as the effective
end date of the deleted row.

HR Security Profile
Overview
Security Profile will
Restrict access to the person type records.
Allow access to be restricted using various criterias like Organization
Hierarchies, Positions, Position Hierarchies, Payrolls, Supervisors,
Supervisor Hierarchies, Assignments etc.
Allow different restrictions to be combined to create a set of rules.

Creating a business group will automatically create a View-All Security


Profile
Global Security Profile helps users to work on data across multiple
business groups
Security Profile is linked to a responsibility and determines the access of
the records to the holder of this responsibility.
Security List Maintenance Process maintains the list of organizations,
positions, employees etc that a security profile holder can access. This
process should be scheduled to run every night.

Supervisor Security
Supervisor Security permits access to a supervisor hierarchy. It can be
either person based or assignment based.
Person Based Security : Supervisor can see all the assignments of
direct/indirect reports.
Assignment Based Security : Supervisor Hierarchy will be based on the
logging in supervisors assignment.

Number of hierarchy levels can be limited. This will help to improve


performance since the hierarchy is generated at the start of the session.

Security Profile must be linked to a responsibility to determine the
access to the user. This can be done using the profile HR : Security
Profile or Assign Security Profiles window.
HR: Security Profile is used when Security Groups Enabled security is
not used.
Assign security profile is used when Security Groups Enabled security
is used.
In the Security Groups Enabled Security Model, a Security Group is
automatically created for every business group when you run the
Enable Multiple Security Group Process.

Configure Key Flex Fields


Overview
Flexfield is a structure available in HRMS, which enables you to
customize a particular fields available in Oracle HRMS window. For
example, structure of job field available on Assignment window would
vary from Organization to Organization. Oracle HRMS enables you to
customize job field using flexfield concept. There is no programming
required to achieve this.
Flexfield contains multiple segments and each segment can be
validated independently.
Key flexfield allows you to store additional information for an existing
key (field) in window. For example, Job and position Key flexfield in
Assignment window

Flexfield Qualifiers
Some flexfields use qualifiers to control the level at which users can
enter values for each segment such as Payroll, Link, Organization,
Assignment, Entry and Balancing.
Cost Allocation and Competence flexfields take use of qualifiers to
control a level at which values to be entered.
Snapshot of cost allocation key flexfield is given in the next slide for
better understanding.

User Defined Tables


Overview
User Defined Tables allows you to setup your own tables to hold
data like Shift Rates, Medical Premium Rates etc.
Data held in UDT can be accessed from formulaes or forms or
reports.
Few legislations provide predefined UDTs to hold values for Payroll
calculations.
Tables can be set up using the Table Structure window.
Values can be set up using the Table Values window.
Data held in the UDTs are date tracked and hence, you can delete
existing entries or rows and add new ones as of effective date.

HR Lookups
Overview
Lookup is a list of values for specific information.
Specific information for which list of values exists is called Lookup
Type e.g. Marital Status
Each Value in the lookup type has a code, meaning , legislative tag,
effective dates.
Tag is used to identify lookup codes that are specific to the
legislation.
Access Level of the lookup types determines the ability to add new
codes or disable the supplied codes.
User New codes can be added and supplied codes can be disabled.
Extensible New codes can be added, but supplied codes cannot be
disabled.
System New codes cannot be added or Supplied Codes cannot be
disabled.

Overview
Apart from Key and Descriptive flexfields, Oracle HRMS allows you to
create information types to store additional information. These
information types are generally available for a particular window,
which carry their own title.
For example, you can design an information type for people window
to store Company car details, which would store following segments:
Model
Make
Year of manufacturing
Mileage run

There are two types of information types, Special Information Type


(SIT) and Extra Information type (EIT)

Special Information Type (SIT)
SIT is a Key flexfield, which enables you to set up user defined fields
for recording additional information.
Personal Analysis key flexfield need to be used to configure SIT. SIT
can also be enabled at Job and position Screen.
SITs are dated, it means each SIT combination will have start and
end date.
Once SIT is configured, it needs to be enabled for a particular entity
such as Job and Position.

Extra Information Type (EIT)
EIT is a type of descriptive flexfield, which enables you to set up user
defined fields to record additional information.
Oracle HRMS allows to configure EITs for entities such as Job,
Position, Person, Assignment, Location, Organization and Contacts.
EITs generally do not have start and end date.
To set up EITs, following activities need to be performed:

Overview
Profiles are set of options that affect the way the application behaves.
Profile Options can be set at Site, Application, Responsibility and
User Levels.
Site Settings apply to all users at the installation.
Application Settings apply to any responsibility associated with
the application.
Responsibility Settings apply to users logged on using the
responsibility.
User Settings apply to the specific users.
Some Profile Options are as listed below :
HR : Business Group
Determines the business group assigned to the responsibility.

Task Flow
Task Flows can link windows in a task so that each window is
brought up without returning to the menu.
Information entered in the windows in a task flow will depend on the
context of the first window.
Creation of the Tasks Flow will include
Definition of the task flow nodes
Definition of task flows
Linking of Task Flows to Menu.
Task Flow should be identified with a unique name.

Task Flow Nodes
Each form in a task flow is a node. Predefined nodes exist for every
form that can be included in the task flow. Node should be created for a
configured version of the form.
Nodes are created in the Define Task Flow Nodes window
All Nodes in the task flow should be first defined by adding them as
records in the Node Name field. First form should be marked as the Top
Node.
Navigation Options :
For each node, the other nodes to which you navigate to is defined in the
navigation options.
Button check box is ticked for every node that appears as a Button.
Buttons appear from left to right of the base of the window in the order of the
sequence no .
Every form has a default label and this can be overwritten in the navigation
options.

People Management Configurator is a tool to design windows to
capture essential information, thereby saving data entry time and
reducing errors.
Oracle HRMS has predefined templates which can used as a guide for
new template creations.
During the design of the new window you can
Choose the component windows - Summary, Find , Maintenance to be
displayed
Choose the Tabs, Fields and Buttons to be displayed.
Choose to default values in the fields.
Setup data restrictions like for e.g. Employee only

flow.

Functions can be excluded from the responsibility.

Oracle HR is installed. Else, they are captured in the Oracle Projects.
Employee details can be maintained in Oracle projects when the
Oracle HR is fully installed.
